Delivery Challan Operations

The operations in delivery challan allows you to track, manage and share with delivery challans efficiently. These operations help you monitor the status of deliveries, keep delivery records accurate, and control how delivery challans are handled.

The actions you can perform on delivery challans can be classified into:

  • Management Actions
  • List View Actions
  • Share Actions
  • Other Actions

Management Actions

The management actions let you make changes to delivery challans after they are created. You can customize templates, clone, or delete delivery challans as required.

Customise Delivery Challan Template

You can customise the PDF template for a delivery challan. Here’s how:

  • Navigate to Sales on the left sidebar.
  • Select Delivery Challans under Invoices from the top module bar.
  • Select the delivery challan for which you want to customise the template.
  • In the Details page, hover over the delivery challan PDF and click the Customize dropdown in the top right corner to customize the template.  

Clone Delivery Challans

If you need to create a delivery challan with details similar to an existing delivery challan, you can clone the existing one. Here’s how:

  • Navigate to Sales on the left sidebar.
  • Select Delivery Challans under Invoices from the top module bar.
  • Select the delivery challan that you want to clone.
  • Click the More icon at the top of the page and select Clone.
  • Make the necessary changes on the page that appears and click Save as Draft.

Delete Delivery Challan

You can delete a delivery challan to remove it permanently from your records in Zoho ERP. Here’s how:

  • Navigate to Sales on the left sidebar.
  • Select Delivery Challans under Invoices from the top module bar.
  • Select the delivery challan that you want to delete.
  • Click the More icon and select Delete.
  • Click Delete it in the confirmation pop-up that appears.

Note that this deletion cannot be undone.    


List View Actions

List view actions help you customize how delivery challans are displayed. They make it easier to sort, filter, and review delivery information easily and quickly.

Status of a Delivery Challan

The following are the statuses of a Delivery Challan in Zoho ERP:

  • Draft: When a delivery challan is created, it will be in the Draft status.
  • Open: When the goods have been dispatched for delivery, the delivery challan will be in the Open status.
  • Delivered: When the goods have been delivered to the recipient, the delivery challan will be in the Delivered status.
  • Returned: When the dispatched goods have been returned, the delivery challan will be in the Returned status.

A delivery challan can have any one of the following invoice statuses:

  • Not Invoiced: The delivery challan has not yet been converted into an invoice.
  • Partially Invoiced: Some items from the delivery challan have been invoiced.
  • Invoiced: All items in the delivery challan have been converted into an invoice.

Filter Delivery Challans

You can filter delivery challans based on their statuses. Here’s how:

  • Navigate to Sales on the left sidebar.
  • Select Delivery Challans under Invoices from the top module bar.
  • Click the filter dropdown in the top left corner of the page.
  • Select the type of delivery challan you want to view from the dropdown.

If you’ve created custom views or have custom views shared with you, you can use them to filter delivery challans. Your custom views are listed under Created By Me, and shared views are available under Shared With Me.

Sort Delivery Challans

You can sort delivery challans to change the order in which they appear in the list view. Here’s how:

  • Navigate to Sales on the left sidebar.
  • Select Delivery Challans under Invoices from the top module bar.
  • Click the More icon in the top right corner of the page and select Sort by.
  • From the dropdown, select the column based on which the delivery challans should be sorted.
  • The sorting can be done based on ascending or descending order as indicated by the arrow. Click the column name again to change the sorting order.

Refresh List

Delivery challans in your organization may be created or updated by other users. To view the latest information, you can refresh the list. Here’s how:

  • Navigate to Sales on the left sidebar.
  • Select Delivery Challans under Invoices from the top module bar.
  • Click the More icon in the top right corner of the page.
  • Click Refresh List.

Share Actions

The share actions let you share or export your delivery challan information outside Zoho ERP when required.

Download as PDF

You can download a delivery challan as a PDF. Here’s how:

  • Navigate to Sales on the left sidebar.
  • Select Delivery Challans under Invoices from the top module bar.
  • Select the delivery challan that you want to download.
  • In the details page, select PDF from the PDF/Print dropdown.

The delivery challan will be downloaded to your device.

Print Delivery Challan

To print a delivery challan:

  • Navigate to Sales on the left sidebar.
  • Select Delivery Challans under Invoices from the top module bar.
  • Select the delivery challan that you want to print.
  • Click PDF/Print in the top of the page.
  • Select Print from the dropdown.
  • Choose the number of copies that you want to print in the pop-up that appears.
  • Click Print.

The delivery challan will be printed.

Export Delivery Challans

You can export delivery challans from your Zoho ERP organization to use the data in other applications or for record-keeping purposes. You can export either all delivery challans or only the ones with the columns currently visible in the List View page.

To export:

  • Navigate to Sales on the left sidebar.
  • Select Delivery Challans under Invoices from the top module bar.
  • Click the More Actions icon.
  • Select Export Delivery Challans under Export.
  • Enter required details and click Export.

Other Actions

Attach Files to Delivery Challan

You can attach files to your delivery challan. This can be done through:

Drag & Drop: Upload files from your device’s local storage (a maximum of 5 files, each of 10 MB). Attach From Desktop: Upload files manually. Attach From Documents: Upload files from Documents module in Zoho ERP. Attach From Cloud: Upload from cloud storage services like Zoho WorkDrive, Google Drive, Dropbox, One Drive, etc.

To attach files to a delivery challan:

  • Navigate to Sales on the left sidebar.
  • Select Delivery Challans under Invoices from the top module bar.
  • Select the required delivery challan.
  • Click Attachment icon on top of the page.
  • Click Upload your Files or select the dropdown next to it and choose the desired option.
  • Attach your file.

You can delete the file by clicking the Delete icon next to it. Click the More icon next to the uploaded file to Download, Remove, and open the file in a new tab.

Note:

  • If you delete a file, it will be permanently deleted from your account.
  • If you remove a file, it will be removed from the transaction but will still remain in your documents.

View Comments and History

To view the comments added by the users of your organization and the history:

  • Navigate to Sales on the left sidebar.
  • Select Delivery Challans under Invoices from the top module bar.
  • Select a delivery challan whose details you want to view.
  • Click Comments & History on the top-right.

You can view the comments added by the users of your organization and the history of your delivery challan.
