Coupon Operations
You can perform key actions such as creating coupons, importing them in bulk, editing coupon details, controlling their availability, and tracking their usage across subscriptions and invoices from the Coupons module. You can also view associated transactions, monitor activity logs, export coupon data, and remove coupons from active subscriptions, giving you complete control over how discounts are applied and managed.
Create Coupons
You can create coupons individually or import them in bulk, then configure their applicability, validity, and redemption limits based on your business requirements.
Creating a Coupon
You must create a coupon to offer discounts on your plans and addons based on your business requirements for your customers.
Here’s how you can create a coupon:
Log in to your Zoho ERP organization.
Naviagte to Items in the left side bar.
Switch to the Coupons tab on the top modular bar.
Click +New in the top right corner.
In the New Coupon page, fill in the following fields:
Coupon Name: Enter a name for your coupon.
Coupon Code: Set a unique coupon code, your customers can use this coupon code to apply the discount in the checkout page.
Discount: Enter a Percentage (%) or Amount for discounts. The amount or percentage that you set will be deducted from the price of the associated plan or addon.
Discount Preference: You can select how the discount should be applied in a transaction.
You can select Item-Level to apply the coupon to each line-item of a transaction. You should configure the products and its associated plans and addons the coupon should be applied to.
Note: While associating a coupon to a subscription with multiple plans and addons, the discount will be applied to only to the line-items that are associated with that coupon. The prices will remain the same for the plans and addons that are not associated to that coupon.
Or, you can select Transaction-Level to apply the discount to the transaction’s total. You can select the customers who are eligible for this discount.
Redemption Type: Redemption type refers to the number of times a coupon can be applied to a particular subscription.
Select One Time if the coupon must be applied only on the first invoice of a subscription.
Select Unlimited if the coupon must be applied to every subscription renewal.
Select Limited Cycles to set a specific number of times the coupon should be applied for each subscription.
Select Buy X Get Y to apply the discount when the customer purchases a specified number of plans, addons or items and becomes eligible to receive configured discount.
Applicability: Configure the products and its associated addons the coupons can be applied to.
Applicable Products: You can select the products the coupons must be applied to.
Select All Products to apply the coupon to all products and its associated plans and addons.
Select Selected Products to configure the plans and addons the coupon must be associated with.
Associated Plans: You can choose the plans to which this coupon applies.
Select All Plans to apply the coupon to all plans under the selected product.
Select None if you don’t want to associate the coupon with any plan.
Select Specific Plans to apply the coupon only to chosen plans. Then, select specific plans from the Select Plans dropdown to which the coupons must be applied.
Associated Addons: You can choose the addons to which this coupon applies.
Select All Recurring Addons to apply the coupon to all recurring addons under the selected product.
Select All One-time Addons to apply the coupon to all one-time addons under the selected product.
Select None if you don’t want to associate the coupon with any addon.
Select Selected Addons to apply the coupon only to chosen add-ons. Then, select the specific add-ons from the Select addons dropdown to which the coupon must be applied.
Select Customer: You can specify the customers to whom the coupon must be applied to. From the Select Customers dropdown,
Validity: In the validity section you can configure the following fields:
Set Expiration Date: Choose a date until which the coupon will remain valid. After the expiration date, the coupon can no longer be applied to subscriptions or invoices.
Maximum Redemption: Specify the maximum number of times this coupon can be redeemed across all subscriptions. Once the redemption limit is reached, the coupon will automatically become inactive and can no longer be used.
Maximum Redemption Per Customer: Specify the maximum number of times this coupon can be redeemed for each customer. Once the redemption limit is reached, the coupon will automatically become inactive and can no longer be redeemed.
Click Save.
Importing Coupons
To save time, you can import coupons instead of creating them individually. Use the steps below to import them into Zoho ERP.
Log in to your Zoho ERP organization.
Naviagte to Items in the left side bar.
Switch to the Coupons tab on the top modular bar.
Click the More icon in the top right corner and select Import Coupons.
Click the Choose File button under Upload File. You can download the sample CSV or XLS file for your reference by clicking sample csv file or sample xls file.
Insight: You can attach files up to a maximum size of 25 MB.
- Choose the Character Encoding and File Delimiter for your file. The Field Delimiter is used to separate two values in a row. While importing recurring invoices, the default file delimiter is comma (,).
Insight: Character Encoding is used to pair numbers with characters. By default, the Unicode Transformation Format (UTF-8) encoding is used which supports a wide range of characters that go beyond 8 bits.
Click Next.
Ensure that all the fields are mapped correctly in the Map Fields page.
Mark the box Save these selections for use during future imports if you want to use the similar import format for the next time.
Click Next.
Review your import details and click Import.
Once imported, the coupons will appear under Coupons and can be managed the same way as any coupon created in your Zoho ERP organization.
Management Actions
Manage your coupons by editing their details, controlling availability, and performing actions such as cloning, deleting, or removing coupons from subscriptions.
Editing a Coupon
Once you create a coupon, you can only change the name, postpone the expiry date of the coupon and update the Maximum Redemption field.
