Advance Inventory Tracking
Advanced Inventory Tracking allows you to track items using serial numbers and batch number. It provides detailed visibility of stock movement across purchases, sales, and transfers.
Serial Items
Serial Number Tracking enables you to uniquely identify and track individual items using serial numbers across inventory transactions. You can either select or add serial numbers in the item table based on the transaction. If you’re choosing from existing serial numbers, you can simply select them. If the serial numbers are new, you can add them to the item.
Select Serialized Item in Transaction
To select serial numbers for an invoice, sales receipt, and vendor credits, follow the steps,
- Navigate to the respective module(Invoices, Sales Receipts or Vendor Credits).
- Fill in the necessary details and select a serial tracked item in the Item Table.
- Click Select Serial Numbers under the Quantity column.
- Choose any of the following methods to add serial numbers:
- Barcode Scanning – Enable this option to scan and add items.
- Autofill Serial Numbers – Click and enter the serial number prefix, count. Once done click OK to autofill.
- Select from the Dropdown – Click or type to choose serial numbers in the dropdown.
- Enable Overwrite the line item with n quantities, if you want to update the quantity based on the serial numbers selected.
- To remove all selected serial numbers at once, click Clear All below the table.
- Once done, click Save.
Select Bin Tracked Serialized Item in Transaction
If it is a bin-tracked serial item,
- Navigate to the respective module (Invoices, Sales Receipts or Vendor Credits).
- Fill in the necessary details and select a serial-tracked item in the Item Table.
- Click Select Serial Numbers under Quantity column.
- Click the Serial Number Dropdown to select or type the serial numbers.
- Once entered, you can view the associated bins for the serial numbers in the Bin column.
- Enable Overwrite the line item with n quantities, if you want to update the quantity based on the serial numbers selected.
- To remove all selected serial numbers at once, click Clear All below the table.
- Once done, click Save.
Add Serialized Item in Transaction
To add serial numbers for in a credit note or bill.
- Navigate to Sales or Purchases module in the left sidebar
- Click the respective module in the top Module bar (Credit Notes or Bills).
- Fill in the necessary details and select a serial tracked item in the Item Table.
- Click Add Serial Numbers under the Quantity column.
- Click Generate icon. Enter the Serial Number prefix and Count.
- Enable Overwrite the line item with n quantities, if you want to update the quantity based on the serial numbers selected.
- Click Save.
Add Bin Tracked Serialized Item
To add bin tracked serial numbers for an item in a credit note or bill.
- Navigate to Sales or Purchases module in the left sidebar
- Click the respective module in the top Module bar (Credit Notes or Bills).
- Fill in the necessary details and select a serial tracked item in the Item Table.
- Click Add Serial Numbers under Quantity column.
- Enable Overwrite the line item with n quantities, if you want to update the quantity based on the serial numbers selected.
- Click the Bin Dropdown to select the bin.
- Click + New Row to add more bins.
- To add serial numbers, you can either
- Type the serial numbers and press a comma(,) to split.
- Use a scanner to add the serial number.
- Click Generate Serial Numbers. Enter the Serial Number prefix and Count.
- You can also assign serial numbers with the same prefix to all associated bins. The quantities will be separate automatically based on availability.
- Once done, click Generate.
- Click Save.
Batch Tracking Items in Transaction
Batch Tracking enables tracking of items in batches using batch or lot numbers for improved inventory control and traceability. You can either select or add batches in the item table based on the transaction. If you’re choosing from existing batches, you can simply select them. If the batches are new, you can add them to the item.
Select Batch Tracked Items in Transaction
To select batches for invoices, vendor credits, and sales receipts,
- Navigate to the respective module (Invoices, Sales Receipts, or Vendor Credits).
- Fill in the necessary details and select a batch tracked item in the Item Table.
- Click Select Batches under Quantity column.
- Click the Batch Reference dropdown and select the batch for the item.
- Enter the Quantity Out that needs to be issued from the selected batch.
- To record more than one batch, click + New Row to record more than one batches
Select Bin and Batch Tracked Items in Transaction
- Navigate to the respective module (Invoices, Sales Receipts, or Vendor Credits).
- Fill in the necessary details and select a batch tracked item in the Item Table.
- Click Select Batches & Bins under the Quantity column.
- Click the Batch Reference dropdown and select the batch for the item.
- Select the Bin from the Bin dropdown from where the batch will be issued. To add more bins for a batch, click +Add Bin.
- Enter the quantity under Quantity Out that needs to be issued from the selected batch.
- Click + New Row to add additional rows if you want to record more than one batch.
- Once done, click Save.
Add Batch Tracked Items in Transaction
To add batch numbers for a credit note or bill,
- Navigate to the respective module (Credit Notes or Bills).
- Fill in the necessary details and select a batch tracked item in the Item Table.
- Click Add Batches under the Quantity column.
- Enter the new Batch Reference number or use the auto-generated one.
- Enter the Quantity In that needs to be received for the selected batch.
- Click + New Row to add additional rows if you want to record more than one batch.
- Click the + Existing Batch dropdown to select the existing or empty batch you created earlier.
- Once done, click Save.
Add Batch Tracked Items in Transaction
To add a bin-tracked batch item in a credit note or bill,
- Navigate to the respective module (Credit Notes or Bills).
- Fill in the necessary details and select a batch tracked item in the Item Table.
- Click Add Batches & Bins under the Quantity column.
- Enter the Batch Reference number or use the auto-generated one.
- Click the Select bin dropdown and choose the bin to receive the batch items.
- Enter the Quantity that needs to be received for the selected batch.
- To add more than one bin, click +Add Bin.
- Click + Existing Batch dropdown, and select the existing or empty batch you created earlier.
- Once done, click Save.
