Integrate Zoho ERP with UPS

UPS is a global shipping and logistics company that supports domestic shipping within the USA, EU, Canada, Mexico, Puerto Rico, and Asia Pacific (Singapore, Malaysia, and Australia) regions. By integrating UPS with Zoho ERP, you can offer real-time shipping rates, generate labels, and track orders directly from your Zoho ERP system using UPS services.

Benefits of the Integration

  • Generate and print UPS shipping labels to eliminate manual data entry errors and speed up order dispatch.
  • Automatically send tracking details to the customer to keep them updated on their order’s delivery status.

Prerequisites: You must have an active UPS account.

Set Up the Integration

To set up integration:

  • Log in to your Zoho ERP organisation.
  • Click Settings in the top right corner and scroll down to Extension & Developer Data.
  • Under Integration & Marketplace, select Shipping.
  • Under UPS, click Set Up Now.
  • If you already have a UPS account, enter your UPS Account Number and click Save. If not, create a new UPS account.

Once logged in, your Zoho ERP organisation will be integrated with your UPS account.

Enable Live Shipping Rates

Enabling Live Shipping Rates allows customers to view precise delivery charges during checkout.

To enable live shipping rates:

  • Log in to your Zoho ERP organisation.
  • Click Settings in the top right corner and scroll down to Extension & Developer Data.
  • Under Integration & Marketplace, select Shipping.
  • Under UPS, click Enable Live Shipping Rates.
  • Click Enable in the pop-up to confirm.

Configure Live Shipping Rates

Live shipping rates are calculated by UPS. You can markup or markdown the rate and collect the applied charges from customers.

To configure live shipping rates:

  • Log in to your Zoho ERP organisation.
  • Click Settings in the top right corner and scroll down to Extension & Developer Data.
  • Under Integration & Marketplace, select Shipping.
  • Under UPS, click Configure Live Shipping Rates.
  • Enter values for the following Key Parameters:
Key ParameterDescription
Minimum RateThe lowest shipping cost that can be applied to an order.
Maximum RateThe highest shipping cost that can be applied to an order.
Adjust RateThe amount by which the live shipping rate is adjusted. This can be a percentage or a flat rate.
Round Off ToThe value to which the shipping cost is rounded off.
Maximum Weight per PackageThe maximum allowed weight for a single package using USPS.

Scenario: Patricia owns an online kitchen equipment store and has integrated her Zoho ERP organisation with a shipping carrier. She sets a minimum shipping rate of ₹100, a maximum shipping rate of ₹300, includes a ₹10 markup for packaging, enables rounding to the nearest whole number, and adds a 20 kg package weight limit. 

A customer places an order weighing 18 kg. The live shipping rate is ₹210.02. After applying the ₹10 adjustment, the rate becomes ₹220.02 and is rounded to ₹220. Since the rate falls within the configured limits and the package weight is under 20 kg, the shipping charge is applied successfully.

  • Click Save to apply the configuration.

Create a UPS Shipment

Prerequisites: Ensure the dispatch address in Zoho ERP matches your UPS pickup address. Street and phone details must be accurate.

To create a UPS shipment:

  • Log in to Zoho ERP Organisation.
  • Go to the Sales module in the left sidebar.
  • Switch to Sales Order tab and select the order you want to ship.
  • Click the Ship dropdown and select Ship via Carrier on the order details page.
  • Choose UPS as the shipping carrier in the shipment creation page.
  • Verify both the Dispatch Address and Destination Address, ensuring all details are accurate.
  • Click Save & Continue to proceed.
  • Select the Parcel Type, enter the Package Dimensions, and choose your Shipment Mode under Service Tracking Preferences.
  • Click Calculate Rates to view the current shipping charges.
  • Click Create Shipment.

You can generate/download the shipping label immediately or later from the shipment details page.

Note: Shipment status refreshes automatically every 12 hours. You can also manually update via Check Status.

Reauthenticate UPS Integration

Reauthenticate if your tokens expire, account details change, or if connection issues occur.

To reauthenticate UPS Integration:

  • Log in to your Zoho ERP organisation.
  • Click Settings in the top right corner and scroll down to Extension & Developer Data.
  • Under Integration & Marketplace, select Shipping.
  • Click Reauthenticate under UPS.
  • Enter your UPS Account Number.
  • Click Save.

Once reauthenticated, your UPS account is securely reconnected to Zoho ERP.

Delete the Integration

To remove UPS as your shipping carrier:

  • Log in to your Zoho ERP organisation.
  • Click Settings in the top right corner and scroll down to Extension & Developer Data.
  • Under Integration & Marketplace, select Shipping.
  • Click Delete under UPS.
  • Click Ok in the pop-up to confirm.

UPS integration will now be disabled for your Zoho ERP organisation.
