The challenge

For years, Caple relied on disconnected systems to manage customer support and field operations. Service requests arrived through phone calls, emails, spreadsheets, and manual coordination between sales teams and technicians. Critical customer information was scattered across multiple platforms, making it difficult for teams to access complete service histories or respond consistently.

The company had already implemented SAP years earlier to introduce structure into the business. Building operational intelligence through customization

With Zoho Desk, Caple also worked on deeper operational customizations. They created custom fields to automatically fetch invoice numbers, invoice dates, product information, and warranty details from connected systems. This helped service teams instantly validate machine warranty status without manual verification.

The company also implemented custom workflows using Zoho Flow to synchronize service expense information between Zoho Desk and CRM.
