Dropshipments

Dropshipments is a supply chain management technique where the retailer does not keep goods in stock but instead transfers their customer sales orders and shipment details to either the manufacturer, wholesaler or the vendor, who then ships the goods directly to the customer.

Create Dropshipments

Here’s how you can drop ship a sales order in Zoho ERP:

• Go to Sales in the left side bar and click Sales Orders in the top module bar.
• Create a new sales order.
• Make sure to add the drop shipping address of your customer.
• Click Save and Send.
• Open the sales order that you wish to drop ship.
• Click the More icon and select Dropship from the dropdown.
• Choose how your drop shipment has to be fulfilled for your customer in the Choose Dropshipment Type popup.
• Click Complete Dropshipment if you want the entire sales order to be fulfilled by drop ship.
• Click Partial Dropshipment if you want the sales order to be partially fulfilled by drop shipment.

Create - Complete Dropshipment

• Click Yes if you want to copy the item descriptions from Sales Order to Purchase Order and No if you don’t want the descriptions to be copied.
• Fill in the required details like Vendor name, Tax, Discounts and Adjustments in the New Purchase Order page.
• You can see the DropShip To field will be auto-populated with your customer’s drop shipping address that you added in the sales order.
• Click Save and Send.
• The Drop shipped Purchase Order will now be in Issued status with shipment status as Shipped.

Create - Partial Dropshipment

• Check the boxes near the items to select it for dropshipment.

• Click Dropship to initiate the dropshipment.
• Fill in the required details like Vendor name, Tax, Discounts and Adjustments in the New Purchase Order page.
• You can see the DropShip To field will be auto-populated with your customer’s drop shipping address that you added in the sales order.
• Only the selected items will be auto-populated in the Item Table.
• Save and send the Purchase Order.
• The drop shipped purchase order will be in issued status and shipment status will be Partially Shipped.
• Click the More icon and select Dropship from the dropdown to drop ship the remaining items.
• The missed items in the first dropshipment will be listed here.
• Click Dropship.
• The shipment status will be changed from Partially Shipped to Shipped after all the items are drop shipped.
• The number of dropshipped purchase orders involved will be listed in the associated sales order.

Fulfil Dropshipments

In Zoho ERP, a normal sales order attains fulfilment when the shipments associated with them are delivered. In case of a drop shipment, as your vendor takes care of the packaging, shipment & delivery, you don’t have to create a package yourself.

To fulfil a drop shipped sales order in Zoho ERP, raise a bill for the drop shipped purchase order. Doing this will move the status of the drop shipped Sales Order from Confirmed to Fulfilled. Here’s how:

• Click Convert to Bill to close the drop shipped purchase order and fulfil the shipment.
• Fill in the required details in the New Bill page and save it.
• The drop shipped purchase order will now be changed to Closed status and the shipment will be Fulfilled.

Invoice dropshipped sales orders

The drop shipped sales order will be closed only after you have invoiced your customer. Here’s how you can convert a drop shipped sales order into an invoice

• Go to Sales in the left side bar and click Sales Orders in the top module bar.
• Select the Drop shipped sales order that has to be invoiced.
• Click Convert and select Convert to Invoice to close the sales order dropshipment.
• The New Invoice page will be opened with details auto-populated.
• Click Save and Send.
• The sales order dropshipment will be changed to Closed status.

Bulk Dropshipments

You can create single dropshipment for multiple sales orders. Here’s how:

• Go to Sales in the left side bar and click Sales Orders in the top module bar.
• Check multiple sales orders of a single customer with same address.

• Click the More icon and select Dropship from the dropdown.
• The selected sales orders will be displayed along with the item details.
• Click Dropship to initiate the sales order dropshipment.

Filters - Dropshipments

Here’s how you can filter the drop shipped sales order in Zoho ERP:

• Go to Sales in the left side bar and click Sales Orders in the top module bar.
• Click All Sales Orders filter dropdown and select Drop Shipped.

Here’s how you can filter the drop shipped purchase order in Zoho ERP:

• Go to Purchases in the left side bar and click Purchase Orders in the top module bar.
• Click All Purchase Orders filter dropdown and select Drop Shipped.
