Members & Groups
As an Account owner or Admin, Zoho Domains allows you to add members to your organization to help manage domains. After adding members, you can create groups and assign specific members to them. This helps you organize domain management and ensure that only designated users can manage specific sets of domains.
Roles & Privileges
- Admin - An Admin has full administrative privileges similar to the account owner, including managing domains, DNS settings, members, and groups. However, an Admin cannot remove the account owner from the organization.
- Group Admin - A Group Admin manages only the domains assigned to their group. They do not have access to domains outside their group or to organization-wide settings.
Assign roles carefully to ensure users have only the access required for their responsibilities.
Members
Members are users who are added to your Zoho Domains organization to help manage domains and related settings. As an account owner or Admin, you can invite new members, remove existing ones, and track pending invitations.
Invite Members
Inviting members allows you to add users to your Zoho Domains organization and assign them appropriate roles.
Steps to invite a member:
- Log in to your Zoho Domains account.
- Navigate to Settings from the top pane.
- The Members & Groups page opens, displaying options to manage members and groups.
- Under the Members tab, click Invite Members.
- Enter the email addresses of the users you want to add.
- You can add up to 75 email addresses at once, separated by commas, spaces, or tabs.
- Select the appropriate Role for the users.
- Click Invite.
Once invited, an invitation email is sent to the users. Users who have not yet accepted the invitation are listed under the Pending Invites section.
If the invited users do not have a Zoho account, they will be prompted to create one to access your Zoho Domains organization. If the invited users are already part of your organization in any Zoho application, they will be added directly without an invitation link and will receive a notification about the addition.
Remove members
Removing members helps maintain access control when users no longer need access to your Zoho Domains organization.
Steps to Remove a Member
- Log in to your Zoho Domains account.
- Go to Settings > Members & Groups.
- Under the Members tab, locate the user you want to remove.
- Click the Action icon next to the user’s name.
- Select Remove.
The user will immediately lose access to your Zoho Domains organization.
Pending Invites
Pending Invites allow you to track users who have been invited but have not yet accepted the invitation.
- Log in to your Zoho Domains account.
- Navigate to Settings from the top pane. The Members & Groups page opens.
- Click Pending Invites from the top pane.
- You can view the list of pending invitations along with the following details:
- Email address
- Invitation sent date
- For each pending invitation, you can:
- Resend Invitation – Send the invitation email again.
- Delete Invitation – Cancel the invitation.
Groups
Groups allow you to organize members and control access to a specific set of domains. Only members assigned to a group can manage the domains associated with that group. This is especially useful when different teams manage different sets of domains within the same organization.
Create Groups
Creating groups allows you to define access boundaries and assign domains to a specific set of users.
- Log in to your Zoho Domains account.
- Navigate to Settings from the top pane.
- The Members & Groups page opens, displaying options to manage members and groups.
- Click Groups to view existing groups.
- Click Create Group.
- Enter a Group Name.
- Click Save.
The newly created group appears in the list and is ready for configuration.
Associate domain
After creating groups, you can associate domains with a specific group to restrict management access. To do this,
- Log in to your Zoho Domains account.
- Navigate to Settings from the top pane.
- The Members & Groups page opens, displaying options to manage members and groups.
- Click Groups to view existing groups.
- Locate the group you want to associate the domain with, and click View using the Action icon.
- Click the Add Domains button.
- Select the domain names using the drop down menu. You can select multiple domains to a single group.
- Once selected, click Ok.
Once associated, only members of that group can manage the selected domains.
Add group members
To allow users to manage domains under a group, you can add members to that group. Navigate to the required group, open its Members list, and add the users you want to assign as Group Admins. Once added, these members can manage all domains associated with the group.
Remove group members
You can remove a member from a group by opening the group’s Members list, clicking the Action icon next to the member’s name, and selecting Remove. After removal, the member will no longer have access to the domains managed by that group.
