Sales Reports
The Sales reports contains a list of reports that provide insights into your sales transactions and performance across customers, items, and other entities.
Note: Users in custom roles can perform actions and access modules only based on the permissions enabled for them.
Sales by Customer
The Sales by Customer report provides a customer level view of sales transactions. It includes the following entities: Invoices, Credit Notes, Sales without Invoices, and Journal Entries. This shows the total number of transactions and the total sales amount, helping you track revenue by customer.
Scenario: The sales team wants to understand customer contributions to annual sales and identify trends in customer purchases. They generate the Sales by Customer report to see total sales for each customer, helping them focus on top customers and plan strategies accordingly.
Here’s how you can view this report:
- Navigate to Reports on the left sidebar.
- Select Sales in the Report Category pane.
- Click Sales by Customer.
This report includes the following columns:
- Customer Name: Name of the customer associated with the sales transactions.
- Invoice Count: Total number of invoices recorded for the customer during the selected period.
- Sales: Total sales amount generated from the customer, excluding taxes.
- Sales with Tax: Total sales amount generated from the customer, including applicable taxes.
Sales by Item
The Sales by Item report shows sales performance grouped by individual items within a selected date range. It consolidates sales data from invoices and credit notes, allowing you to understand how each item contributes to overall sales.
Scenario: The sales team wants to understand which goods and services performed well over the year. They generate the Sales by Item report to analyse item wise sales and identify high performing and low performing products.
Here’s how you can view this report:
- Navigate to Reports on the left sidebar.
- Select Sales in the Report Category pane.
- Click Sales by Item.
This report includes the following columns:
- Item Name: Name of the item.
- SKU: Stock keeping unit used to uniquely identify the item.
- Quantity Sold: Total number of units sold for the item during the selected period.
- Amount: Total sales value generated by the item.
- Average Price: Average selling price of the item, calculated based on the Amount and Quantity Sold.
Sales by Plan
The Sales by Plan report provides a consolidated view of revenue generated from different subscription plans within a selected date range. It helps you understand how each plan contributes to overall sales and which plans are most preferred by customers.
Scenario: A business offers multiple subscription plans such as Basic and Professional. The finance and sales teams want to analyse which plans generate the highest revenue and customer adoption. By using the Sales by Plan report, they can compare plan performance and make informed pricing or upgrade decisions.
Here’s how you can view this report:
- Navigate to Reports on the left sidebar.
- Select Sales in the Report Category pane.
- Click Sales by Plan.
This report includes the following columns:
- Plan Name: Name of the subscription plan.
- Plan Code: Unique code used to identify the plan.
- Quantity Sold: Total number of subscriptions created for the plan during the selected period.
- Amount: Total revenue generated from the plan.
- Average Price: Average revenue per subscription for the plan, calculated based on the Amount and Quantity Sold.
Sales Details by Plan
The Sales Details by Plan report provides customer-level sales information for a selected plan, helping you understand how the plan is used across individual subscriptions.
To view this report:
- Navigate to Reports on the left sidebar.
- Select Sales in the Report Category pane.
- Click Sales Details by Plan.
- Select the plan for which you want to view sales details.
This report includes the following columns:
- Customer Name: Name of the customer subscribed to the plan.
- Quantity: Number of subscriptions created for the customer under the selected plan.
- Amount: Total revenue generated from the customer for the plan.
- Average Price: Average revenue per subscription for the selected plan and customer.
Sales by Addon
The Sales by Addon report provides an overview of revenue generated from addons during a selected period. It helps you analyse how optional features or services contribute to overall sales and understand addon-wise performance across subscriptions.
Scenario: The finance team wants to track how much revenue is generated from optional services such as extra storage or priority support. They use the Sales by Addon report to identify popular addons and evaluate their contribution to total subscription revenue.
Here’s how you can view this report:
- Navigate to Reports on the left sidebar.
- Select Sales in the Report Category pane.
- Click Sales by Addon.
This report includes the following columns:
- Addon Name: Name of the addon.
- Addon Code: Unique code for the addon.
- Quantity Sold: Total number of times the addon was subscribed to during the selected period.
- Amount: Total revenue generated from the addon.
- Average Price: Average revenue earned per addon subscription, calculated based on the Amount and Quantity Sold.
Sales Details by Addon
The Sales Details by Addon report provides customer-level sales information for a selected addon, helping you understand how the addon is used across individual subscriptions.
To view this report:
- Navigate to Reports on the left sidebar.
- Select Sales in the Report Category pane.
- Click Sales Details by Addon.
- Select the addon for which you want to view sales details.
This report includes the following columns:
- Customer Name: Name of the customer who subscribed to the addon.
- Quantity: Number of times the addon was subscribed to by the customer.
- Amount: Total revenue generated from the customer for the addon.
- Average Price: Average revenue earned per addon subscription for the selected customer.
Sales by Coupon
The Sales by Coupon report provides a consolidated view of all sales transactions where discount coupons were applied during the selected period. It helps you analyse coupon usage, discount amounts, and the effectiveness of promotional campaigns.
Scenario: The marketing team wants to evaluate the performance of discount campaigns over a specific period. By generating the Sales by Coupon report, they can see which coupons drove the most sales, which were under-utilised, and the total discounts applied.
