Send invoices to customers
Once an invoice is created, you can share it with your customers through multiple channels such as email, SMS, WhatsApp, or a secure link. Zoho ERP gives you flexible options to deliver invoices instantly or schedule them based on your billing workflow, ensuring timely communication and faster payments.
Share Invoice via Email
Usually, when you create an invoice, you would have saved it as a draft or sent it to your customer right away.
If you have saved it as a draft, you can send it to your customer manually. Here’s how:
- Go to Sales in the left sidebar.
- Hover over Invoices on the top modular bar and select Invoices from the dropdown.
- Select the invoice you want to send.
- Click the Mail / SMS dropdown and select how you want to send the invoice to the customer.
- Go through the template and click Send.
Schedule Invoice Email
You can schedule the invoice to be sent at a preferred time. Here’s how:
- Go to Sales in the left sidebar.
- Hover over Invoices on the top modular bar and select Invoices from the dropdown.
- Select the invoice you want to send.
- Click the dropdown next to the Save and Send and select Save and Send Later.
- In the Schedule Mail page, select the schedule date under When would you like to send the email?.
- Verify other details and click Schedule
Share invoice via SMS
If you’ve integrated Zoho ERP with Twilio, you can send SMS notifications to your customers. Based on your configured SMS preferences, you will be able to automatically send SMS notifications to your customers and their contact persons in the following cases:
When you have configured Create and Send Invoices, or Create, Share and Send Invoices preferences for recurring invoices, an invoice creation message will be sent.
When you receive online payments from your customers, a Payment Thank You SMS will be sent to that customer.
Apart from sending automated SMS to your customers, you can also send manual messages to them. Here’s how:
- Go to Sales in the left sidebar.
- Hover over Invoices on the top modular bar and select Invoices from the dropdown.
- Select the invoice for which you want to send SMS.
- Click Send at the top of the invoice’s Details page and select Send SMS from the dropdown.
- In the pop-up that appears, click Send SMS to confirm.
The SMS Notification for the invoice will be sent to your customer.
Share Invoice via WhatsApp
- Go to Sales in the left sidebar.
- Hover over Invoices on the top modular bar and select Invoices from the dropdown.
- Click + New at the top right corner and enter the necessary details.
- Select the contact persons to whom you want to share the invoice details from the Share invoice with dropdown and click Save and Send.
- In the screen that follows, verify the Message Template and Contacts, and click Send.
The invoice notification will be sent to the respective contacts.
To send a WhatsApp notification for existing invoices:
- Go to Sales in the left sidebar.
- Hover over Invoices on the top modular bar and select Invoices from the dropdown.
- Select the invoice for which you want to share the invoice details.
- Select WhatsApp Message from the Send dropdown.
- The contact person and the message template will be auto-populated in the following Send WhatsApp Message pop-up.
- Click Send.
The invoice details will be sent to the respective contact person via WhatsApp. Similarly, you can send notifications for Sales Orders, Estimates, Retainer Invoices, and Sales Receipts.
Share Invoice URL
You can generate a link for an invoice in Zoho ERP and share it with your customers. Using this link, your customer can view and/or pay for that invoice.
To generate and share an invoice link:
- Go to Sales in the left sidebar.
- Hover over Invoices on the top modular bar and select Invoices from the dropdown.
- Select the invoice for which you want to share the link.
- Click Share.
Note:
Only invoices with the Sent status can be shared.
- You can generate the link for Public or Private & Secure access.
If you have selected Public, click Generate Link.
Copy the link URL and share it with your customer.
If you have selected Private & Secure, your customer can view the invoice from their Customer Portal.
