Networking

When two businesses handle transactions manually, teams often send files over email, re-enter the details in another system, and follow up to check if the transaction was accepted. This leads to delays, duplicate work, and avoidable data entry errors. Networking fixes this by letting linked Zoho ERP organizations exchange supported transactions directly inside the product. Instead of downloading and re-uploading documents, the sender pushes the transaction from Zoho ERP, and the receiver reviews it in their own organization and takes appropriate action.

Each organization has a unique Network Key. Share that key and save it in the matching customer or vendor record to establish the connection. After linking, the sender can use Push via Network from supported sender transaction types, and the receiver can review incoming network transactions in the relevant Network tab of the corresponding receiver module.

Note:

  • Networking is currently in early access. Write to us at support@zohoerp.com to enable it for your organization.
  • Networking is available only in certain plans of Zoho ERP. Visit the pricing page to check whether this feature is available in your current plan.

Scenario: Patricia Boyle handles accounts receivable at Zylker Manufacturing, and Brandon Tyler handles accounts payable at Zylker International. Patricia needs to send transactions quickly, and Brandon needs to record them without re-entering data. They link their organizations once using each other’s Network Key. Patricia pushes the transaction from her organization. Brandon reviews it in the relevant Network tab and accepts it, which creates a draft transaction on his side. If he rejects it with a reason, Patricia updates the transaction and retries the push.

This help document is organized by who performs each action:

  • Common Actions apply to both the sender and the receiver.
  • Sender Actions apply to the organization that pushes network transactions.
  • Receiver Actions apply to the organization that receives network transactions.

Common Actions

Both organizations complete these setup actions before they can exchange transactions.

Enable Networking

Each organization enables Networking separately. The steps are the same on both sides.

To enable Networking:

  • Click Settings in the top right corner of the page.
  • Go to Organization and click Networking.
  • Click Enable.

After you enable Networking, the page shows:

  • Network Key: Your organization’s unique identifier on the network.
  • Connected Customers: The count of customers linked to your network.
  • Connected Vendors: The count of vendors linked to your network.

Share Your Network Key

Other organizations need your Network Key to link your contact record on their side.

To share your Network Key:

  • Click Settings in the top right corner of the page.
  • Go to Organization and click Networking.
  • Copy your Network Key.
  • Send it to your customer or vendor using your usual communication channel.

Note: A Network Key only identifies your organization on the network. It does not give the other side access to your data. The only information that crosses between the two organizations is the transactions you push.

Linking a customer or vendor enables network transaction exchange with that contact. Both organizations must exchange and save each other’s Network Key for the connection to be active.

Prerequisites:

  • Networking is enabled in your organization.
  • The other organization uses Zoho ERP and has Networking enabled.
  • You have the other organization’s Network Key.

To link a customer or vendor to your network:

  • Go to the Sales module in the left sidebar and click Customers to link a customer. Or, go to the Purchases module in the left sidebar and click Vendors to link a vendor.
  • Click the contact you want to link.
  • Scroll to the NETWORK INFORMATION section on the contact’s details page.
  • Hover over the section and click the Edit icon.
  • Enter the shared Network Key in the Network Details pop-up.
  • Click Save.

After you save the key, the contact’s Network Status becomes Active.

Disable Networking

You can disable Networking if you no longer want to exchange transactions with other organizations.

Note: You cannot disable Networking if you have pending incoming transactions that you have not accepted or rejected yet.

To disable Networking:

  • Click Settings in the top right corner of the page.
  • Go to Organization and click Networking.
  • Click Disable.
  • Confirm by clicking Disable in the pop-up.

Networking is now disabled for your organization. You can no longer push transactions or receive incoming network transactions. You can, however, accept or reject any pending incoming transactions that were pushed before you disabled Networking.


Sender Actions

The sender is the organization that initiates the push. Users on the sender side push transactions and track whether the receiver accepts or rejects them.

The supported sender network transactions are:

  • Purchase Orders
  • Invoices
  • Payments Made
  • Credit Notes

Push a Network Transaction

Prerequisite: The customer receiving the network transaction has Networking enabled and is linked to your network.

To push a network transaction:

  • Go to the Sales module in the left sidebar and click the required module.
  • Open the transactions you want to push.
  • Click Push via Network in the WHAT’S NEXT section.

The push happens right away. After a successful push:

  • The section shows a Pushed badge with the message “This transaction has been sent to your customer via Network.”
  • The transaction status changes to Sent if it was previously in Draft.

Track the Status of Pushed Transactions

The receiver can either accept or reject a pushed network transaction. The result is reflected on the transaction’s detail page and in the Network Filters.

To view the status of a pushed network transaction:

  • Go to the Sales module in the left sidebar and click the required module.
  • Open the transactions for which you want to check the status.
  • The status appears in the Network section of the transaction:
    • When the receiver accepts the transaction, the status in the Network section becomes Accepted.
    • When the receiver rejects the transaction, the status in the Network section becomes Rejected, along with the reason the receiver entered. A Retry Push action appears in the WHAT’S NEXT section so you can update the transaction and push it again.

In both cases, the sender is notified of the receiver’s action.

To view the status of all pushed network transactions in a module:

  • Go to the Sales module in the left sidebar and click Invoices.
  • Click the filter dropdown in the top left corner and scroll down to Network Filters.
  • Select a filter from Network Filters:
    • Yet To Be Pushed: Lists network transactions for linked customers that you have not pushed yet.
    • Pushed: Lists network transactions that you have pushed and that are awaiting the receiver’s response.
    • Push Failed: Lists network transactions for which the most recent push attempt did not go through.
    • Accepted: Lists network transactions that the receiver has accepted.
    • Rejected: Lists network transactions that the receiver has rejected.

Receiver Actions

The receiver is the organization that gets incoming pushes and decides how to process them. Users on the receiver side review incoming network transactions and either accept or reject them.

The supported receiver network transactions are:

  • Sales Orders
  • Bills
  • Payments Received
  • Vendor Credits

View Incoming Network Transactions

When a linked vendor pushes a transaction, it appears in the Network tab on the module’s page. Incoming network transactions do not appear in the regular module list until you accept them. For example, incoming bills appear in the Network Bills tab. This way, you can review and decide on them without mixing them with your regular transactions.

To view incoming network transactions:

  • Go to the Purchases module in the left sidebar and click the required module.
  • Click the Network tab. For example, Network Bills.

Accept a Network Transaction

Accepting an incoming transaction creates the corresponding receiver-side transaction in your organization.

To accept a network transaction:

  • Go to the Purchases module in the left sidebar and click the required module.
  • Click the Network tab. For example, Network Bills.
  • Select the transaction to review. A right pane shows the transaction details as entered by the sender. You can review the details and decide whether to accept or reject the transaction.
  • Click Accept. You’ll be redirected to the new transaction page.
  • Verify the transactions details and make changes, if required.
  • Click Save and Accept.

Reject a Network Transaction

Rejecting an incoming transaction removes it from your organization without creating the corresponding receiver-side transaction, and notifies the sender with the reason you provide.

To reject a network transaction:

  • Go to the Purchases module in the left sidebar and click the required module.
  • Click the Network tab. For example, Network Bills.
  • Select the transaction to review. A right pane shows the transaction details as entered by the sender. You can review the details and decide whether to accept or reject the transaction.
  • Click Reject in the right pane.
  • Enter the reason for rejection in the text field of the pop-up.
  • Click Reject again.
