Opening Stock
Opening stock represents the quantity and value of the item at the beginning of your business period. It is the initial stock on hand available before recording any transactions, such as purchases or sales. Specifying the opening stock ensures accurate inventory tracking and valuation from the start of the accounting period. In Zoho ERP, opening stock for the item can be added depending on the following cases in your organization,
Without Locations Enabled
If Locations feature is not enabled in your organization, you can follow the steps below to add opening stock for the item,
- Go to Items on the left sidebar.
- Select the item you want to add opening stock details.
- In the Overview tab, click the Pencil icon next to the Opening Stock.
- Enter the Opening Stock and Opening Stock Value Per Unit in the pop-up that appears.
- If Advanced Inventory Tracking is enabled for the item, add the respective serial numbers or batches and its quantity for the item.
- Click Save.
With Locations Enabled
Warning:Once you enable the Locations feature, you cannot disable it. However, you can mark any locations as inactive if it’s no longer in use.
If the Locations feature have already been enabled in your organisation, here’s how you can add opening stock for an item,
- Go to Items on the left sidebar.
- Select the item you wish to add opening stock for each location.
- In the Item Details page, click the Locations tab.
- Click the Gear icon near Stock Locations.
- Select Add Opening Stock in the dropdown.
- Select the Location and enter the Opening Stock and Opening Stock Value Per Unit.
- If you have enabled Bin Tracking and Advanced Inventory Tracking for the item, you can select the respective bins and add the serial numbers or batches and bins for the item.
- Click Save.
View Opening Stock
You can view the opening stock for an item in the Overview tab. To do this,
- Go to Items on the left sidebar.
- Select an item you wish to view the opening stock.
- In the Overview tab, the Opening Stock for the item will be displayed.
- If the Locations feature is enabled, you can view the quantity distribution of opening stock in each location/warehouse for the item.
Add Serial Numbers to Item
A serial number is a unique code assigned to an individual item. It helps you track specific items from purchase to sale. By enabling serial number tracking, you can monitor each unit’s movement, identify defective items, manage returns easily, and maintain accurate inventory records.
Prerequisite: Enable Serial Number Tracking under Advanced Inventory Tracking in Settings.
You can add serial numbers either manually or automatically in the opening stock details page,
- To add manually – Type each serial number and press the Enter key.
- To add automatically – Click the Generate icon and enter the starting serial number and count.
Click Generate You can view both the quantity to be added and the added quantity for each location in the table.
Note: The first serial number must end with a numeric value (e.g., SN-001). Consecutive numbers will be generated based on the opening stock count.
Pro Tip: You can also scan the items serial numbers to add them easily
Note: If bins are enabled for the item, you can select the bins for the serial numbers.
Add Batches to Item
Batch Tracking helps you manage and monitor items that are grouped together under a specific batch number. It allows you to track items based on their batch reference number, manufacturer batch number, manufacture date, and expiry date, ensuring accurate inventory control and traceability.
Prerequisite:Enable Batch Tracking under Advanced Inventory Tracking in Settings.

| Opening Stock Value (per unit) | The cost or value assigned to each unit of the batch. |
| Batch Reference # | The unique reference number is assigned to identify the batch for the item. |
| Manufacturer Batch # | The batch number provided by the manufacturer, useful for item traceability. |
| Manufactured Date | The date on which the batch was produced or manufactured. |
| Expiry Date | The date after which the batch is no longer usable. |
| Quantity In | The number of items added to the batch through transactions like purchases or transfer orders. |
| Locations | Select the location or warehouse from the dropdown where the batch is stored. (If the Locations module is enabled) |
Note: If bins are enabled for the item, you can select the bin for the batches in the opening stock details page.