Here’s how you can view this report:
- Navigate to Reports on the left sidebar.
- Select Sales in the Report Category pane.
- Click Sales by Coupon.
This report includes the following columns:
- Coupon Name: Name of the coupon applied in the sale.
- Coupon Code: Unique code used by the customer to redeem the coupon.
- Coupon Status: Indicates whether the coupon is Active, Inactive, or Expired.
- Coupon Type: Type of discount, such as One Time, Duration or Forever.
- Discount Amount: Value of the discount applied for each transaction.
- Count: Number of times the coupon was used during the selected period.
Sales Details by Coupon
The Sales Details by Coupon report provides invoice level information for a selected coupon, helping you understand how the coupon was used across individual sales. To view this report:
- Navigate to Reports on the left sidebar.
- Select Sales in the Report Category pane.
- Click Sales Details by Coupon.
- Select the coupon for which you want to view sales details.
This report includes the following columns:
- Invoice#: Unique reference number of the invoice in which the coupon was applied.
- Invoice Date: Date on which the invoice was created.
- Customer Name: Name of the customer who used the coupon.
- Email ID: Email address of the customer associated with the invoice.
- Invoice Total: Total invoice value after applying the coupon discount.
- Discount Amount: Discount value applied to the invoice using this coupon.
Sales Return History
The Sales Return History report provides a detailed view of all sales returns within a selected period. It allows the sales and finance teams to track returned items, monitor pending or requested refunds, and reconcile returns with invoiced amounts efficiently.
Scenario: The finance team wants to ensure all sales returns are accounted for accurately. They generate the Sales Return History report to identify pending returns, track requested refunds, and check return statuses. This enables timely follow-ups and proper inventory adjustments.
Here’s how you can view this report:
- Navigate to Reports on the left sidebar.
- Select Sales in the Report Category pane.
- Click Sales Return History.
This report includes the following columns:
- Customer: Customer who returned the items.
- Sales Return#: Unique reference number generated for the sales return.
- Return Date: Date on which the sales return was created.
- Sales Order Date: Date on which the original sales order was created. Sales Order #: Reference number of the sales order associated with the return.
- Pending Refund: Amount that is yet to be refunded to the customer.
- Requested Refund: Refund amount requested by the customer for the returned items.
- Return Quantity: Total quantity of items returned by the customer.
- Status: Current status of the sales return, such as Approved, or Declined.
Sales by Salesperson
The Sales by Salesperson report provides an overview of sales performance for each salesperson. It shows total sales, returns, and refunds per salesperson, allowing sales managers to track contributions to overall revenue.
Scenario: The sales manager wants to review annual performance for all team members. He generates the Sales by Salesperson report to monitor individual performance and identify top performers This helps him to evaluate performance and plan incentives or corrective actions.
Here’s how you can view this report:
- Navigate to Reports on the left sidebar.
- Select Sales in the Report Category pane.
- Click Sales by Salesperson.
This report includes the following columns:
- Name: Name of the salesperson.
- Invoice Count: Total number of invoices created by the salesperson during the selected period.
- Invoice Sales: Total value of sales from invoices, excluding tax.
- Invoice Sales with Tax: Total invoice sales amount including applicable taxes.
- Credit Note Count: Number of credit notes issued for invoices associated with the salesperson.
- Credit Note Sales: Total value of sales adjustments made through the credit notes, excluding tax.
- Credit Note Sales with Tax: Total credit note amount including applicable taxes.
- Total Sales: Net sales value for the salesperson after adjusting invoice sales with credit notes, excluding tax.
- Total Sales with Tax: Net sales value for the salesperson after adjusting invoice sales with credit notes, including tax.
Sales Summary
The Sales Summary report provides a consolidated view of overall sales for a selected period. It helps you quickly understand sales volume, revenue, and tax details without analysing individual transactions.
Scenario:The finance team wants a day-wise overview of sales to monitor revenue trends and tax collections. They use the Sales Summary report to review total sales and taxes for each date.
Here’s how you can view this report:
- Navigate to Reports on the left sidebar.
- Select Sales in the Report Category pane.
- Click Sales Summary.
This report includes the following columns:
- Date: Date on which the sales transactions were recorded.
- Invoice Count: Total number of invoices created on that date.
- Total Sales: Total value of sales excluding tax.
- Total Sales with Tax: Total sales value including applicable taxes.
- Total Tax Amount: Total tax collected on sales for the selected date.
Profit by Item
The Profit by Item report provides a clear view of item-wise profitability for a selected period. It helps you evaluate how each item contributes to your overall profit by comparing sales value against cost.
Scenario:The finance team wants to analyse item level profitability to identify products with high margins and those that may need price or cost adjustments. They use the Profit by Item report to make informed decisions on pricing and inventory.
Here’s how you can view this report:
- Navigate to Reports on the left sidebar.
- Select Sales in the Report Category pane.
- Click Profit by Item.
This report includes the following columns:
- Item Name: Name of the item sold.
- SKU: Unique identifier assigned to the item.
- Margin: The profit margin of the item, calculated based on the difference between total sales and total cost, expressed as a percentage of total sales.
- Quantity Sold: Total number of units sold for the item during the selected period.
- Total Sales: Total sales value of the item excluding tax.
- Total Sales with Tax: Total sales value of the item including applicable taxes.
