Integrate Zoho ERP With AfterShip

AfterShip is a third-party shipment tracking service which integrates with Zoho ERP to fetch and update the real-time status of your shipments from the respective carriers. This serves as an alternative to the manual method of tracking shipments for medium to large businesses that ship thousands of orders each day.

It allows you to track Transfer Orders easily, Manual Shipments and Purchase Receives.

How it works

Once you enable real-time tracking on your transaction, AfterShip transmits the tracking ID to the appropriate shipping carrier, receives the status of the shipment, and updates it in Zoho ERP.

It also simultaneously notifies your customers on the whereabouts of their shipment via email and SMS.

Setting up the integration

  • Log in to your Zoho ERP organisation.
  • Click Settings in the top right corner.
  • Navigate to Shipping under Integrations & Marketplace.

Zoho ERP provides two ways to integrate with AfterShip.

Use our readily available account

Note: To comply with the new SCC regulations, this option is not available for customers in the European Union.

  • If you don’t have an account with AfterShip, you can use the readily available account to track your shipments.
  • Click Activate Now to establish the integration instantly.
  • This method does not require you to sign up or verify accounts.
  • The tracking charges will be included as part of the Zoho ERP subscription plan.

Note: Zoho ERP only shares the tracking ID, carrier name, and shipper account number (for selective carriers) with AfterShip. You will receive all shipment-related emails through Zoho ERP and not AfterShip. This helps safeguard the personally identifiable information of your clients. 

Connect your AfterShip account

If you already have an AfterShip account, follow the steps below to connect your account.

  • Click Connect my AfterShip account.
  • Paste the API key and proceed to connect.
  • Generate the API key by following the procedure mentioned in the AfterShip help documentation.

Insight: You will be able to view all shipments marked for tracking directly in your AfterShip account, send both email and SMS notifications to customers, and customize the email and SMS content as needed.   

Note: If you choose to integrate your AfterShip account, the charges incurred will be settled directly with AfterShip.  

Warning: Zoho ERP shares your and your customers’ contact information, shipment details, and shipper account number (for selective carriers) with AfterShip. Shipment updates will be sent directly by AfterShip. Zoho ERP is not responsible for any information shared after integration.   

Tracking a Shipment

Note: Only manual shipments can be tracked using this integration.  

To track a shipment in Zoho ERP:

  • Log in to your Zoho ERP organisation.
  • Go to Sales Orders under the Sales section.
  • Select the order you want to ship.
  • Click Ship and select Ship Manually.
  • Enable Track this shipment in real-time?
  • Select the carrier and enter the Tracking ID.
  • Specify customer contact details for notifications.
  • Click Save.

To enable tracking for an existing shipment in Zoho ERP:

  • Go to Orders under the Sales section.
  • Select the order you want to track the shipment for.
  • Click Enable real-time tracking.
  • Enter the tracking details.
  • Specify customer contact details.
  • Click Save.

Viewing the Shipment Status

To view the shipment status in Zoho ERP:

  • Log in to your Zoho ERP organisation.
  • Go to Orders under the Sales section.
  • Select the order for which you want to track shipment.
  • Click View Tracking Status.
  • View the shipment timeline and current location.
  • Click Tracking URL to view the carrier’s tracking page.

Note: When the shipment is delivered, AfterShip automatically marks it as Delivered in Zoho ERP. If not updated, you can manually mark it as Delivered.   

Updating or Deleting the AfterShip Tracking Details

You can update or remove tracking details such as Carrier, Tracking Number, Shipper Account Number, and Tracking Key.

To edit tracking details in Zoho ERP:

  • Log in to your Zoho ERP organisation.
  • Go to Orders under the Sales section.
  • Select the order for which you want to edit tracking details.
  • Open an AfterShip-tracked shipment under Shipped Packages.
  • Click the Edit next to Shipment In Transit.
  • Update details and click Save.

Insight: Changes are saved in your AfterShip account over existing details. You can remove old tracking information directly from AfterShip if required.   

Deactivating the integration

To deactivate the integration in Zoho ERP:

  • Log in to your Zoho ERP organisation.
  • Click Settings in the top right corner and scroll down to Extension & Developer Data.
  • Under Integration & Marketplace, select Shipping.
  • Under AfterShip, click Deactivate.
