Go to **Reports** from the left sidebar, then select **Activity** from the _Report Category_ list. * * * ### System Mails The System Mails report shows all automated emails sent by Zoho Inventory - including invoice notifications, payment reminders, and order confirmations. Use it to verify that scheduled emails were sent and to investigate delivery issues. To generate this report: * Go to **Reports** from the left sidebar. * Select **Activity** from the _Report Category_ list. * Click **System Mails**. * Set a **Date Range** to filter the results by time period. * Click **Run Report**. This report includes the following columns: * **DATE**: Date on which the system mail was sent. * **SUBJECT**: Subject line of the email (e.g., Invoice #INV-0001, Payment Reminder). * **MAIL TYPE**: Type of system mail - for example, Invoice Mail, Payment Reminder, or Order Confirmation. * * * ### Activity Logs & Audit Trail The Activity Logs & Audit Trail report shows a full audit trail of all actions performed in your organisation - who did what, when, and on which record. Use it to investigate changes, resolve discrepancies, and maintain accountability across your team. To generate this report: * Go to **Reports** from the left sidebar. * Select **Activity** from the _Report Category_ list. * Click **Activity Logs & Audit Trail**. * Set a **Date Range** to define the reporting period. * Optionally, click **More Filters** to filter by Activity Details, User, Customer Name, Vendor, or Operation Type. * Click **Run Report**. This report includes the following columns: * **DATE**: Date and time the activity was performed. * **ACTIVITY DETAILS**: Summary of the action - including the module and record affected. * **DESCRIPTION**: Additional detail about the change, such as the field modified and its old and new values. Click any activity entry to open the related record. * * * ### Portal Activities The Portal Activities report shows all actions taken by customers or vendors through the Customer Portal or Vendor Portal - including invoices viewed, payments made, and documents downloaded. Use it to monitor portal engagement and verify that portal interactions are being recorded correctly. To generate this report: * Go to **Reports** from the left sidebar. * Select **Activity** from the _Report Category_ list. * Click **Portal Activities**. * Set a **Date Range** to define the reporting period. * Optionally, click **More Filters** to add additional filter criteria. * Click **Run Report**. This report includes the following columns: * **DATE**: Date and time of the portal action. * **ACTIVITY DETAILS**: Summary of the action taken through the Customer Portal or Vendor Portal (e.g., Invoice Viewed, Payment Made). * **DESCRIPTION**: Additional context about the portal activity, including the customer and record involved. * * * ### Customer Reviews The Customer Reviews report shows all ratings and reviews submitted by customers through the Customer Portal. Use it to monitor customer satisfaction, identify recurring issues, and flag customers who may need follow-up. To generate this report: * Go to **Reports** from the left sidebar. * Select **Activity** from the _Report Category_ list. * Click **Customer Reviews**. * Set a **Date Range** to define the reporting period. * Click **Run Report**. This report includes the following columns: * **CUSTOMER NAME**: Name of the customer who submitted the review. * **5 STARS**: Number of 5-star ratings submitted by this customer. * **4 STARS**: Number of 4-star ratings submitted by this customer. * **LESS THAN 4 STARS**: Number of ratings below 4 stars submitted by this customer. * **AVERAGE RATING**: Average star rating across all reviews from this customer. * **TOTAL RATING**: Total number of reviews submitted by this customer. * * * ### API Usage The API Usage report shows your organisation’s API call consumption - including the total API call limit, calls used, calls remaining, and a per-user breakdown showing username, IP address, and total calls made. Use it to monitor API quota consumption and identify users or integrations making excessive calls. To view this report: * Go to **Reports** from the left sidebar. * Select **Activity** from the _Report Category_ list. * Click **API Usage**. The report opens with a usage summary showing: * **Total API Calls**: The maximum number of API calls allowed per day for your plan. * **Used API Calls**: The number of API calls consumed so far today. * **Remaining API Calls**: The number of API calls remaining for the current day. This report includes the following columns: * **USERS**: Name or identifier of the user who made the API calls. * **IP ADDRESSES**: IP address from which the API calls were made. * **TOTAL COUNT**: Total number of API calls made by this user from this IP address. This report is generated automatically each day. The total API count resets to the maximum allowed limit at the start of each day. To learn more about API call limits for your plan, see the [Zoho Inventory API documentation](/inventory/api/v1/#api-call-limit). * * * ### Pending Inventory Valuations The Pending Inventory Valuations report lists all transactions that have stock movements without a completed valuation - for example, items received or despatched where a cost could not be calculated due to missing cost information. Use it to identify and resolve valuation gaps before generating financial reports. To view this report: * Go to **Reports** from the left sidebar. * Select **Activity** from the _Report Category_ list. * Click **Pending Inventory Valuations**. * Use the **View By** filter to group results by transaction type if needed. * Review the listed transactions and click through to the relevant record to complete the missing cost information. This report includes the following columns: * **DATE**: Date of the transaction with a pending valuation. * **TRANSACTIONS**: Reference number of the transaction requiring valuation (e.g., Invoice, Bill). * **ACTION**: Action required to resolve the pending valuation. * **CREATED TIME**: Date and time the transaction was created. * **LAST MODIFIED TIME**: Date and time the transaction was last updated.
