The company
Teachmint is a global classroom technology company empowering educators and institutions across over 50+ countries. With over 20 million users and availability in 17 languages, the company helps institutions manage every need across K–12, higher education, and academic coaching.
At the heart of Teachmint's classroom technology is Teachmint X, a Google EDLA-certified, AI-powered digital board for teaching, built with next-generation hardware for connected, future ready teaching. Teachmint X brings together the company's proprietary innovations in one seamless solution:
EduAI – An AI-powered intelligent personal teaching assistant.
Teachmint Interactive Whiteboard – A dynamic digital whiteboard designed to blend intelligence with usability and elevate real-time classroom engagement.
Connected Classroom App – A unified platform to plan lessons, teach, manage devices, and streamline classroom workflows. Together, these innovations are transforming how education is delivered, making classrooms more efficient, engaging, and future-ready.
The challenge
As Teachmint scaled, operational complexities grew across multiple areas:
B2B hardware sales: Teachmint is expanding into direct sales of all-in-one digital boards for teaching designed specifically for educational institutions. This initiative involves forming partnerships with various organizations and collaborating with government institutions to enhance reach and effectiveness. Managing multiple sales pipelines is essential to ensure all leads and opportunities are effectively tracked and nurtured.
Teachmint sells material to larger partners, who act as National Distributors (NDs). These NDs offer credit to dealers as well. Dealers are partners who usually bill material from NDs and then sell it to end-customers. Additionally, larger dealers often work with smaller dealers in their territories—which the teams at Teachmint refer to as sub-dealers—to reach more customers.Device installations, warranty tracking, and post-sale services: In order to manage device installations efficiently, Teachmint first needed to streamline the process using structured workflows. They also needed robust systems for warranty tracking and ongoing post-sale service to maintain customer satisfaction and product performance.
Partner onboarding and training: Efficient onboarding processes are crucial for aligning new partners with Teachmint's goals and expectations. Furthermore, adequate training for partners is critical in empowering them to sell and support Teachmint's diverse offerings effectively.
Invoicing and logistics: As transaction volumes rise, the complexity of invoicing and logistics has increased significantly. Teachmint uses a third-party warehouse management system (WMS) to manage warehouse logistics; however, they needed to establish integrated processes across all systems to enhance its overall efficiency and accuracy.
The solution
Custom sales pipelines and workflow management
Teachmint configured custom pipelines to reflect its sales processes, including partner onboarding and installation journeys. These structured workflows provided the team with a straightforward process, spanning from lead management to post-sale execution, thereby reducing clutter and ensuring smoother hand-offs across teams.
The CRM's automated workflows also helped minimize errors, which ensures every step from sales to installation is completed.
Integration and data flow management
Integration between Zoho CRM and Zoho Inventory mean that shipments marked as "shipped" trigger updates in CRM and enable the installation team to proceed efficiently. With over 20 custom functions, Teachmint has automated various processes, such as package generation and pushing data to Inventory and Books. This automation not only saves considerable time but also enables the team to focus more on supporting educators and students. Controlled synchronization through API gateways ensures data integrity across systems, while enhanced visibility helps operations stay on track.
Enhanced client and partner interaction
Customized client scripts ensure compliance with GST rules and accurate pricing validation—which in turn builds trust with stakeholders. Role-based access allows sales, finance, and warehouse teams to access only the information relevant to them. Additionally, portals built with Zoho Creator have enabled partners to manage warranty registrations and access key records that are automatically linked back to CRM—providing a complete view of the customer lifecycle.
Marketing and lead management
By centralizing leads from ad campaigns and referral partners in Zoho CRM, Teachmint can track attribution more effectively. Using UTM parameters, the team gains valuable insights into campaign performance and the quality of leads.
Scalability and operational efficiency
Custom modules for installation tracking, school profiles, and device ownership have streamlined day-to-day operations and enhanced overall efficiency. By avoiding rigid, out-of-the-box syncs, Teachmint maintains control over its workflows and ensures scalability as the business grows.
