Custom Links

Custom links are external links that you configure as an option in Zoho Expense, which when clicked, will open in a new tab. This feature will be handy when you have to look up for more details related to a particular transaction that is available on a different website. All you have to do is create a custom link for any of your modules in Zoho Expense.

So, when you click on a custom link while viewing transactions like Trips, Reports etc., in Zoho Expense, the external link you’re looking for will open in a new tab. Custom Links help you to save time.

You can create custom links for both default modules (Trips, Reports, etc.,) and custom modules. Let’s look at a scenario to understand this better.

Scenario: When Patricia receives reports for approval, she refers to the official details of her submitters for verification purposes in a different application. So every time she receives a report for approval, she opens the external application and navigates her way to look up the official details.

Instead, Patricia can create a custom link with the Employee ID as a placeholder to the link of her external application in the Reports page. This way, she can click the custom link in her Reports page to open the external link with the employees' official details.



You must first create a custom link to be able to execute the link when required.

  1. Click Admin View.
  2. Go to Settings on the left sidebar.

    Click the Gear icon at the top right side.
  3. Go to Modules under Customization.
  4. Select a module.
  5. Navigate to the Links and Buttons tab on the top of the page.
  6. Click + New Link in the top right corner.

  7. Enter a name for the custom link.
  8. Select who can view and use the custom link.
  9. Enter the URL of the external website and insert Placeholders if you want to look up for specific details in the page.
  10. Click Save.

Pro Tip: You can select Everyone to enable the custom link for you and all your users. However, you can select Only Me to enable it only for you and hide the custom link for other users.

Note: You should insert the placeholders after entering the URL.


After creating your custom link, you can execute or test the custom link. To view and use the custom link:

  1. Go to My View.
  2. Click the module in the left sidebar for which you created the custom link.
  3. Select a transaction or record.
  4. Click the More icon at the top right corner and select the custom link you had created.

Once you click the custom link, the link you had mentioned while creating your custom link will open in a new tab. If you’ve provided access to all users to view the custom link, they can access the same by following the steps above.

Note: You will be able to view the custom links for the custom module in the More section of the records in the custom modules.


You can make changes to a custom link you created. Here’s how:

  1. Click Admin View.
  2. Go to Settings on the left sidebar.

    Click the Gear icon at the top right side.
  3. Go to Modules under Customization.
  4. Select the module.
  5. Navigate to the Links and Buttons tab on the top of the page.
  6. Hover over the custom link you want to edit and click the More icon.
  7. Click Edit and make the necessary changes.
  8. Click Save.

You can delete a custom link you have created. To do that:

Warning: Once you delete a custom link, you will not be able to retrieve it in the future.

  1. Click Admin View.
  2. Go to Settings on the left sidebar.
    (OR)
    Click the Gear icon at the top right side.
  3. Go to Modules under Customization.
  4. Select the module.
  5. Navigate to the Links and Buttons tab on the top of the page.
  6. Hover over a custom link and click the More icon to the right of the custom link and click Delete.

  7. In the popup that opens, click Delete again to delete the custom link.
