The company

Digital Practice is an IT solutions business based in Montréal, Canada that provides digital and technology services exclusively for therapists. Owned and managed by Paul Jozsef, who himself provides counselling services, the company is focused on helping other therapists implement digital solutions for their businesses.

The challenge: Repetitive, tedious backend admin tasks

For his therapy practice, Paul uses Cliniko, health practice management software to maintain client data, manage sessions, and more. While it was an efficient tool to help him handle his sessions, when he created invoices for his clients, he had to do it manually using invoice management platforms or emails.

Many of his customers, who are also therapists, were facing a similar problem. Handling both their jobs and the admin and backend processes was becoming too technical, repetitive, and mundane for them; they wanted to have tasks like these automated.

The solution: Seamless workflow automation on the backend through Zoho Flow

Just like how he handles the invoicing portion of his business, Paul helped his clients implement Zoho Flow to make sending invoices easier. With Zoho Flow, he triggers a new email based on appointment information in Cliniko when a session is marked complete.

And because of that, when a session is marked as complete in Cliniko, the invoice will automatically be triggered to the attendee, eliminating the need to create an invoice manually every time. Similarly, he also enabled an integration between Cliniko and Google Contacts to ensure that his contacts are accessible across all devices.

With these integrations, Paul helped his customers get their backend operations and admin tasks automated, giving them more time to focus on their work.

The challenge: Lead collection scattered across apps

Another challenge Paul faced was with transferring lead data across apps. Digital Practice's website is hosted on WordPress, and they use MemberPress—a form-builder plugin—to collect lead information. However, to manage lead information, they use Brevo, a CRM platform.

The problem they were facing was manually transferring lead information from their WordPress site to Brevo. This was not only time-consuming but also interrupted the flow of work. Paul had to switch between being a therapist and an admin each time, and it was difficult.

The solution: Streamlined lead management with Zoho Flow

With the help of Zoho Flow's WordPress plugin, he was able to easily connect MemberPress with Brevo. Now, with these two apps connected, they're able to move data from their WordPress site to Brevo easily, saving time and eliminating error-prone repetition.
