Slack Extension for Zoho CRM

Slack is a cloud-based instant messaging service specially for team communication within your organization. You might want to pull in some data from your CRM system to your slack channel while discussing about the latest deals won or hot leads acquired. The Slack extension for Zoho CRM helps you do this without toggling between multiple tabs. The slack extension comes with default slash commands using which you can search and display data from Zoho CRM inside your slack channel. You will also receive notifications when new Leads, Accounts, Deals, Contacts or Cases are created.

Install Slack Extension

You can either go to the Zoho Marketplace and install the Slack extension or log in to your Zoho CRM account and install it.

  1. Click Settings > Setup > Marketplace > All.
    All the installed extensions are listed. Under All Extensions you can view all the extensions supported in CRM.
  2. Click All Extensions, browse through for Slack and click it.
    The details about the extension will be available.
  3. Click InstallNow.
  4. In the following screen, agree to the terms of service and click Install Now.
  5. Choose one of the following and click Confirm.
    • Install for admin only - The extension will be installed in CRM for only the users with the administrator profile.
    • Install for all users - The extension will be installed in CRM for all the users.
    • Choose profiles - The extension will be installed in CRM for all the users. You need to choose this option, click Continue and then select the profile.
      The extension will be installed automatically for the specified users.
  6. Click Authorize.
    If you skip in this step, Settings > Setup > Marketplace > All > Slack.
    In the Slack extension details page, click Authorize.
  7. In the pop-up, specify the domain of your slack account and and click Continue.
  8. In the next window, specify the email address and password of your account and click Sign in.
  9. In the OAuth authorization window, click Authorize to allow Zoho CRM to access your Slack account.
    The connector is now authorized.

Configure Slack Extension

Once you've installed and authorized the Slack Extension, you will have to configure the following details in your Zoho CRM. Select the Slack module and configure the following:

  1. Select the Allow users to execute Slash commands check-box if you want to enable Slash commands in your Slack account.
  2. Select the Post notifications to channel check-box if you want to receive notifications from Zoho CRM in your Slack account.
    You will receive notifications when one of the following event occurs - When a new Lead, Contact, Account, Deal or Case is created, when the status of a Lead or Case changes, and when a Deal is won or lost.
  3. You can also select the channel to which this notification must be sent from the drop-down list.
    You can select only one channel from your slack account.

Create Search Commands

Search commands (also known as slash commands) in slack enables slack users to interact with external services directly. By typing in your search query preceded by a '/' it will fetch you the data from the external service directly. To know more about slash commands, See Also,Slash Commands.

The Slack Extension comes with 5 default search commands that are listed in the Slack tab of Zoho CRM. Using these commands you can pull in any data from Zoho CRM directly to your slack channel. For example, you can display the details of a particular lead by simply typing in /lead [search-term]. The default search commands cannot be edited or deleted.

In addition to these default commands, you can also create your own custom search commands using the New Command option.

To create a new search command

  1. Click the New Command button under Search Commands in the Slack tab.
  2. In the New Command pop-up window provide the Search Command Key, Module in which the search operation has to be performed and Fields that have to displayed in the search result.
  3. Click Save.

View CRM notifications in Slack

Once you've installed and configured the slack extension you will start receiving notifications in your prefered channel whenever a new Lead, Contact, Account, Deal or Case is created, when the status of a Lead or Case changes, and when a Deal is won or lost. The notifications you will receive will be like the one shown below.

Use Slash Commands

Make use of the slash command in Slack to search for specific data from Zoho CRM and display it in your slack channel. For example, When discussing about a hot lead with your colleagues you might want to get some information about the leads. You will have to switch to your CRM tab to get this information. But with slash commands you no longer have to switch tabs while on slack. You can simply search for the details in you chat window. For example, to fetch the details of a Lead named George Smith, all you need to do is /lead George Smith in the chat box. And the complete details of the Lead will be fetched and displayed as shown below

You can also create your own custom slash commands to meet your requirements by following these steps.

Uninstall Slack Extension

When you wish to uninstall Slack extension, please note that the data related to the extension will not be removed from Zoho CRM.

To uninstall Slack

  1. Click Setting > Setup > Marketplace > All.
    All the installed extensions are listed. Under All Extensions you can view all the extensions supported in CRM.
  2. Browse for Slack and click the corresponding Uninstall link.
  3. Click OK to confirm.
    The extension will be uninstalled.
