Create Packages

In this help document, you’ll learn the different methods through which you can create packages in Zoho ERP.

Create a New Package

After enabling the Packages and Shipments module, you can create packages for your sales orders. Here’s how:

From Packages Module,

  • Go to Inventory on the left sidebar.
  • Click Pack and Ship in the top module bar and select Packages from the dropdown.
  • Click + New on the top right corner of the All Packages page.

Fill in the following fields in the New Package page.

  • Customer Name: Select a customer name from the dropdown.
  • Sales Order#: Select the required sales order from the dropdown. The items yet to be packed for the selected sales order will be auto-populated in the Items Table.

Note: Only confirmed sales orders will be shown in the dropdown. If the sales order is in draft, please convert it to confirmed and then try associating it to a package. 

  • Package Slip#: Enter a unique number for your package.

Insight: You can choose to auto-generate package number or manually enter them for every transaction. To configure this Package Slip# Preferences, click the gear icon next to it.  

  • Date: Select the date to record when you have created this package.

Items Table

Note: You can add the items of your sales order manually or you can select and scan them. 

To Add Manually:

  • Enter the quantity of items you want to receive in the QUANTITY TO PACK column.

If you have enabled advanced inventory tracking for the items you pack, you can add the serial numbers or batch details for the packages.

For serial tracked items,

  • Click Add Serial Numbers to add serial tracked items into your package.
  • You can enter or select the required serial numbers from the dropdown one after another.

Pro tip: You can also click Generate Serial Numbers to record multiple serial numbers at once. Click Generate after you enter the starting serial number, the total count and the quantity in the selected bins. Click Save and the Serial Numbers will be auto-populated.  

For batch tracked items,

  • Click Add Batches & Bins to add batch tracked items into your package..
  • Select the required batch from the BATCH REFERENCE# dropdown.
  • Select the mapped bins from the Bins dropdown.
  • Enter the quantity required to be packed in each bin under QUANTITY OUT.
  • Click Save.

Note: You can create multiple packages for a single sales order.

To Select or Scan items:

  • Click Add all Items to auto-populate all the ordered items in the Package.
  • Click the empty row to select the items to be packed one after another from the dropdown.
  • If you have enabled advanced inventory tracking in the items you receive, add the required serial numbers for serial number tracked items and batches for batch tracked items.

Pro tip: Click Add all Unreceived items to enter the full quantity to be packed for all the selected serial or batch tracked receivable items in one click. 

  • You can add notes for internal communication.
  • Click Evaluate packing geometry to simulate how your items will be packed. Read our Package Geometry to know more.
  • Click Save.

Insight: You can choose when to track inventory for your items. If you prefer to track inventory on transactions like Packages, go to Settings > General> Items. Under Advanced Inventory Tracking, click Configure and choose Packages, Packages, Return Receipts from the dropdown.  Click Update.

Create Packages from a Sales Order

Alternatively you can also create a package from Sales Orders. Here’s how:

  • Go to Sales in the left side bar and click Sales Orders in the top module bar.
  • Select the sales order for which you want to create a package.
  • Click Create Package or click Create and select Package from the dropdown.
  • Fill in the required details in the New Package page and click Save.

Import Packages

If you already have a list of all your packages, you can import them into Zoho ERP in the CSV, TSV or XLS format. Here’s how:

Prerequisite: Before importing, ensure that the sales order and items associated with the package already exists. 

To know the format of the import file, i.e. the columns and data to be included in the import file, you can download the sample import file which you can look at the steps below.

  • Go to Inventory on the left sidebar.
  • Click Pack and Ship in the top module bar and select Packages from the dropdown.
  • Select the List View.
  • Click the More icon.
  • Hover over Import and select Import Packages from the dropdown.  
  • Click Choose File under Drag and drop file to import. You can download the sample CSV file for your reference by clicking sample file.

Insight: The file size cannot be more than 25 MB. 

  • Choose the Character Encoding and File Delimiter for your file.

Insight: Character Encoding is used to pair numbers with characters. By default, the Unicode Transformation Format (UTF-8) encoding is used which supports a wide range of characters that go beyond 8 bits. 

Field Delimiter is used to separate two values in a row. While importing packages, the default file delimiter is comma (,). 

  • Check Auto-Generate Package Numbers to import packages with auto generated package slip numbers.
  • Click Next.
  • Ensure that all the fields are mapped correctly in the Map Fields page.
  • Mark the box Save these selections for use during future imports if you want to use the similar import format next time.
  • Click Next.
  • In the Preview page, preview the summary of the records that can be imported.
  • Click Import if you’re ready, or else, click Previous if you need to make any changes.
  • Click Cancel if you don’t want to import the packages.

Edit  Packages

Here’s how you can edit a shipment to make changes after creating one:

  • Go to Inventory on the left sidebar.
  • Click Pack and Ship in the top module bar and select Packages from the dropdown.
  • Select the package you want to edit.
  • Click Edit at the top of the package slip.
  • Make the required changes in the Edit Package page.
  • Click Save.

View  Packages

Here’s how you can view packages in the pack and ship module:

  • Go to Inventory on the left sidebar.
  • Click Pack and Ship in the top module bar and select Packages from the dropdown.
  • Click List View icon to see the consolidated list of all the packages created.

Note: To view the sales orders associated with the package, click Associated sales orders in the package slip details page.
