Tracking Leads

Leads are the customers who sign up for your Vertical CRM. It is extremely important to keep a track on the list of users who sign up for your application. This will help you to analyze the number of users who initially sign up and the number of users who purchase your product after the trial ends. Tracking your leads will help you to improvise your product based on these numbers.

 Invite Users

Once you have made your application live, you can decide whether to make it accessible to everyone or only to the users whom you invite. If the application is made accessible to everyone, anybody can sign up and start using your application. On the other hand, if you decide to allow only users with an invitation, the users without an invitation will not be able to sign up for your application. The users whom you invite will receive an email, with the link to sign up for your application.

To invite users to sign up for your application

  1. In the Zoho Developer Console home page, click CRM for Verticals.
  2. Select the application to which you're going to invite the users and click Edit.
  3. Click Invite Users in the top right corner of the App Details page.
  4. In the Invite Users page, do the following
    • Enter the email addresses of the users you wish to invite to access your application.
      You can specify any number of email addresses at a time, seperated by either commas or a space.
    • Edit the Subject of the invitation email if you wish to.
      By the default the subject of the email will be "Welcome to <Application Name>".
    • You cannot edit the body(Message) of the email.
    • Click Invite.
  5. Once you have invited the users , they will be added to your Zoho CRM leads list, with their lead source as "Invite".
    You can view the list of these leads in your Zoho CRM account.

 Install Leads Tracker Extension

A customer will be added as a Lead in your Zoho CRM when,

  • The customer signs up for your Vertical CRM.
    In this case, the customer will be added as a Lead with Lead Status as "Sign up".
  • The customer is invited by you to sign up for your application.
    In this case, the customer will be added as a Lead with Lead Status as "Invite Request".
  • The customer sends you a request to sign up for your application.
    In this case, the customer will be added as a Lead with Lead Status as "Request". This situation occurs when you have restricted the sign up for your application by allowing only those people with an invite to sign up. In such scenarios, users who want to sign up for your vertical CRM can send a Request for access. This data will be captured in your Leads list. Using the email address provided by the users during the request, you can send them an invite if you want to allow them to sign up for your application.

In order to track the list of Leads who are associated with your Vertical CRM, you have to install the Leads Tracker Extension. If this Extension is not installed, the leads data will not get added to your Zoho CRM.

To install Leads Tracker Extension

  1. In the Zoho Developer Console home page, click Partner Tools.
  2. Click Track your Leads in the left pane and click Install Extension.
  3. In the Extension Install popup, select how the sign up data has to be mapped to the fields in Zoho CRM and click Proceed.
  • Auto Mapping - Auto Mapping option will automatically map the fields in the sign up page, to the fields in leads module, based on the data provided by the customers during sign up.
    On selecting Auto Mapping option, the fields get mapped as shown in the image. Click Confirm to install the Extension. Only the fields that are shown in the image below will be mapped automatically.
  • Manual Mapping - Allows you to map the fields in the sign up page, to the fields in leads module.
    On selecting Manual Mapping option, you will be asked to provide the fields that has to be mapped. Select the required fields and click Save and Install.
  • Once the Extension is installed, you can track the list of registrations using your Zoho CRM account.
  •  Track my Leads

    Once you have installed the Leads Tracker Extension, you can track your registrations(leads) with the help of Zoho CRM. The Extension helps you store all the sign up data as leads in your Zoho CRM.

    To track your leads

    • In the Zoho Developer Console home page, click Partner Tools.
    • Click Track your Leads in the left pane and click Access Your Leads.
      This will redirect you to your Zoho CRM account, where you can access the your leads and manage customers of your Vertical CRM.

      An example of how the lead's data appears in your Zoho CRM is shown below.

    Note

    • If you want to stop tracking your leads to avoid new sign-ups for your application, you can do it by uninstalling the Leads Tracker Extension. Once this Extension is uninstalled, the sign up requests from the new customers will not be stored in your Zoho CRM. To uninstall the Extension
      • In the Zoho Developer Console home page, click Partner Tools.
      • Click Track your Leads in the left pane and click Uninstall Leads Tracker.
      • In the Popup alert, click OK.
        The Leads tracker will be uninstalled and new data will not be added to your Zoho CRM account.
