Custom Modules - Overview

Zoho Expense comes with predefined modules like Trips, Reports, Expenses, and Advances to help you manage your organization’s travel and expense data. However, these modules may not cover every business need. When you need to track data that doesn’t fit into any of the existing modules, you can create a custom module.

A custom module lets you define your own set of fields, records, and workflows to capture and manage data that is unique to your organization.

Notes:

  • This feature is only available in certain plans of Zoho Expense. Check the pricing page to see if this feature is available in your plan.
  • Only Admins and users of custom roles with the permission to manage each custom module can perform operations on that module.

Scenario: Zylker has three business units (BUs): Engineering, Marketing, and Sales. Each BU has its own budget and cost center. The finance team wants to track expense reports and trips by BU and match the spend to account codes in their ERP. The admin creates a custom module called Business Units to store each BU’s details, cost center, and ERP account code, and to associate reports and trips with the right BU.

Once you create a custom module, you can:

  • Add fields to capture the data you need.
  • Create custom views to filter and group records.
  • Configure module permissions to control who can access the module and what they can do.
  • Set up validation rules to make sure the data entered meets your requirements.
  • Add custom buttons and custom links to extend what the module can do.

Prerequisite: You must be an Admin to create, edit, or delete custom modules and manage their settings.
