Sales Orders Preferences

In this help document, you’ll learn the preferences you can configure for the Sales Orders module in Zoho ERP.

To access the Preferences page of the Sales Orders module:

  • Go to Settings in the top right corner of the page.
  • Click Sales Orders under Sales.

General Preferences

In the General tab, you can configure the following preferences:

Update Fields of Sales Order in Invoices

When converting your sales order into an invoice, you can retain the following fields from your sales order in your invoice:

  • Address of your organization
  • Customer Notes
  • Terms & Conditions

Choose When to Close Sales Orders

You can configure when your sales orders are closed by choosing from the following options:

  • When invoice is created: Enable this option to close a sales orders once an invoice is created for the same.
  • When shipment is fulfilled: Enable this option to close a sales order once shipment is fulfilled.
  • When shipment is fulfilled and invoice is created: Enable this option to close a sales order once shipment is fulfilled and an invoice is created for the same.
  • Restrict closed sales orders from being edited: Enable this option to restrict users from editing closed sales orders.
  • Restrict sales order fulfilment until payment is received: Enable this option to prevent users from creating packages, shipments, or directly fulfilling sales orders unless the order is invoiced and fully paid.

Terms and Conditions

Enter the Terms and Conditions of your business to be displayed in your sales order.

Notes

Enter any notes of your business that you want to display in your sales order.


Approvals

If your business requires sales orders to be approved by other employees, you can configure Approvals for the Sales Orders module in Zoho ERP. You can choose from No Approval, Simple Approval, and Multi-Level Approval.


Field Customization

If your business requires additional fields beyond the pre-defined fields in the Sales Orders module, you can create them using Custom Fields.


Sales Order Cycle

Configure the sales order cycle preferences to create transactions like invoices, packages, and shipments automatically after you create a sales order in Zoho ERP.


Validation Rules

If you want to set restrictions on creating or updating sales orders, you can use Validation Rules.


Record Locking

Record Locking helps you control updates to records. You can specify which actions and field updates to allow or restrict after records are locked, and choose who can perform these actions.


Custom Buttons

Custom Buttons allows you to perform specific actions to purchase orders when the button is clicked. You can create them using a deluge script and execute actions based on the functions you add.


Related Lists allows you to fetch and view data from within the app as well as from other third-party services. This comes in handy when you want to cross-reference data from different entities.
