FAQs

What happens to the advance payment when my expenses are exported to QuickBooks Online?

Reimbursable expenses

When exported as a Bill:

When the advance payment is less than the reimbursable amount, it will be listed as a negative line item in the bill. When it is greater than the reimbursable amount, the entire amount will be exported as a vendor credit to QuickBooks.

When exported as a Journal:

The advance amount will be entered as a credit transaction against the selected advance account if it is more than the reimbursable amount. Else, the excess amount will be entered as a debit transaction against the accounts payable account.

Non-reimbursable expenses

Depending upon the configuration for reimbursable expenses, the advance payment will be recorded either as a vendor credit or a journal entry in QuickBooks.
