AI Features
Zoho Billing comes with AI features that help you automate and manage your end-to-end accounting needs. Zia, the in-built AI, works in the background to keep your finances accurate, organized, and up to date.
Zia learns from your business data over time, which means the more you use them, the more accurate and personalized it becomes. You also stay in control at all times and can review and update anything Zia generates in your organization.
To get accurate results, you must keep your business data accurate. Zia relies on your account’s data to make decisions and suggestions, so gaps in your data can affect the quality of the output. Based on your business requirements, you can enable the required AI features, select a preferred AI provider and model, and make the best use of them in your business.
To enable the AI Features:
- Go to Settings.
- Under Organization Settings, select AI Preferences under Organization.
- Enable the toggle next to the required features, select the preferred AI Provider and Model for the selected feature.
- Click Save.
The selected AI feature will be enabled in your organization.
Ask Zia
Ask Zia is a conversational assistant that helps you complete tasks by understanding your requests. You type what you need, and Zia displays the required information, or performs the desired action in the background, and notifies you once complete.
You can use Ask Zia to:
- Create items and transactions.
- Retrieve useful information from your organization.
- Display key details from your Business Overview reports.
For example, you can prompt Ask Zia with the details you need to create an item in Zoho Billing. Ask Zia uses your details and creates the item in the background. Once complete, Zia notifies you in the chat window. If any required details are missing, Zia asks you the questions. Based on your reply, the item creation will be complete.
Some of the queries for Ask Zia may include:
- Provide the email address of customer - P Boyle.
- How many invoices are overdue this week?
- What is the Profit and Loss status of my organization?
- Create a customer Aaron Brown with email
- List invoices that are overdue by 60 days.
To use Ask Zia in Zoho Billing:
- Click the Ask Zia icon in the widgets pane.
- In the Ask Zia chat window, type the required query.
The response will be generated instantly, based on your query. To learn more about the feature, refer Ask Zia.
Visualize, Forecast, and Detect Anomalies in Reports
You can visualize reports in your organization as charts instead of viewing them in plain tables. Pick a chart type and configure what data must be displayed in the X and Y axes. Click View Forecast to predict future trends based on your past data. Click View Anomaly to spot unusual patterns or errors in your reports.
Generate Content For Email Templates Using Zia
You can use Zia to draft email template content and send it to your customers. You can provide simple prompts to describe how you want the template to be, and Zia generates a response instantly.
Once generated, review it to ensure that the content matches your business requirements. If it doesn’t match, you can try generating different responses. Also, you can adjust the Tone and Content, if required. Once complete, click Insert. The generated content will be inserted in the email template. You can also edit or rewrite the generated content.
To generate the email template content in Zoho Billing:
- Go to Settings.
- Select Email Notifications under Customization in the Module Settings pane.
- Select the required notification to generate the email template content.
- Click Show Mail Content below the respective notification.
- Enter the required recepient details.
- Click the Generate With Zia icon at the top of the email content area.
- In the popup that appears, enter your prompt and click Generate Content.
The content for the email template will be generated. Once done, save the changes.
Capture Data Using AI-Powered Custom Fields
You can create custom fields with the AI data types that automatically interprets your data. This reduces manual work and captures more meaningful information. The AI data types include:
- Keyword Extraction: It identifies the most important words in the description you provide for a transaction, and generates them. This helps you categorize transactions based on those keywords.
- For example, it can be used to extract the main attributes of an item, like color, size, and more.
- Sentiment Analysis: It is used to analyze the customer feedback added to a transaction and detects whether the sentiment is Positive, Negative, or Neutral. It provides a quick insight on the customer’s emotional tone.
- For example, if you record feedback like The product is of very good quality, the sentiment will be Positive.
- Image to Text: It extracts meaningful texts and descriptions from an image you upload a transaction. It converts visual content into a structured format using AI. It can:
- Extract texts and handwritten texts from images using OCR (Optical Character Recognition).
- Provide a brief description of the image uploaded using Image Detection.
- Detect objects from an image using the Object Detection technique.
When you create a custom field using any of the above data types, you must provide an input custom field and create it. The input custom field is required because AI interprets the data in that custom field and generates the response in the AI-powered custom field accordingly. This way, key information required for the transaction will be displayed in the transaction’s details page when you mark the transaction as Sent.
Generate Blueprints Using Zia
You can use Zia to automatically generate blueprints for the custom modules you create in Zoho Billing. You can provide the required information, and Zia designs the workflow for you. To do so:
- Go to Settings.
- Select the required custom module under Custom Modules in the Module Settings pane.
- Navigate to the Blueprints tab.
- Click + New Blueprint Using Zia in the top-right corner.
- In the New Blueprint popup, fill in the required details.
- Click Generate Blueprint.
The blueprint will be generated. You can review it, make the required changes, edit states and transitions, and click Publish in the top right corner. Next, you can record data in the custom module and manage it using the Zia-generated blueprint.
View Insights Using Zia Invoice Agent
You can view invoicing insights at the top of your invoice’s list page. This helps your business monitor, manage, and take quick actions. The insights include:
- Overall Due and Outstanding Invoice Balance: Displays a consolidated overview of the total overdue and outstanding invoice amounts for your organization.
- To manage, click Set Payment Reminder and send payment reminders to the respective customers and contact persons.
- Overdue Balance From Customers With Payment Delays: Identifies customers who have paid less than 70% of their invoice amounts in the past six months.
- To address this, click Send Payment Reminders to notify your customers and contact persons via email.
- Invoices Exceeding Average Late Payment Days: Lists invoices that are overdue beyond your organization’s average late payment dates, based on your historical payments.
- To manage these invoices, click View Invoices and prioritize follow-ups.
To view the invoicing insights:
- Go to Invoices under Sales.
- In the list page, click the Zia icon in the top-right corner to display or hide the insights.
Create Transaction Hands-Free Using Speech Assistant
Speech Assistant allows you to interact with Zoho Billing hands-free using voice inputs. Instead of typing, you can speak in English to ask questions, retrieve information, and perform required actions. This feature works with Ask Zia, making it faster and easier to manage your business tasks.
Some sample voice commands include:
- How many invoices are overdue?
- Create an invoice for the customer ABC Corp.
- What is the email address for the vendor John Smith?
- List all draft invoices from last month.
- Create a new customer named Patricia Boyle.
To use the Speech Assistant:
- Click the Ask Zia icon in the widgets pane.
- In the Ask Zia chat window, click the Mic icon on the search bar.
- Speak your request clearly and click the Tick icon. Your spoken words will appear as text on the search bar.
- Make any changes if required and click Send.
The response will be generated accordingly.
Monitor Reports Using Zia Insights
Zia Insights is an AI-powered feature that analyzes your business reports and generates intelligent insights automatically. Instead of manually reviewing data, Zia examines your financial reports and highlights important trends, patterns, and projections that matter to your business. This helps you understand what’s happening in your organization and make informed decisions.
