Pay Summary
The Pay Summary report provides an employee-wise summary of payroll amounts for a selected period. It helps you quickly compare gross pay, deductions, taxes, and net pay across employees, along with the total payroll spend for each component.
Access Pay Summary
To access the Pay Summary report:
- Click Reports on the left sidebar.
- Under Report Category, click Payroll Overview and select Pay Summary.
INSIGHT: You can also search for Pay Summary using the search bar at the top and navigate directly to the report.
- Use the period selector at the top left to choose the period you want to analyze. You can choose from predefined periods such as This Month, This Quarter, or This Year, or select a Custom date range.
The payroll data for the selected period will be displayed in a tabular format, grouped by pay components.
Components of Pay Summary
The following table explains the components displayed in the Pay Summary report:

| Employee ID | Unique identifier assigned to the employee. |
| Name | Name of the employee. |
| Gross Pay | Total earnings calculated for the employee before deductions and taxes. |
| Benefits | Value of employer-provided benefits included in payroll for the selected period. |
| Donations | Amount donated by the employee through payroll deductions, if applicable. |
| Deductions | Total deductions applied to the employee’s salary, excluding taxes. |
| Taxes | Payroll taxes deducted from the employee’s earnings for the selected period. |
| Reimbursements | Reimbursement amounts processed through payroll, if any. |
| Net Pay | Final salary amount paid to the employee after all deductions and taxes. |
The total amount spent on each component for all employees will be displayed at the bottom of the corresponding column.
Export Pay Summary
To export the report:
- Click Reports on the left sidebar.
- Under Report Category, click Payroll Overview and select Pay Summary.
- Click Export as at the top right.
- Choose the required export format: PDF, CSV, XLS, XLSX, or Zoho Sheet.
- To protect the exported file, enable Protect this file with a password and enter a password with at least six characters.
- Click Export.
