Replenishments

Replenishment in Zoho ERP helps businesses maintain optimal stock levels by identifying items that need restocking based on predefined strategies. It lists low-stock items under the Pending Replenishments section in the Replenishment module. From there, you can manually create the necessary orders to replenish stock.

Enable Replenishments

Replenishment is essential for ensuring a steady supply of inventory while preventing stockouts and minimising carrying costs. Here’s how you can enable it in settings:

  • Log in to your Zoho ERP organisation.
  • Click to the Gear icon in the top right corner.
  • Navigate to Module Settings.
  • Click Items under General.
  • Under the General tab, scroll down and enable Replenishments Toggle.
  • After enabling, you can set the default number of days and time for replenishment reminders to trigger.
    • Enable Include Yet to Receive and In Transit stock along with available for sale to generate replenishment tasks if you wish to include yet to receive and in transit stock along with available for sale while generating replenishment tasks.
  • Click Save.

    Insight: When stock levels fall below a set threshold, replenishment will lists low-stock items under the Pending Replenishments section, reducing the need for constant manual monitoring.

Configure Replenishments

You can set up your replenishment depending on your organisation type:

Locations Disabled Organisation

If you only have a single warehouse in your organisation, you can set up replenishment directly on the item details section. Here’s how you can do it:

  • Navigate to Items on the left sidebar.
  • Click the item you want to configure replenishment.
  • Under the Overview tab, scroll down and click + Create Replenishment near Replenishments.

Order TypeYou can create either a Purchase order or Transfer order.
Preferred Vendor / Source locationIf you select Purchase Order, you can choose a preferred vendor to whom the replenishment should be created.

If you select Transfer Order, you can choose a source location from where the items will be received.
Reorder LevelThis is the quantity at which you would like the replenishment to be created
Maximum Stock LevelThe maximum quantity that you can keep in stock to avoid overstocking
Minimum Order QuantityThe minimum quantity that can be ordered when replenishing stock for the selected location is displayed in order creation for reference.
Maximum Order QuantityThe maximum quantity that can be ordered when replenishing stock for the selected location is displayed in order creation for reference.
Unit MultipleThe item can only be purchased in specific unit multiples. For example, if the unit multiple is 5, you can purchase items only in multiples of 5. i.e, 5, 10, 15 and so on.
FrequencyThe number of days at which the replenishment should be triggered.
  • Click Save to finish.

Insight: The item’s stock level will be checked based on the frequency you set (e.g., every 1 day or 3 weeks). If it falls below the reorder point during a check, a notification will be sent, allowing you to quickly create a Purchase Order or Transfer Order to avoid stockouts

Locations Enabled Organisation

If you have multi-warehouse enabled, you can set up replenishments at the warehouse tab at item details. Here’s how you can do it:

  • Navigate to Items on the left sidebar.
  • Click the item you want to configure for replenishment.
  • Go to the Warehouses tab/locations tab.
  • Click the Gear icon near the Stock Warehouses/Locations.
  • Click Configure Replenishments in the dropdown.
  • Click Configure in the warehouse/location you want to configure replenishment.

  • Click Save.
  • If you want to configure for other locations/warehouses for this item, you can repeat the actions and click Save.

Create Order

You can either create a purchase or transfer order from a replenishment task.

Create Purchase Order

Once the replenishment you have configured for an item hits the reorder point, it will start showing up in the Pending Replenishments tab in the Replenishments module, or you can click the replenishment notification to land on the replenishment directly.

  • Navigate to Inventory on the left sidebar.
  • Go to Inventory Control in the top Module bar.
  • Click Replenishments in the dropdown.
  • Under the Pending Replenishments tab, you can view all the items that need to be replenished.
  • Hover over the the task and click the Dropdown under Order Type.
  • Select Create Purchase Order.

Create Transfer Order

When an item’s stock level reaches its reorder point, and the chosen replenishment method is Transfer Order, it will be listed under the Pending Replenishments tab. From there, you can create a Transfer Order. Alternatively, click the replenishment notification, which navigates you to the replenishment

  • Navigate to Inventory on the left sidebar.
  • Go to Inventory Control in the top Module bar.
  • Click Replenishments in the dropdown.
  • Under the Pending Replenishments tab, you can view all the items that need to be replenished.
  • Hover over the the task and click the Dropdown under Order Type.
  • Select Create Transfer Order.

Creating Bulk Orders

You can create orders in bulk by following these steps:

  • Navigate to Inventory on the left sidebar.
  • Go to Inventory Control in the top Module bar.
  • Click Replenishments in the dropdown.
  • Select the items you want to include in the bulk order.
  • Click Bulk Actions in the top header.

    Note: To create a bulk order, the vendor and the order type must be the same for all selected items.

  • Select Create Order from the dropdown. By following the above steps, you will be taken to the respective order’s edit page.

Dismiss Replenishment

You can follow these steps to dismiss a replenishment in Zoho ERP:

  • Navigate to Inventory on the left sidebar.
  • Go to Inventory Control in the top Module bar.
  • Click Replenishments in the dropdown.
  • Hover over the desired replenishment and click the dropdown menu, or select multiple replenishments by checking the boxes next to them.
  • Click Dismiss Replenishment to complete the action.

View Replenishments

You can easily view all replenishments created within your organisation in one place. Here’s how:

  • Navigate to Inventory on the left sidebar.
  • Go to Inventory Control in the top Module bar.
  • Click Replenishments in the dropdown.
  • To view replenishments that are yet to begin, click the Pending Replenishment tab.
  • To see all replenishments, click the All Replenishment tab.
  • You can also filter the list by using the drop-down menu to view either Dismissed Replenishments or Completed Replenishments.

Insight: You can view the item’s replenishment details from the Item Table by clicking View Replenishment Details under the item name.

View Transactions & History

You can view the history and transactions of a replenishment by

  • Navigate to Inventory on the left sidebar.
  • Go to Inventory Control in the top Module bar.
  • Click Replenishments in the dropdown.
  • Hover over the replenishment task and click the dropdown.
  • Click Transactions & History

Pro Tip: You can import replenishment tasks in the Items module.
