Beats

A beat represents a group of customers or outlets that are visited together as part of a sales route. Beats help organize customer visits into manageable clusters, making it easier for salespersons to plan their daily activities and ensure regular market coverage.

The Beats module in Zoho ERP helps you manage the beats associated with a journey plan and track field activities.

View Beats Associated With Journey Plans

Once you create a journey plan, beats are automatically generated based on the plan’s duration. To view the beats associated with a journey plan:

  • Go to Beat Management on the left sidebar.
  • Click Journey Plans in the Modules bar at the top.
  • Click the journey plan whose beats you want to view. The beats will be listed in the Associated Beats section of the Plan Details tab.

Note: Starting and ending beats, checking in and out customers, creating sales orders, recording customer payments, creating sales returns, and skipping customers during a beat are not supported in the Zoho ERP web app. Salespersons can use the Beat - Zoho ERP app to perform these actions.


Add Customers to Beats

A customer might not be available during a particular beat but could be available on a later day. Distribution managers can temporarily add the customer to a specific beat so that the salesperson knows they need to visit them during that beat.

Note: You can add customers to a beat only before starting the beat.

To add customers to a beat temporarily:

  • Go to Beat Management on the left sidebar.
  • Click Journey Plans in the Modules bar at the top.
  • Click the journey plan containing the beat.
  • Click the required beat in the Associated Beats section of the Plan Details tab.
  • Click Update Customers at the top.
  • Click + Add Customer and select a customer associated with the sales region to add them to the beat temporarily. The Ad-hoc label will be added next to the customer.
  • Click Skip next to a customer to exclude them from the beat. Provide a Reason and click Save. The Skipped label will be added next to the customer.
  • Click Save.

Reassign Salespersons

If a salesperson is not available for the day or is unable to manage a beat, distribution managers can reassign the beat to another salesperson.

Note: You can reassign the salesperson who manages the beat only before starting the beat.

To reassign the salesperson of a beat:

  • Go to Beat Management on the left sidebar.
  • Click Journey Plans in the Modules bar at the top.
  • Click the journey plan containing the beat.
  • Click the required beat in the Associated Beats section of the Plan Details tab.
  • Click Reassign Salesperson at the top.
  • Select the salesperson who will manage the beat from the Select Salesperson dropdown and click Save.

Start a Beat

To start a beat:

  • Open the Beat - Zoho ERP Android app.
  • Go to the Home tab.
  • Find the sales beat under Your Beats. Sales beats are tagged SALES.
  • Tap Start Beat. The beat detail screen opens and the status changes to In Progress.

The beat detail screen shows the beat ID, date, and In Progress status, along with Sales Generated and Visits Completed summary cards, and the Scheduled Visits list.


View Scheduled Visits

To view scheduled visits:

  • Open the Beat - Zoho ERP Android app.
  • Go to the Home tab.
  • Tap View Details next to the required beat.

The Scheduled Visits section is visible on the beat detail screen. Each card shows the customer name and visit status.

Pro Tip: Tap Directions next to a customer in the Scheduled Visits list to open Map View for that customer and navigate to their location.


View the Beat Route on Map

To view the optimized route for a beat on a map:

  • Open the Beat - Zoho ERP Android app.
  • Go to the Home tab.
  • Tap View Details next to the required beat.
  • Tap Map View on the beat detail screen. The Map View screen opens and displays the optimized route with all customers in the beat pinned in visit order from 1 to n.

Tap a pin to view the customer’s name and address. Tap Directions to navigate to that customer or tap Call to contact them directly.


Check In at a Customer Location

To check in at a customer location during a beat:

  • Open the Beat - Zoho ERP Android app.
  • Go to the Home tab.
  • Tap View Details next to the required beat.
  • Tap the customer’s card to expand it.
  • Tap Check In.
    • If your distribution admin has not enabled location-based check-in, the Visit Details screen opens directly.
    • If your distribution admin has enabled location-based check-in, the Provide Location Permissions pop-up appears. Grant Device Location (GPS) access and tap Allow next to Location Permission. You may then encounter the following:
      • Outside the check-in radius: If you are not within the configured distance from the customer’s location, the app displays a Check-In Restricted message showing your current distance from the customer and the required zone. Tap Get Directions to navigate to the customer, or tap Dismiss to cancel.
      • Mock location detected: If your device is using a fake or simulated location, the app blocks check-in and displays a Mock Location Detected message. Disable any location-spoofing apps or developer options on your device, then tap Retry. Tap Open Settings to go to your device settings directly. Once your location is verified, the Visit Details screen opens.

A green banner at the top of the Visit Details screen confirms that the visit is in progress and shows the elapsed time.


