About the organization
Founded in 2008, CASIOPE (Centre d’aide et de soutien aux intervenants et organismes en petite enfance) is a training organization based in Canada for professionals working in early-childhood training institutions. With a team of psycho-educators, special education teachers, and early childhood specialists, CASIOPE works to provide and strengthen professional skills and best practices and foster engagement to provide the best services to children. The organization serves over 80 clients, providing tailored solutions to tackle the challenges faced by early childhood professionals.
The challenge: Connecting applications for centralized customer data
CASIOPE's digital transformation journey started when their implementation partner, BSP (a Zoho Premium Partner), introduced Zoho CRM to manage their customer data. Once they started seeing the benefits of using Zoho CRM, they explored other Zoho applications and felt that they could gain access to a lot more useful tools in the Zoho ecosystem if they used Zoho One. With that, they implemented tools like Zoho Billing, Zoho Expense, Zoho Projects, Zoho Campaigns, and Zoho Survey extensively.
However, they realized that even with the use of built-in integrations their customer information was scattered across multiple apps, which made it difficult to maintain an accurate view of their customers. They were also heavily using WordPress, WooCommerce, and other non-Zoho applications that required custom integrations to run their business operations smoothly.

The organization needed a solution that could connect their website, payment gateways, and Zoho applications, ensuring a seamless flow of data between them and reducing manual tasks for their employees. That’s when BSP introduced Zoho Flow to solve their integration and workflow automation challenges.
The solution: Eliminating busywork and streamlining customer communications
CASIOPE built a custom application that's used by both trainers and parents, with around a thousand users combined. Before implementing Zoho Flow, CASIOPE’s communication workflow was mostly manual and cumbersome. Each month, before sending out announcements or release notes, their team had to manually extract customer lists from Zoho Billing, sometimes with the help of BSP.
The process was a bit challenging though, because Zoho Billing would usually contain the administrative or financial contacts of their users instead of the actual app users. As a result, they had to manually extract contacts from Zoho CRM and then import them into Zoho Campaigns, which was inefficient and left gaps for errors. It resulted in only a fraction of their actual audience receiving updates, which limited engagement.
With Zoho Flow, CASIOPE automated this entire workflow. By integrating Zoho Billing with Zoho CRM and Zoho Campaigns, their customer data now moves smoothly between the platforms, allowing them to accurately segment and reach all their app users.

The introduction of Zoho Flow has significantly improved CASIOPE’s operational efficiency. Tasks that previously took several hours every month are now fully automated. More importantly, their customer communication's reach has expanded significantly, ensuring that their users stay informed about important updates.
