AI Features - Overview
Zoho Invoice comes with AI features that help you automate and manage your end-to-end invoicing needs. Zia, the in-built AI, works in the background to keep your finances accurate, organized, and up to date.
Zia learns from your business data over time, which means the more you use it, the more accurate and personalized it becomes. You also stay in control at all times and can review and update anything Zia generates in your organization.
To get accurate results, you must keep your business data accurate. Zia relies on your account’s data to make decisions and suggestions, so gaps in your data can affect the quality of the output. Based on your business requirements, you can enable the required AI features, select a preferred AI provider and model, and make the best use of them in your business.
Scenario: Rachel, a finance manager at a consulting firm, wants to reduce the time spent drafting payment reminder emails and tracking overdue invoices manually. She enables the AI features in Zoho Invoice so that Zia can provide invoicing insights and generate email content, allowing her to focus on higher-priority tasks.
To enable the AI Features:
- Go to Settings and select AI Preferences.
- Slide the toggle next to the required features to Enabled.
- Select the preferred AI Provider and Model for the selected feature.
- Click Save.
Insight:
- AI Provider: The service that powers the AI models Zia uses to process your requests in Zoho Invoice.
- Model: The specific system within an AI provider that processes your request and determines the quality of responses.
The selected AI feature will be enabled in your organization.
View Insights Using Zia Invoice Insights
You can view invoicing insights at the top of your invoice’s list page. This helps your business monitor, manage, and take quick actions. The insights include:
- Overdue and Outstanding Invoice Balance: Displays a consolidated overview of the total overdue and outstanding invoice amounts for your organization.
- To manage, click Set Payment Reminder and send payment reminders to the respective customers and contact persons.
- Overdue Balance From Customers With Payment Delays: Identifies customers who have paid less than 70% of their invoice amounts in the past six months.
- To address this, click Send Payment Reminders to notify your customers and contact persons via email.
- Invoices Exceeding Average Late Payment Days: Lists invoices that are overdue beyond your organization’s average late payment dates, based on your historical payments.
- To manage these invoices, click View Invoices and prioritize follow-ups.
To view the invoicing insights:
- Go to Invoices.
- In the list page, click the Zia icon in the top-right corner to display or hide the insights.
Generate Content for Email Templates Using Zia
You can use Zia to draft email template content and send it to your customers. Provide prompts to describe how you want the template to be, and Zia generates a response instantly.
Once generated, review it to ensure that the content matches your business requirements. If it doesn’t match, you can try generating different responses.
To generate the email template content in Zoho Invoice:
- Go to Settings and select Email Notifications.
- Select the required notification to generate the email template content.
- Click Show Mail Content below the respective notification.
- Enter the required recipient details.
- Click the Generate With Zia icon at the top of the email content.
- In the pop-up that appears, enter your prompt and click Generate Content.
- You can adjust the Tone and Content, if required.
- Once complete, click Insert.
The generated content will be inserted in the email template.
