Quality Rules
Quality Rules define when and how quality inspections are enforced for manufactured and purchased items in Zoho ERP. They link items to inspection criteria and ensure that quality checks are performed at the appropriate transaction stage, such as Manufacturing Orders or Purchase Receives. Each Quality Rule specifies the item, transaction type, sample rate, allowed failures, and inspection guidance.
In Advanced View, Quality Rules can also be associated with one or more Quality Templates to apply both qualitative and quantitative inspection criteria. Once marked as active, Quality Rules automatically trigger quality inspections and prevent completion of transactions until inspection requirements are met.
Create Quality Rules
Note: Under one Transaction Type, only one rule can be created for a single item. However, you can create two rules for the same item under different transaction types.
Here’s how you can create Quality Rules:
- Go to Quality on the left sidebar and navigate to Quality Rules in the top module bar.
- Click + New on the top right corner of the page.
- In the New Quality Rule page fill in the required details.
- Click Save.

| Quality Rules | Enter the name of the rule. |
| Quality Rule Number | Enter a unique number for your Quality Rule. To configure the numbers to be generated automatically click the Gear icon in the Quality Rule Number field. |
| It Item Name | Select an item from the dropdown to associate with this Quality Rule. |
| Transaction Type | Choose the transaction for which this Quality Rule should apply with the associated item. |
| Sample Rate | Enter the sample rate to mention the number of samples that will be sent for Quality Inspection for a Manufacturing Order and Purchase Receives. |
| Allowed Failures | Enter the rate of failures that can be allowed in a Manufacturing Order or Purchase Receives. If this field is left empty, even a single failed product will fail the quality inspection. |
| Inspection Guide | Enter the purpose for which you are creating this quality rule. It will serve as a guide for the quality inspectors who perform quality inspections. You can format the description with bold, italics, underline and strikethrough. You can also add bullets and change the colour of the font and its background. |
| Attachment | You can attach files to your Quality Rule for reference. You can add a maximum of 5 files for 10 MB each for a template. |
Insight: For advanced view, you will configure the Sample Rate and Allowed Failures when you create a Quality Template.
Associated Quality Templates
Note: You can associate Quality Templates to a Quality Rule only in the advanced View.
Every manufactured and purchased item will undergo inspections based on the templates associated here under Quality Rules.
Note: Both Quantitative and Qualitative templates can be added for a single item.
Here’s how you can associate a Quality Template for an item:
- Click + Add under the Associated Quality Templates section.
- You can enter and search or select the template from the dropdown.
- The selected quality templates will be displayed under Assigned Quality Templates.
- For Quantitative templates, you can enter the values under each parameter to test the sample item during Quality Inspection.
- Click + Add Quality Template to add another template for the quality rule.
- To remove a selected Quality Template click the Remove icon on the right.
- Click Save.
Note: You cannot add multiple Quality Rules for a single item. If you need to add a new template, edit the existing rule and assign a new template.
Edit
You can edit the details of a Quality Rule. Here’s how:
- Go to Quality on the left sidebar and navigate to Quality Rule in the top module bar.
- Select the Quality Rule you want to edit.
- Click Edit.
- Make the required changes in the Edit Quality Rule page.
- Click Save.
Note: You cannot edit a Quality Rule after inspection records are created.
You can perform other actions like Mark as Active, Mark as Inactive, Delete, Clone, Filters, Status, Sort By, Refresh List, Add Comments and View History and Attach files for Quality Rules.
