Delivery Runs

A delivery run groups a set of shipments and assigns them to a delivery agent for a specific date. Unlike beats, delivery runs are not tied to any route or journey plan. You can create them at any time to organize ad-hoc deliveries.

Delivery runs help distribution admins assign deliveries quickly, track progress, and keep a record of what was delivered and when.

Note: This feature is currently in early access. Write to us at support@zohoerp.com to enable it for your organization.

Delivery Run Statuses

A delivery run moves through the following statuses:

StatusDescription
DraftThe delivery run has been created but not yet confirmed. You can edit its details at this stage. Delivery runs in Draft status are not visible to the assigned delivery agent.
ScheduledThe delivery run has been confirmed. The beat for the delivery run is now visible to the assigned delivery agent in the Beat-Zoho ERP Android app.
In ProgressThe delivery run has been started and the delivery agent is making deliveries.
CompletedThe delivery run has been stopped. Shipments may have been marked as delivered, failed, or both.

Create a Delivery Run

Creating a delivery run involves three steps: entering basic details, selecting shipments, and setting the delivery route.

To create a delivery run:

  • Go to Beat Management on the left sidebar.
  • Click Delivery Runs in the Modules bar at the top.
  • Click + New at the top right.
  • In the Basic Details section, fill in the following fields:
    • Delivery Run Name: Enter a name for the delivery run.
    • Delivery Run#: The number is auto-generated. You can edit it manually or click the Gear icon to configure the format.
    • Notes: Add any notes for the run. This field is optional.
    • Delivery Date: Select the date on which the deliveries will be made.
    • Delivery Agent: Select the delivery agent who will carry out the run. You can only add salespersons who are added as Delivery Agent from the Salesperson module.
  • Click Next.
  • In the Select Shipments section, select the shipments to include. The table shows the Shipment Order#, Customer Name, Sales Order#, Expected Shipment Date, Package#, and Date for each available shipment.
    • Click the Filters to filter by Shipment Order#, Date Range, Carrier, Sales Order, Customer Name, Sales Region, or Expected Shipment Date, then click Apply.
  • Click Next.
  • In the Set Route section, the customers associated with the shipments selected in the previous step are listed in numbered order under Route Customers, and their locations appear as numbered markers on the map.
    • To change the delivery sequence, drag and drop a customer to a new position in the list. The map markers update to reflect the new order.
  • Click Save to create the delivery run. It will be created in Draft status.

Edit a Delivery Run

You can edit a delivery run to update its basic details or add and remove shipments.

Note: You can edit a delivery run only when it is in Draft status.

To edit a delivery run:

  • Go to Beat Management on the left sidebar.
  • Click Delivery Runs in the Modules bar at the top.
  • Click the delivery run you want to edit.
  • Make the required changes and click Save.

Schedule a Delivery Run

Schedule a delivery run to make it visible to the assigned delivery agent in the Beat-Zoho ERP Android app, so they can view and prepare for their deliveries on the scheduled date.

Note: Review and finalize all details before scheduling. Once scheduled, the delivery run cannot be edited, so any changes to shipments or the delivery agent must be made beforehand.

To schedule a delivery run:

  • Go to Beat Management on the left sidebar.
  • Click Delivery Runs in the Modules bar at the top.
  • Click the delivery run you want to schedule.
  • Click Mark as Scheduled at the top. The status will be updated to Scheduled.

Reassign the Delivery Agent

If the assigned delivery agent is unavailable, you can reassign the run to another agent. The new agent will handle all shipments in the delivery run.

Note: Reassignment is only possible when the delivery run is in Scheduled status.

To reassign the delivery agent:

  • Go to Beat Management on the left sidebar.
  • Click Delivery Runs in the Modules bar at the top.
  • Click the delivery run you want to update.
  • Click Reassign Delivery Agent at the top.
  • Select the new agent from the Select a Delivery Agent dropdown and click Save.

Delete a Delivery Run

Deleting a delivery run releases all associated shipments, which can then be added to another delivery run.

Note: You can delete a delivery run only when it is in Draft or Scheduled status.

To delete a delivery run:

  • Go to Beat Management on the left sidebar.
  • Click Delivery Runs in the Modules bar at the top.
  • Click the delivery run you want to delete.
  • Click Delete at the top.
  • Click Delete again in the pop-up to confirm. The delivery run will be deleted.

Start a Delivery Run

When a delivery run is in Scheduled status, an admin can start it from the web app or the delivery agent can start it from the Beat-Zoho ERP Android app.

Note: A delivery run can only be started on its delivery date.

To start a delivery run from the web app:

  • Go to Beat Management on the left sidebar.
  • Click Delivery Runs in the Modules bar at the top.
  • Click the delivery run you want to start.
  • Click Start at the top. The status will be updated to In Progress.

Update Delivery Outcomes

Once the delivery run is In Progress, update the delivery status of each shipment as deliveries are completed. This can be done from the web app by an admin, or from the Beat-Zoho ERP Android app by the delivery agent.

To update delivery outcomes from the web app:

  • Go to Beat Management on the left sidebar.
  • Click Delivery Runs in the Modules bar at the top.
  • Click the In Progress delivery run.
  • In the Associated Customers table, click the customer whose shipment you want to update.
  • To update individual shipment statuses, under Pending Deliveries in the Shipments tab:
    • To mark a shipment as delivered, click Mark as Delivered next to the shipment.
    • To mark a shipment as failed, click the More icon next to the shipment, select Mark as Failed, specify the failure reason, and click Mark as Failed.
  • To update all shipment statuses in bulk, use the action buttons at the top:
    • To mark all shipments as delivered, click Mark as Delivered, then click Mark as Delivered in the confirmation pop-up.
    • To mark all shipments as failed, click Mark Delivery as Failed, specify the failure reason, and click Mark as Failed.

Notes:

  • A shipment marked as failed can be re-marked as delivered if the delivery is completed later.
  • If Proof of Delivery (POD) is enabled in Settings > Beats > Preferences, the delivery agent must capture the required proof, such as a photo or OTP verification, before marking a shipment as Delivered.
  • Shipments can only be marked as delivered on the delivery run’s delivery date.

The delivery status for each customer updates automatically based on the status of their shipments:

Customer StatusCondition
Yet To Be DeliveredNo shipments have been delivered or marked as failed for the customer.
DeliveredAll shipments for the customer are delivered.
Delivery FailedAll shipments for the customer are marked as failed.
Partially DeliveredSome shipments are delivered and others are pending or marked as failed.

Stop a Delivery Run

When all shipments have been processed, an admin can stop the delivery run from the web app, or the delivery agent can stop it from the Beat-Zoho ERP Android app, to move it to Completed status.

Note: You cannot stop a delivery run while shipments are still pending. Update the status of all pending shipments before stopping the run.

To stop a delivery run from the web app:

  • Go to Beat Management on the left sidebar.
  • Click Delivery Runs in the Modules bar at the top.
  • Click the In Progress delivery run.
  • Click Stop at the top. The status will be updated to Completed.

Filter and Search Delivery Runs

Use the advanced search to filter delivery runs by status, date, agent, or customer.

  • Go to Beat Management on the left sidebar.
  • Click Delivery Runs in the Modules bar at the top.
  • Click Advanced Search (the filter icon at the top of the list).
  • Filter by one or more of the following:
    • Delivery Run Name
    • Delivery Run Number
    • Status: Draft, Scheduled, In Progress, or Completed
    • Date: A specific date or date range
    • Delivery Agent: The agent assigned to the run
    • Customer Name: A customer included in the run
  • Click Search to apply the filters.