Here’s how you can edit a coupon:
Log in to your Zoho ERP organization.
Naviagte to Items in the left side bar.
Switch to the Coupons tab on the top modular bar.
Select the coupon which you’d like to edit.
Click the Edit button in the coupon details page.
In the Edit Coupon page, make the required changes and click Save.
Your coupons will be updated.
Marking a Coupon Inactive
A coupon can be made inactive if you do not want to apply it to new subscriptions but want subscriptions for which the coupon has already been applied to make use of the coupon still.
To make a coupon inactive:
Log in to your Zoho ERP organization.
Naviagte to Items in the left side bar.
Switch to the Coupons tab on the top modular bar.
Select the coupon which you’d like to mark as inactive.
In the Coupon’s details page, click on Mark as Inactive.
The coupon can no longer be applied to new plans and addons. You can mark it as Active again if you’d like to make it available for use.
Cloning a Coupon
If you want to create a new coupon with the same configurations as an existing one, you can choose to clone it rather than create a coupon from scratch. Here’s how:
Log in to your Zoho ERP organization.
Naviagte to Items in the left side bar.
Switch to the Coupons tab on the top modular bar.
Select the coupon which you’d like to clone.
Click on the More icon and select Clone.
A New Coupon page will appear with the same configurations as the coupon you clone. You can make necessary changes and click Save.
Insight: Each coupon must have a unique coupon code. Make sure to update the coupon code before saving the cloned coupon.
A new coupon will be created, you can apply it to selected plans and addons under the associated product.
Deleting a Coupon
Warning: This action is irreversible. Once you delete a coupon, it cannot be recovered.
If you no longer would like offer a coupon to your plans/ addons, you can delete it.
Here’s how:
Log in to your Zoho ERP organization.
Naviagte to Items in the left side bar.
Switch to the Coupons tab on the top modular bar.
Select the coupon which you’d like to delete.
Click on the More icon and select Delete.
Insight: A coupon can be deleted only if it is not associated with any transaction.
Your coupon will be deleted, you can mark the coupon as Inactive if you want to stop offering it without permanently deleting it.
Removing a Coupon From a Subscription
There might be occasions where a coupon needs to be removed from a subscription. This can be achieved by manually removing the coupon from the subscription. Here’s how.
Log in to your Zoho ERP organization.
Naviagte to Items in the left side bar.
Switch to the Coupons tab on the top modular bar.
Choose the subscription from which the coupon has to be removed.
Remove the coupon by clicking Remove Coupon option.
Once removed, the subscription will continue without the coupon, and future invoices will be generated without the applied discount.
Exporting Coupons
You can export coupons from Zoho ERP. Here’s how:
Log in to your Zoho ERP organization.
Naviagte to Items in the left side bar.
Switch to the Coupons tab on the top modular bar.
In the Coupons List page, click on the More icon.
Click on Export Coupons.
You can then export your coupons in CSV, XLS or XLSX formats.
Coupon Details
Once you create a coupon, you can track and review its information from the Coupon Details page. This page provides a comprehensive overview of the coupon at a glance.
The Coupon Details page has two sections:
Coupon Overview Section
The top section displays key information such as the coupon status, discount amount or percentage, redemption type, expiration date, and coupon code. You can copy the coupon code from here and share it with your customers. Customers can use this code on the hosted payment page to avail the discount.
Coupon Configuration Section
The bottom section shows the complete configuration details of the coupon, including the coupon name, redemption type, coupon code, number of cycles, maximum redemptions, the associated product and eligible customers.
View Associated Transactions
If you want to track where a coupon has been used and review the transactions it is associated with, you can view its transaction details directly from the coupon’s page.
Log in to your Zoho ERP organization.
Naviagte to Items in the left side bar.
Switch to the Coupons tab on the top modular bar.
Select the coupon for which you’d like to view its associated transactions.
In the Coupon’s details page, switch to the Transactions tab.
Here, you can view transaction details such as the invoice number where the coupon was applied, the associated customer, the discount amount, and the date of application. Clicking a specific transaction opens the corresponding invoice, allowing you to review complete invoice details.This gives you better visibility into how and where the coupon has been used.
Track Activity Logs
You can track the audit trail of a coupon from the Activity Logs tab. It displays all changes made to the coupon, such as when it was marked active or inactive, along with the date and time of each update.
To track the activity log:
Log in to your Zoho ERP organization.
Naviagte to Items in the left side bar.
Switch to the Coupons tab on the top modular bar.
Select the coupon for which you’d like to track the activity log.
In the Coupon’s details page, switch to the Activity Logs tab.
Additional Coupon Codes
Multiple additional coupon codes can be generated from a single primary coupon. These inherit all properties of the primary coupon except the coupon code and the maximum redemption count. This is useful for running bulk promotions while tracking redemptions individually.
To create additional coupons:
Log in to your Zoho ERP organization.
Naviagte to Items in the left side bar.
Switch to the Coupons tab on the top modular bar.