Create a Sales Order

To create a sales order during a visit:

  • Open the Beat - Zoho ERP Android app.
  • Go to the Home tab.
  • Tap View Details next to the required beat.
  • Tap the customer’s card to expand it, then tap Check In. The Visit Details screen opens.
  • Tap + New in the Orders Taken section. The New Sales Order screen opens.
  • Fill in the order header details:
    • Customer Name: Pre-filled from the checked-in customer.
    • Sales Order#: Auto-generated. Tap the Gear icon to configure the number format.
    • Reference#: Optional reference number.
    • Sales Order Date: Defaults to today’s date. Tap the Calendar icon to change.
    • Expected Shipment Date: Optional.
    • Payment Terms: Select from the dropdown.
    • Delivery Method: Type or select a delivery method.
  • Tap + Add Line Item to add products to the order. The Add Line Item screen opens.
    • In the Item field, start typing to search for and select an item from the dropdown.
    • Enter the Quantity.
    • The Rate and Tax are auto-filled from the item. Edit if required.
    • Tap Save to add the item and return to the order form, or tap Save and New to add another item immediately.
  • Tap Upload File under Attachments to add any relevant files to the order.
  • Tap SAVE AS DRAFT to save the order.

The saved order appears in the Orders Taken section on the Visit Details screen.

Note: You can edit a saved sales order from the Orders Taken section. The edit option is available only when the order’s status is Draft.


Record a Payment

To record a payment from a customer during a visit:

  • Open the Beat - Zoho ERP Android app.
  • Go to the Home tab.
  • Tap View Details next to the required beat.
  • Tap the customer’s card to expand it, then tap Check In. The Visit Details screen opens.
  • Tap + New in the Payments Received section. The Invoice Payment screen opens.
  • Fill in the payment details:
    • Customer Name: Pre-filled from the checked-in customer.
    • Amount Received: Enter the amount collected. Select Received full amount to apply the payment to all outstanding invoices in full.
    • Payment Date: Defaults to today’s date. Tap the Calendar icon to change.
    • Payment #: Auto-generated. Tap the Gear icon to configure the number format.
    • Deposit To: Select the account to deposit the payment into.
    • Tax deducted?: Enable if the customer has deducted tax, then select the Tax Account.
  • In the Unpaid Invoices section, enter the payment amount to apply against each outstanding invoice, or tap Pay in Full to clear it.
  • Add internal Notes if required.
  • Tap SAVE AS DRAFT to save the payment.

The recorded payment appears in the Payments Received section on the Visit Details screen.


Record a Sales Return

To log a sales return during a visit:

  • Open the Beat - Zoho ERP Android app.
  • Go to the Home tab.
  • Tap View Details next to the required beat.
  • Tap the customer’s card to expand it, then tap Check In. The Visit Details screen opens.
  • Tap + Record Return next to Sales return from this customer?.
  • Fill in the return details.
  • Tap Save.

Add an Attachment

You can attach files related to the customer or the current beat, such as customer documents, payment receipts, signed forms, or photos taken during the visit.

To add a file attachment to a visit:

  • Open the Beat - Zoho ERP Android app.
  • Go to the Home tab.
  • Tap View Details next to the required beat.
  • Tap the customer’s card to expand it, then tap Check In. The Visit Details screen opens.
  • Tap the + icon in the Attachment section.
  • Select the file to upload. The files uploaded will appear in the customer’s record in the Zoho ERP web app.

Check Out from a Customer Location

When you are done with a customer visit, check out to mark it as complete.

To check out from a customer location:

  • Open the Beat - Zoho ERP Android app.
  • Go to the Home tab.
  • Tap View Details next to the required beat.
  • Tap the customer’s card to expand it, then tap Check In. The Visit Details screen opens.
  • Tap Check Out at the bottom of the screen.

The visit is marked as complete and you return to the beat detail screen. The customer’s card in the Scheduled Visits list updates to show a Visited status.


Re-check In at a Customer Location

If you need to return to a customer you have already checked out from during the same beat, use the Re-check In option. This is available as long as the beat is still in progress.

To re-check in at a customer location:

  • Open the Beat - Zoho ERP Android app.
  • Go to the Home tab.
  • Tap View Details next to the required beat.
  • Locate the customer’s card under Scheduled Visits.
  • Tap Re-check In. The Visit Details screen reopens for that customer.

You can record additional sales orders, payments, or attachments during the re-check-in visit. Tap Check Out again when done.


Skip a Customer

To skip a customer during a beat:

  • Open the Beat - Zoho ERP Android app.
  • Go to the Home tab.
  • Tap View Details next to the required beat.
  • Tap the > icon next to the customer you want to skip.
  • Tap the More icon at the bottom of the screen.
  • Tap Mark as Skipped. The reason panel opens.
  • Select a default reason (No Action, Customer Unavailable, or Already Visited) or enter a custom reason in the text box.
  • Tap Mark as Skipped to confirm.

The customer is marked as skipped and the Skipped label appears on their card in the Scheduled Visits list.


End a Beat

When all customer visits are complete, end the beat.

To end a beat:

  • Open the Beat - Zoho ERP Android app.
  • Go to the Home tab.
  • Tap View Details next to the required beat.
  • Tap End Beat in the active beat bar.

The beat status changes to Completed and the active beat bar shows the total duration of the run.
