Manage Reports
Zoho ERP lets you manage reports in several ways so you can view and share the information that matters most to your business. You can customise report layouts, filter and personalise reports, view data as charts, schedule reports, control access by role, and share reports with other users.
Configure Report Layouts
Zoho ERP allows you to customise how reports look when you print or export them as PDFs. This helps you format reports to match your business or compliance requirements.
Note: Only users with full access to all reports can configure report layouts.
To do this:
- Go to Reports on the left sidebar.
- In the Reports Center page, click the More icon in the top right corner, and select Configure Report Layout from the dropdown.
- In the pop-up that appears, fill in the required details.
- Click Save.
The layout will be configured.
Customise Reports
You can customise certain reports by applying filters and selecting columns. Zoho ERP updates the report instantly as you make changes.To do this:
- Go to Reports on the left sidebar.
- Select the report you want to customise.
- Click the Customize icon in the top right corner.
- In the Customize Report page, under General fill in the required details:
- Date Range: Select the date range to generate this report.
- Report Basis: Select whether you want to generate reports in the Cash or Accrual basis.
- Filter Accounts: Choose how you want to filter accounts displayed in the report.
- Compare With: Choose if you want to compare your report with the previous year’s report or the previous period’s report.
- Advanced Filters: Click + Add Filter to filter your reports based on projects, reporting tags, or locations.
- Navigate to Show/Hide Columns tab, and select which columns must appear in the report.
- Click Run Report.
The report will be customised based on your preferences.
View Reports as Charts
Zoho ERP lets you view certain reports as charts instead of tables. This helps you quickly spot trends, patterns, and exceptions. To view:
- Go to Reports on the left sidebar.
- Select the report you want to view as a chart.
- Switch to the Chart View tab.
The report will be displayed in the chart view. Configure the X-axis and Y-axis labels to generate the report accordingly. Also, you can:
- Click View Forecast to generate a chart that projects future trends based on your report’s historical data.
- Go back to the previous page and click View Anomaly to identify unusual patterns or unexpected results in your report data. They help you spot errors, risks, or opportunities that require attention.
Schedule Reports
You can schedule reports to be generated and emailed automatically at regular intervals. Only users with scheduling permissions can schedule reports in Zoho ERP.
To schedule:
- Go to Reports on the left sidebar.
- Select the report you want to schedule.
- Click the Schedule icon in the top right corner.
- In the pop-up that appears, fill in the required details.
- Click Save.
- Click the More icon in the top right corner, and select Schedule Report Export from the dropdown.
- In the New Report Export pop-up, select the report and the required format for exporting.
- Click Proceed.
- In the Export Preferences page, under General, select the filters you want to apply to the report.
- Click Next.
- Under Show/Hide Columns, select the columns to be displayed in the report.
- Click Next.
- In the Report Customization page, make the required changes.
- Click Schedule Export.
- In the Export Report as PDF pop-up, enter the Export File Name.
- Enable I want to protect this file with a password if you wish to encrypt it.
- Enter a strong Password and click Export.
The report will be scheduled for export. To view the list of such scheduled reports:
- Go to Reports on the left sidebar.
- Click Scheduled Reports in the left pane.
The list of reports will be displayed. If you want to deactivate a scheduled report:
- Open the scheduled report.
- Click Report has been scheduled in the top right corner.
- In the pop-up that appears, click Mark as Inactive next to Status.
- Click Save.
The scheduled report will be deactivated.
Receive Weekly Summary Reports
Zoho ERP can send admins a weekly summary of business activity, including income, expenses, cash flow, alerts, and updates. Learn how to enable weekly summary reports in your organisation.
Configure Role Based Access To Reports
You can control which reports users can access by configuring permissions in custom roles. To configure:
- Go to Settings.
- Under Organization Settings, select Roles under Users & Roles.
- Select the role to configure permissions or create a new role.
- Scroll down to Reports and configure the required permissions.
- Click Save.
The roles will be configured. If you invite a user to your organisation with the configured role, they can perform actions based on the permissions provided.
Share Reports
Admins and users with sharing permission can share reports with others, even if those users do not normally have access. For example, a sales lead needs access to the Sales by Customer report. The admin shares the report so the sales lead can view, export, or schedule it. To share:
- Go to Reports on the left sidebar.
- Select the report you want to share.
- Click the Share icon in the top right corner.
- In the pop-up that appears, select the required users, and configure their permissions.
- Click Share.
The report will be shared with the respective user. If any other user in your organisation shares a report with you, you can view it under Shared Reports on the left pane.
