Create Credit Notes

To create a credit note in Zoho ERP:

  • Go to Sales on the left sidebar.
  • Click Invoices at the module bar on top, and select Credit Notes from the dropdown.
  • Click + New in the top right corner.
  • In the New Credit Note page, fill in the following page:
    • Customer Name: Select the customer for whom you want to create the credit note.
    • Reason: Choose a reason for creating the credit note. For example, if the item was returned by the customer, you can select Sales Return.
    • Credit Note#: It is auto-populated by default. To customise or update it, click the Gear icon. In the pop-up that appears, make the required changes, and click Save.
    • Reference#: Enter a unique reference number for internal use.
    • Credit Note Date: Choose the date on which you want to create the credit note.
    • Accounts Receivable: Choose the account to track the credit note’s amount.
    • Salesperson: Associate a salesperson, if required. If you don’t have one:
      • Click Manage Salespersons from the dropdown.
      • In the Manage Salesperson pop-up, click + New Salesperson.
      • Enter the Name and Email of the salesperson.
      • Click Save and Select.
    • Subject: Provide a short description on why you’re creating the credit note.
    • Select the required items.
  • Click Save as Draft or Save as Open.

The credit note will be recorded.

Create Credit Notes From Other Sources

You can record credit notes in Zoho ERP in two other ways:

Create Credit Notes From Invoices

To create a credit note from the invoice’s details page:

  • Go to Sales on the left sidebar.
  • Click Invoices on the module bar at the top, and select Invoices from the dropdown.
  • Select the invoice for which you want to create a credit note.
  • In the details page, click the More icon and select Create Credit Note from the dropdown.
  • In the New Credit Note page, fill in the required details.
  • Click Save as Open or Save as Draft and convert it to Open later.

The credit note will be created.

Import Credit Notes

If you have credit notes in a different accounting software, or have stored it locally, you can import them into your Zoho ERP organisation. Here’s how:

  • Go to Sales on the left sidebar.
  • Click Invoices on the module bar at the top, and select Credit Notes from the dropdown.
  • Click the More icon in the top right corner, hover over Import, and select Import Credit Notes from the dropdown.
  • In the Import page:
    • Click Choose File to upload the required file. You can also download a sample file for your reference.
    • Choose the required Character Encoding and Field Delimiter for your import file.
    • Enable Auto-generate Credit Note Numbers if you want to number your credit notes based on the transaction number series available in Zoho ERP. In that case, any credit note numbers in your import file will be ignored.
    • Enable Map the customers’ addresses in the import file to their customer record in Zoho ERP option to check if the customer record exists in Zoho ERP.
      • If the record exists, the details like customer’s address will be updated.
      • If the record doesn’t exist, it will be recorded as a new customer.
    • Click Next.
  • In the Map Fields page, check if all the fields in Zoho ERP are mapped with the headers in the import file.
    • Enable the Save these selections for use during future imports option to reuse the same mapping when you import credit notes again.
    • Click Next.
  • In the Preview page, check if all the records are imported, and click Import.

The credit notes will be imported into Zoho ERP.
