Bill of Materials

The Bill of Materials (BOM) helps you plan the production of an existing item in your organization by defining two key elements required for manufacturing.

  • Components – Raw materials to produce the item.
  • Operations – Processes involved to produce the item.

Acting as a detailed blueprint, the BOM keeps your entire manufacturing flow organized.

Scenario: Patricia owns a small manufacturing shop where she makes cotton shirts. She uses Bill of Materials (BOM) as a blueprint to manufacture shirts and keep the whole process sorted. In the BOM, she adds all the required components, such as 1.8 meters of fabric, 7 buttons, 50 meters of thread, 1 collar fusing and 1 brand label, along with the operations involved, such as cutting, stitching, button fixing, and finishing for manufacturing one shirt. This helps her know exactly what components will be consumed and what operations her team will follow. Once she decides to produce the shirts, she simply converts this BOM into a manufacturing order and starts the process without any hassle.

Create Bill of Materials

Prerequisite: Make sure you have created the required operations before setting up a BOM.

To create a BOM,

  • Go to Items on the left sidebar.
  • Navigate to Bill of Materials in the top Module bar.
  • Click +New in the top right corner.
FieldDescription
BOM#Enter the BOM number. By default, it is auto-generated, but you can also choose to enter it manually.

To set your preference:

- Click the Gear icon next to the BOM# field.
- Choose one of the following options:

  - Continue auto-generating Bill of Materials numbers – Set the prefix and next number. The BOM number will be auto-populated for every new creation.
  - Enter Bill of Materials numbers manually – Add the BOM number manually during each creation.

Once done, click Save.
BOM NameEnter the BOM name.
BOM DescriptionAdd a brief description of the BOM. You can add up to 500 characters.
Item to ProduceSelect the item planned for manufacturing. You can also create a new item by clicking + Add New Item from the dropdown.
QuantityEnter the quantity of the item you wish to produce.

Add Components

In the Components tab, add the details of each component required for producing the item by clicking +Add New Item.

FieldDescription
NameSelect or add the items that will be used as raw materials to manufacture the item.
QuantityEnter the quantity of the component required for production.
Consumed OperationChoose the operation during which this component will be consumed. When the operation starts, the component’s stock will automatically be reduced.

Add Operations

Once the components are added, switch to the Operations tab. You can view the operations you have associated with the components.

FieldDescription
NameDisplays the name of the operation associated with the BOM.
DescriptionShows a short summary of the operation defined during creation. You can click and edit the description as needed to match the current BOM configuration without affecting the default operation description.
Work Center TypeShows the work center assigned to the operation.
DurationEnter the time required to complete the operation.

Note: For operations measured in hours, convert the time to minutes (e.g., 2 hours = 120 mins) and enter it in the Duration field.

Blocked By Operations

  • Specifies the operation that must be completed before this one can begin.

Scenario: Patricia sets up her cotton shirt production with operations such as cutting, stitching, button fixing, preparing the label, and finishing. Some operations depend on others to be completed first. For example, stitching cannot start until cutting is done, but labels can be prepared while cutting is happening. To manage this, she can use Blocked By Operations in her BOM to indicate which tasks must wait and which can be performed concurrently, ensuring proper time management.

Note: hen you start an operation before completing its prior operation specified under Blocked By Operations, the system will not allow you to proceed and show a pop-up stating that the prior operation must be finished.

You can also add operations without assigning them to a component in a BOM.

Add New Operations

  • Go to the Operation tab in the BOM creation page. If it’s the existing BOM, edit it.
  • Click the Operation name, and select the operation in the dropdown.
  • Enter the Duration for the operation. If needed, you can also add Blocked By Operation if needed.

Scenario: Manish Patel runs a furniture business and manufactures tables. For each table, he has components like wood panels, screws, and varnish, along with operations such as cutting, assembling, polishing, and packaging. Once the table is ready, the packing operation begins. Manish adds a Packing operation without associating any component in a BOM. Since packing does not directly use any raw materials, it can be performed after manufacturing.

  • Click Save.

Create Manufacture Order from BOM

To start manufacturing, create the BOM into a Manufacturing Order (MO).

To create a MO from BOM ,

  • Go to Items in the left sidebar.
  • Navigate to Bill of Materials in the top Module bar.
  • Select the BOM you wish to convert to MO.
  • Click +Create Manufacture Order at the top.
  • You will be redirected to the Manufacturing Order creation page for the BOM.

Other Actions

You can perform some additional actions such as edit, delete, clone, mark as inactive, and view other tab detail in a MO.

Edit

Edit allows you to modify an existing BOM by changing details such as components, operations, or quantities

To edit the BOM:

  • Go to Items in the left sidebar.
  • Navigate to Bill of Materials in the top Module bar.
  • Select the BOM you wish to edit.
  • Click Edit.
  • Make the required changes and click Save.

Clone

Clone lets you create a new BOM using the details of an existing one.

To edit the BOM:

  • Go to Items in the left sidebar.
  • Navigate to Bill of Materials in the top Module bar.
  • Select the BOM you wish to clone.
  • Click Clone.
  • Make the required changes and click Save.

Mark as Inactive

Mark as Inactive allows you to make a BOM inactive without removing it from the system, so it cannot be used in new manufacturing orders but remains in records for reference.

To mark the BOM as inactive:

  • Go to Items in the left sidebar.
  • Navigate to Bill of Materials in the top Module bar.
  • Select the BOM you wish to delete or mark as inactive.
  • Click the More icon at the top left corner.
  • Select Mark as Inactive in the dropdown. To mark a BOM as active, follow the same steps and select Mark as Active.

Delete

Delete permanently removes the BOM from the system, and you will need to confirm the action before it is executed.

To delete a BOM,

  • Go to Items in the left sidebar.
  • Navigate to Bill of Materials in the top Module bar.
  • Select the BOM you wish to delete.
  • Click the More icon at the top left corner.
  • Choose Delete in the dropdown.
  • Confirm your action by clicking Delete in the confirmation pop-up.

View Details

You can view all information related to the BOM, including its associated components, operations, manufacturing orders, and the activity logs.

To view this,

  • Go to Items in the left sidebar.
  • Navigate to Bill of Materials in the top Module bar.
  • Select the BOM you wish to view the details.
  • Switch between the tabs
    • Components, Operations, Manufacturing Orders, and Activity Logs to see the relevant information.
  • Click the item name or manufacturer order number to redirect to its details page in its respective tab.

Comments and History

View the comments added by users in your organization along with the history of actions performed on the BOM, helping you track updates, discussions, and changes over time.

To view comments and history,

  • Go to Items in the left sidebar.
  • Navigate to Bill of Materials in the top Module bar.
  • Select the BOM you wish to view the the comments and history.
  • Click the Comment icon in the top right corner.
  • View the comments along with their history. To add a comment,
    • Enter the comment in the text box.
    • Click Add Comment.
