Credit Notes - Operations
Edit Credit Notes
If you want to update the details you’ve provided earlier, you can edit the credit note. Here’s how:
- Go to Sales on the left sidebar.
- Click the Invoices dropdown at the module bar, and select Credit Notes.
- Select the credit note you want to update.
- In the details page, click Edit at the top.
- In the Edit Credit Note page, make the required changes.
- Click Save.
The credit note will be updated.
Send Email
If you want to share a copy of the credit note with the respective customer, you can choose to email it.
Prerequisite: Ensure that you’ve provided the email address of the customer or the contact person to proceed sending the email.
To send:
- Go to Sales on the left sidebar.
- Click the Invoices dropdown at the module bar, and select Credit Notes.
- Select the credit note you want to send as an email.
- In the details page, click Email at the top.
- Verify the contents of the email to be sent.
- Click Send.
The email will be sent to the respective customer or contact person.
Download Credit Notes as PDF
You can choose to download the credit note as a PDF for backup purposes. To do so:
- Go to Sales on the left sidebar.
- Click the Invoices dropdown at the module bar, and select Credit Notes.
- Select the credit note you want to download as PDF.
- In the details page, click PDF/Print at the top, and select PDF from the dropdown.
The credit note will be downloaded as a PDF.
Print Credit Notes
You can also choose to print the credit notes. To do so:
- Go to Sales on the left sidebar.
- Click the Invoices dropdown at the module bar, and select Credit Notes.
- Select the credit note you want to print.
- In the details page, click PDF/Print at the top, and select Print from the dropdown.
- In the Preview pop-up, verify the contents and click Print in the top right corner.
The credit note will be printed, based on your preferences.
Clone Credit Notes
If you want to create a credit note similar to the existing one, you can clone the credit note. To do so:
- Go to Sales on the left sidebar.
- Click the Invoices dropdown at the module bar, and select Credit Notes.
- Select the credit note you want to clone.
- In the details page, click the More icon at the top, and select Clone from the dropdown.
- In the New Credit Note page, fill in the required details.
- Click Save as Open or Save as Draft and mark it as Open later.
The credit note will be cloned.
Add e-Way Bill Details
To associate e-Way bill details with a credit note:
- Go to Sales on the left sidebar.
- Click the Invoices dropdown at the module bar, and select Credit Notes.
- Select the credit note you want to associate e-Way bills.
- In the details page, click the More icon at the top, and select Add e-Way Bill Details from the dropdown.
- In the pop-up that appears, select Associate e-Way Bill Number.
- In the following pop-up, enter the e-Way Bill Number and click Save.
The e-Way bill number will be associated with the credit note.
View Journal
The journal entry for the credit note will be displayed below the transaction PDF in the details page. To view it:
- In the credit note’s Details page, click the More icon at the top, and select View Journal from the dropdown.
The journal entry will be displayed.
Lock Credit Notes
If you no longer want to make any changes to the credit note, you can lock it. To do so:
- Go to Sales on the left sidebar.
- Click the Invoices dropdown at the module bar, and select Credit Notes.
- Select the credit note you want to lock.
- In the details page, click the More icon at the top, and select Lock Credit Note from the dropdown.
- In the Lock Credit Note pop-up, fill in the following fields:
- Lock Configuration: Select the configuration you want to apply to the credit note.
- Reason for Locking: Enter a short description for locking the credit note.
- Click Lock.
The credit note will be locked, and you cannot update or delete it.
Attach Files
You can attach supported documents with the credit note, for internal use. To do so:
- Go to Sales on the left sidebar.
- Click the Invoices dropdown at the module bar, and select Credit Notes.
- Select the credit note for which you want to attach files.
- In the details page, click the Attachments icon in the top right corner.
- In the Attachments pop-up, click Upload your Files and attach your required documents.
Note: You can upload a maximum of 5 files, with 10 MB each.
The attachments will be associated with the credit note.
Add Comments
You can add comments to the credit note for internal use. To do this:
- Go to Sales on the left sidebar.
- Click the Invoices dropdown at the module bar, and select Credit Notes.
- Select the credit note to add comments.
- In the details page, click the Comments icon in the top right corner.
- In the Comments & History pane that appears, enter the required comment.
- Click Add Comment.
The comment will be added.
Void Credit Notes
Prerequisite: Ensure that the credit note is not associated with an invoice or refund.
If you don’t want a credit note to impact your sales transactions, but still want to keep it for record purposes, you can void it. To do so:
- Go to Sales on the left sidebar.
- Click the Invoices dropdown at the module bar, and select Credit Notes.
- Select the credit note you want to void.
- Click the More icon at the top of the credit note’s Details page, and select Void from the dropdown.
- In the pop-up that appears, enter the reason to void, and click Void it.
The credit note will be voided.
Delete Credit Notes
To delete a credit note:
- Go to Sales on the left sidebar.
- Click the Invoices dropdown at the module bar, and select Credit Notes.
- Select the credit note you want to delete.
- In the Details page, click the More icon and select Delete from the dropdown.
- In the confirmation pop-up, click OK.
The credit note will be deleted.
