Quality Inspections
Quality Inspections are where manufactured and purchased items are evaluated and validated against the Quality Rules defined for them. Inspections are automatically triggered after job cards are completed for Manufacturing Orders or once items are received through Purchase Receives.
This module allows inspectors to record inspection results, validate pass or fail outcomes based on allowed failure thresholds, and ensure compliance before transactions are completed.
In Simple View, inspections are validated directly using quantity-based outcomes, while in Advanced View, inspections progress through Inspection Worklists for structured execution. Quality Inspections ensure that only approved items move forward into inventory or order completion.
Create Quality Inspections
You can create quality inspections for the items you manufacture and the items you receive from your vendors through purchases.
Here’s how you can create a Quality Inspection:
For a Manufacturing Order
Prerequisite: You need a manufacturing order with all the released job cards to be completed.
- Go to Manufacturing in the left side bar and navigate to Manufacturing Orders in the top module bar.
- Select the Manufacturing Order that requires Quality Inspection.
- You can view the associated Quality Rules for this item under the Quality Inspections tab.
- Click Create Quality Inspection once the job cards are released.
- Now go to the Quality Inspections module to validate quality inspections.
Note: The quality inspections have to be validated in order to complete the Manufacturing order, if the manufactured item is associated with a Quality Rule.
For a Purchase Receive
Note: You need to record a purchase receive in received status for the items you’ve purchased.
Here’s how you can create a Quality Inspection for a purchased item:
- Go to Purchases on the left sidebar.
- Click Purchase Orders in the top module bar and select Purchase Orders from the dropdown.
- Create a purchase receive for the items you’ve purchased.
- Click Save as Received when you create a receive or Mark as Received in the details page of the purchase receive.
- You can view the associated Quality Rules for this item under the Quality Inspections tab.
- Now go to Quality Inspections module to validate the quality inspections.
Validate Quality Inspections
Once an inspection is initiated the quality inspector can start evaluating the manufactured or purchased item. Here’s how you can validate Quality Inspections:
- Go to Quality in the left side bar and navigate to Quality Inspections in the top module bar.
- Select the pending Quality Inspection that has to be validated.
Assign Quality Inspector
Prerequisite: You need to create a quality inspector to assign an employee in order to perform the quality inspection.
Here’s how you can assign a Quality Inspector to an inspection after creating one:
- Go to Quality in the left side bar and navigate to Quality Inspections in the top module bar.
- Select the pending Quality Inspection that has to be validated.
- Click Assign Inspector to at the top of the Quality Inspection details page.
- Select the Quality Inspector from the dropdown in the Assign Quality Inspector popup.
- Click Save.
Initiate Simple View Inspection
Here’s how you can inspect an item in simple view:
- Click Inspect to initiate inspection for the item.
- Select the Execution Date. The date when you perform the quality inspection.
- Enter the failed quantity under Units Failed.
- The Passed Quantity will be auto-populated based on the Failed Quantity entered.
- Click Validate.
Note: The validation of manufactured or purchased item will be system generated based on the units mentioned in Allowed Failures.
- If units of Failed Quantity is less than or equal to the units mentioned in Allowed Failures, the item will pass the Quality Inspection.
- If units of Failed Quantity exceed the units mentioned in Allowed Failures, the item will fail the Quality Inspection.
Note: The Quality Inspection Tab will appear in Manufacturing or Purchase Receive transactions of the item only if the Quality Rule is marked as active.
Initiate Advanced View Inspection
These Quality Inspections will be converted into Inspection Worklists for evaluation, once you assign an instructor and click Inspect.
Pro tip: You can also initiate the inspection from the Inspection Worklists module. Select the pending templates and click Inspect.
You can perform other actions like Refresh List, Sort By, Filters, Status and Add Comments and View History for Quality Inspections.