Select the coupon for which you want to create additional codes.
Navigate to the Coupon Codes tab.
Click + New dropdown and select how you want to create the codes.
Create Codes Manually: Manually enter each coupon code along with its maximum number of redemptions.
Generate Codes Automatically: Generate multiple codes in bulk by specifying a prefix, suffix, and the desired number of characters for each code.
Note:
- If a prefix or suffix is not provided, it will be ignored.
- The maximum redemption count of any additional coupon should not exceed that of the primary coupon.
- If no maximum redemption count is specified for an additional coupon, it will default to one.
Copy Additional Codes
If you need to share coupon codes externally, you can copy them and distribute them through your preferred channels. To copy the generated codes:
Naviagte to Items in the left side bar.
Switch to the Coupons tab on the top modular bar.
Select the coupon of which you’d like to copy its coupon codes.
Navigate to the Coupon Codes tab.
Hover over the code you want to copy.
Click the Copy icon next to it.
Delete Additional Codes
If certain codes are no longer needed, you can delete them from your organization to keep your coupon list organized and up to date. To delete the additional codes:
Naviagte to Items in the left side bar.
Switch to the Coupons tab on the top modular bar.
Select the coupon for which you’d like to delete additional coupons.
Navigate to the Coupon Codes tab.
Hover over the code you want to delete.
Click the Delete icon next to it.
You can delete the codes in bulk by selecting the codes and clicking the Delete icon at the top.
Import Additional Codes
If you already have coupon codes generated externally, you can import them into your Zoho ERP organization instead of creating them manually to ensure consistency across your promotional campaigns. To import additional codes:
Naviagte to Items in the left side bar.
Switch to the Coupons tab on the top modular bar.
Select the coupon for which you’d like to import additional coupons.
Navigate to the Coupon Codes tab.
Click the More icon next to Additional Codes.
Select Import to import additional codes into your organization.
Export Additional Codes
If you need to use existing coupon codes outside of Zoho ERP, you can export them from your organization to access and manage them externally. To export additional codes:
Naviagte to Items in the left side bar.
Switch to the Coupons tab on the top modular bar.
Select the coupon for which you’d like to export additional codes.
Navigate to the Coupon Codes tab.
Click the More icon next to Additional Codes.
Select Export to export additional codes from your organization.
Additional coupons can be applied only on hosted pages and are valid only when the primary coupon is active and has not reached its redemption limit. When an additional coupon is redeemed, it reduces the redemption count for both the additional and the primary coupons.
Other Actions
You can perform additional actions in the Coupons list page to quickly find, organize, and manage sales receipts based on your business needs.
Filtering Coupons
In the coupons list page, you can filter coupons based on their status. By default, you can filter and view all the coupons in Active, Inactive and Expired status.
Here’s how:
- Navigate to Items on the left sidebar.
- Click Coupons on the top module bar.
- Click the All Coupons dropdown at the top and select the required filter.
Custom Views
You can create a new custom view filter, define criteria and view a customized list of coupons.
Scenario:
Patricia wants to view all one-time coupons that are expired. To do this, she can create a custom view and filter coupons defining the criteria accordingly, she can set one criteria as the coupon status is expired and another criteria set to coupon type is one time, the coupons which meet both the criteria will be listed for that view.
Here’s how:
- Navigate to Items on the left sidebar.
- Click Coupons on the top module bar.
- Click the All Coupons dropdown at the top and select the required filter.
- Click +New Custom View and define the criteria based on which the coupons should be listed.
Sorting Coupons
You can sort the coupons list to quickly organize and view coupons based on your preference in the coupon details page. Click the column header; such as Coupon Name, Coupon Code, Maximum Redemption, Redemption Type, or Status, to sort the list in ascending or descending order. This helps you easily locate specific coupons, review expired or active coupons, and analyze coupon details more efficiently.
Here’s how:
- Navigate to Items on the left sidebar.
- Click Coupons on the top module bar.
- Click the column based on which you want to sort. The sorting will be in ascending or descending order, as indicated by the arrow next to the column. OR
- Click the More icon in the top right corner.
- Hover over Sort By and choose the option based on which you want to sort.
Bulk Actions
With bulk actions, you can perform operations on multiple coupons in a single step. For example, you can bulk delete coupons or mark multiple coupons as active or inactive.
Here’s how:
- Navigate to Items on the left sidebar.
- Click Coupons on the top module bar.
- Select the coupons.
- Click on Bulk Actions on the top and update your coupons.
Rearranging Coupons
In the Coupons module, you can customize the list view by choosing which fields are displayed on the main page. You can also rearrange the columns to suit your preference.
Advanced Search Within Coupons
Advanced Search allows you to search for coupons using multiple conditions. This reduces manual effort and improves efficiency when managing multiple coupons.You can use the Advanced Search to filter and quickly find coupons based on specific fields.
To perform advanced search:
- Log in to your Zoho ERP organization.
- Click the Search icon on the top search bar.
- Select Coupons module and define your criteria for the search.
