Quality Module Operations
Zoho ERP provides multiple operations that allow you to manage and organize the Quality module transactions efficiently. These operations help you control the quality modules’ lifecycle and customize how each quality transaction is viewed and handled.
The actions you can perform in the Quality module can be classified into:
Management Actions
The management actions let you manage the lifecycle of quality transactions after they are created, helping you maintain accurate and up-to-date records.
Note: These actions are available only for Quality Templates and Quality Rules.
Clone
If you want to create two quality transactions with the same criteria you can clone it. Here’s how:
- Go to Quality on the left sidebar and click the required module from the top modules bar.
- Select the transaction you want to clone.
- Click Clone.
Mark as Inactive
You can mark a Quality transaction as inactive if you don’t need it temporarily. Here’s how:
- Go to Quality on the left sidebar and click the required module from the top modules bar.
- Select the transaction you want to mark as inactive.
- Click Mark as Inactive.
Mark as Active
You can mark an inactive quality transaction as active again. Here’s how:
- Go to Quality on the left sidebar and click the required module from the top modules bar.
- Select the transaction you want to mark as active.
- Click Mark as Active.
Delete
You can delete the Quality transaction if you don’t need it permanently. Here’s how:
- Go to Quality on the left sidebar and click the required module from the top modules bar.
- Select the transaction you want to delete.
- Click Delete for a Quality Template and for a Quality Rule, click the More icon and select Delete from the dropdown.
- Click Delete in the pop-up to confirm.
List View Actions
The list view actions let you organize and customize how the Quality transactions are displayed, making it easier to find and review the information you need.
Note: These actions are available for all the four Quality modules.
Filters
You can filter the Quality transactions based on their statuses. Here’s how:
- Go to Quality on the left sidebar and click the required module from the top modules bar.
- Click filter dropdown in the top left corner of the required module’s list view page.
- Select the type of Quality transaction you want to view from the dropdown.
Status
These are the statuses a Quality Transaction undergoes in the Quality module.
Quality Templates
| Status | Description |
|---|---|
| Active | Quality Templates that are used in product manufacturing. |
| InActive | Quality Templates that are recently not used in product manufacturing. |
Quality Rules
| Status | Description |
|---|---|
| Draft | Quality Rules once created will be in draft status by default. |
| Active | Quality Rules that are used in product manufacturing. |
| InActive | Quality Rules that are recently not used in product manufacturing. |
Quality Inspections and Inspection Worklists
| Status | Description |
|---|---|
| Pending | Inspections that are yet to be validated. |
| In Progress | Inspections that have been initiated but not yet completed. |
| Passed | Inspections that have passed validation. |
| Failed | Inspections that have failed validation. |
Sort by
You can sort the Quality transactions based on the available fields. Here’s how:
- Go to Quality on the left sidebar and click the required module from the top modules bar.
- Click the More icon in the top right corner of the page and hover over Sort by.
- Click the required field to sort the transactions.
- The sorting can be done based on ascending or descending order indicated by arrow. Click the column name again to change the sorting order.
Refresh List
Here’s how you can refresh the customizations made to the list page of the Quality module:
- Go to Quality on the left sidebar and click the required module from the top modules bar.
- Click the More icon in the top right corner of the page.
- Click Refresh List.
Other Actions
Other actions include additional options that support reviewing, documenting, and maintaining records in the Quality module.
Attach Files
Note: This option is available only for Quality Templates in simple view and Quality Rules in the advanced view.
You can attach files to the Quality module transactions using the following methods:
- Attach the files from your device.
- Attach files from documents folder of your organisation.
- Attach files from cloud resources like Zoho Workdrive, Google Drive, Dropbox, One Drive, etc.
Here’s how you can attach files in the creation or edit page of the required transaction:
- Go to Quality on the left sidebar and click the required module from the top modules bar.
- Select the transaction for which you want to attach files.
- Click Upload File in the Attach field.
- Click the dropdown next to upload files and select the preferred option.
Comments & History
Note: This option is available for all the four Quality modules.
You can add comments and track activities of a Quality transaction for internal purposes. Here’s how:
- Go to Quality on the left sidebar and click the required module from the top modules bar.
- Select the required Quality module where you want to add comment.
- Click the Comments and History icon.
To delete a comment:
- Click the Trash icon next to the comment added.
- Click Delete to confirm.
