Credit Note Preferences

You can configure preferences for the Credit Notes module in Zoho ERP to meet your business requirements. To configure:

  • Go to Settings.
  • Under Module Settings, select Credit Notes under Sales.

You can configure the following preferences:

General Preferences

Cost Price Preference

  • Allow users to override cost prices in credit notes: Enable this option to let users in your organisation manually update the cost price of items in credit notes. By default, Zoho ERP fetches the cost price of items from the most recent transaction. So, when a user overrides the cost price, Zoho ERP will no longer update item’s cost from future transactions.

Credit Note QR Code

Enable and configure a QR code on the PDF copy of a credit note. Customers can scan the QR code using the device to open the linked URL, or view the information you’ve configured. To enable:

  • Enable the toggle next to Credit Note QR Code.
  • Select the following preferences:
    • Click Configure next to QR Code Type.
    • In the Configure Custom QR Code pop-up, enter the required information, or click the Insert Placeholders dropdown to include placeholders.
    • Click Update.
    • Provide a QR Code Description.

Terms and Conditions

Enter your business’s terms and conditions you want to display on credit notes. This helps set clear expectations for customers.

Customer Notes

Enter any additional notes or messages you want to display on credit notes, such as clarifications, goodwill messages, and more.

Approvals

Approvals let you review and control credit notes before they affect your accounts. When enabled, credit notes stay in a pending state until an authorized user approves them. This helps prevent errors in your records. Learn more about Approvals.

Field Customisation

Field Customisation lets you add, edit, or hide fields to match your business needs. You can capture additional information and records to your workflows. This helps different teams track the data that matters most to them. Learn more about Custom Fields.

Validation Rules

Validation Rules help you ensure users enter accurate and complete data. You can set conditions to restrict incorrect values or enforce mandatory fields. This reduces errors and keeps your records consistent. Learn more about Validation Rules.

Record Locking

Use Record Locking when you want to stop accidental changes after a credit note is finalised. You can choose the actions to allow or block and assign permissions to specific users or roles. This reduces errors and protects important records.

To configure record locking:

  • Go to Settings.
  • Under Module Settings, select Credit Notes under Sales.
  • Navigate to the Record Locking tab.
  • Click + New Lock Configuration.
  • In the pop-up that appears, fill in the required details:
    • Lock Configuration Name: Enter the name for the lock configuration.
    • Description: Provide a short description for locking records
    • Allow or Restrict Actions: Choose if you want to Restrict All Actions, Restrict Specific Actions, or Allow Specific Actions. If you choose to restrict or allow specific actions, choose the required actions.
    • Lock Records For: Choose if want to lock records for all roles or specific roles. If you choose to lock roles for specific users, select the roles for whom you want to don’t want to lock records.
  • Click Save.

The lock configuration will be set up. You can choose to edit, delete, or mark the lock configuration as Inactive.
