Sales Channel Items

When you integrate Zoho ERP with online sales channels such as Amazon, Etsy, eBay, and so on, not only can you sell your Zoho ERP items on those sales channels, but also fetch new items created in the sales channel. These items can either be linked to an existing Zoho ERP item or added as a new item.

Confirm or Link with Exsisting Item

If the name or SKU of an item fetched from the sales channel is identical to any of those in Zoho ERP, the app will link them automatically. Otherwise, they are categorized as Unconfirmed Items, which you can link manually or save as a new item.

Similarly, you can link multiple items from a single or multiple sales channels to the same item in Zoho ERP. The stocks in Zoho ERP serve as the master stock and are updated across all sales channels.

Note: Unless you confirm these items in Zoho ERP, they cannot be added to any new transaction, and their associated online orders will be frozen.

To confirm or link a sales channel item in Zoho ERP:

  • Navigate to Items in the left sidebar.
  • Click the Custom View dropdown on the top-left of the item list view page.
  • Select Unconfirmed Items.
  • Click an unconfirmed item to confirm or link in the items list view page.
  • Under the confirmation banner in the Overview tab, choose whether you want to confirm, update, or link to an existing item.
  • Confirm – Add this as a new item with its current details.
    • In the upcoming pop-up, you can view the item’s available quantity.
    • Click Confirm to create the new item with the updated quantity.
  • Update - Update the item details before adding it to Zoho ERP.
    • You will be redirected to the item editing page. Edit the required changes and click Save.
  • Link to Existing Item - You can link an item from your sales channel to an existing item in Zoho ERP. To do this, you must delete any transactions associated with the sales channel item.

Find Associated Transactions for the Sales Channel Item

To link with an existing item, first find and delete the related transactions.

  • Go to the Transactions tab in the item details page.
  • Click the Filter By dropdown.
  • Select each module below and check if it contains any transactions for the item
    • Inventory Adjustments
    • Quotes
    • Sales Orders
    • Invoices
  • If any transactions appear, click the Transaction Number or* Transaction Name.*
  • Once clicked, you will be redirected to the transaction details page.
  • Click the More icon at the top.
  • Select Delete.
  • Once all associated transactions are deleted, switch back to the Overview tab.
  • Click Link to Existing Item in the above section.
  • Select the Master Item (existing item in your ERP organization).
  • Click Merge.

Warning: Before confirming the items directly, please pay special attention to the following fields - purchase price, selling price & opening stock value. Sales channel items do not have purchase information and hence the system will, by default, equate its selling price to its purchase price & opening stock value. Hence, it would be wise to update the actual values of your item purchase price & opening stock value during the update process.

Mapping Unconfirmed Items from Online Orders

Unconfirmed items cannot be associated to transactions, and their associated online orders will be frozen until they have been mapped manually to Zoho ERP.

To confirm your items,

  • Go to Sales on the left sidebar.
  • Navigate to Sales Orders in the top Module bar.
  • Click the Custom View dropdown in the sales order List view page.
  • Select Marketplace from the dropdown.
  • Open an online sales order.
  • If the online sales order has one or more unconfirmed items, you will find a warning message indicating the presence of unconfirmed line items.
  • Click Unconfirmed Items in the pop-up to view the items that are fetched from sales channels.
  • Click Confirm to create it as a new item in your ERP organization.
  • Select Confirm to proceed in the pop-up.
  • On confirming the items, you can convert the online sales order to invoices, packages & shipments.

Unlink Item From Sales Channels

If you no longer want to link a sales channel item to a Zoho ERP item, you can unlink them. The following are the effects of unlinking an item from sales channels:

  • Changes in the stock level of the inventory item will no longer trigger a stock update to the sales channel item.
  • The sales orders associated with the sales channel item will not be synced with Zoho ERP.

To unlink an inventory item from the sales channels:

  • Click Items on the left side bar.
  • Open an item that has been linked to sales channels.
  • Navigate to the Gear icon in the Associated Sales Channels section.
  • Click Unlink Items.
  • Select the sales channels from which you would like to unlink this item.
  • Click Unlink and Proceed.

Pro Tip:This feature is useful if you have wrongly linked two items. You can unlink them, fetch the item again from the sales channel during the next sync, and link it to the appropriate item in Zoho ERP.

Update Item Stock Levels to Sales Channel

When you integrate Zoho ERP with an online sales channel, the stock levels of the item in Zoho ERP will be updated to the associated sales channels whenever there is a change in the stock level triggered by the creation of purchase receives, shipments, and invoices in Zoho ERP. You can also trigger a manual stock update for an item to all the sales channels at any point of time. To do so:

  • Go to Items on the left sidebar.
  • Open a sales channel item.
  • Click the More dropdown in the top right corner.
  • Select Push Stock.

During the sync, new online orders(if any) will be imported from the sales channel, and the quantity required to fulfil these orders will be recorded as committed stock in Zoho ERP. Now the stock update to the sales channel will be something like: Available Quantity = Current Stock Available in Zoho ERP - Committed Stock(for the online orders fetched during that sync).
