Loans
The Loans settings help you control how employee loans are approved, customized, validated, and secured in Zoho ERP. By configuring these settings, you can ensure that loan requests and repayments follow defined approval processes, capture additional information when required, and protect loan records from unintended changes.
Access Loans Settings
- Click Settings in the top-right corner.
- Under Payroll, click Loan.

Approvals
Approval workflows help ensure that employee loan requests are reviewed and authorized before they are processed. Configuring approvals adds control to sensitive financial decisions and helps maintain consistency and compliance across your organization.
Multiple approval workflows are available for loans. You can choose a simple approval flow for smaller teams or configure multi-level or custom approvals to meet complex organizational requirements.
Approval Workflow Types
You can configure the following approval workflows based on your business needs:
No Approval
- Loan requests are processed without any approval. This option is suitable for organizations that prefer a faster loan processing workflow or do not require managerial review for loan requests.
Simple Approval
- Any user with loan approval permission can approve the loan request.
After selecting the required approval workflow, click Save to apply the changes.
Custom Field
Custom fields allow you to capture additional information related to employee loans that is not available by default. These fields are useful for recording organization-specific details, internal references, or supplementary loan information.
With custom fields, you can:
- Capture additional loan-specific information
- Store internal notes or reference identifiers
You can control whether a custom field is mandatory, who can view it, and whether it should be active or inactive. Once configured, custom fields appear in the Loans module based on your setup.
Custom Button
Custom buttons allow you to add organization-specific actions to loan records beyond the default actions available in Payroll. By creating custom buttons, you can automate workflows, perform validations, or integrate loan actions with other internal or external systems.
With custom buttons, you can:
- Trigger automated workflows or scripts
- Open external links or applications
- Perform custom checks or validations
- Extend loan actions using Deluge
You can control who can view and use each custom button, ensuring that only authorized users have access to these actions. After configuration, custom buttons are available in the Loans module based on your setup.
Validation Rules
Validation rules help ensure that loan data entered into the system meets your organization’s predefined conditions. These rules are useful for preventing incorrect or incomplete information from being saved.
You can use validation rules to:
- Enforce mandatory conditions before saving a loan record
- Restrict values based on loan amount, tenure, or other criteria
- Maintain data accuracy and consistency
Validation rules are applied automatically when loan records are created or updated.
Record Locking
Record locking helps prevent changes to loan records after they reach a specific stage in the loan lifecycle.
You can configure record locking to:
- Restrict editing after approval
- Prevent accidental modifications to finalized loan records
- Maintain data accuracy and compliance
Locked records can be viewed but cannot be edited unless they are unlocked by an authorized user.
Related Lists
Related lists let you associate additional information with loan records for better visibility and tracking.
You can use related lists to:
- View linked records
- Track related transactions such as repayments
- Access contextual information without leaving the loan record
