Search records in spreadsheet report

Search enables you to look for specific data within a report. On clicking the search icon, the search window lists the fields of the report. You need to select the field, operator and the condition by which you want to run the search. The records that match the condition are displayed. You can select multiple fields, thereby specifying multiple conditions based on which the records need to be looked for.

The search option helps you sift through voluminous records and narrow down to information that you require. Let's assume you have an inventory management app. You have a report that displays product details of all the items in the inventory. If you are looking for a particular product, of particular model, from a particular manufacturer to update the stock details, you can use search. Click on the search field. All the fields in the report are listed. Select the fields that would help you single out the required records. In this case, select Product field, select the operator "is" enter the name of the product; select model field, select the "contains" operator and enter the model number; select manufacturer field.

For Radio button, Dropdown, Checkbox and Multiselect field types, the criteria values will be pre-populated based on the configured options. So, the user can user the field values to search for matching records.

It is possible to search for records on browser, phone, and tablet. The search field in browser presents a slide in pane that has all the fields from which you could specify your search criteria. In phone, clicking search icon directs you to the following screen where you can specify the criteria. In tablet, clicking the search icon presents a pop-up in which you define your search criteria.

Note:
  • Closing the report after applying the search criteria save the report in that state. On accessing the report the next time, the report loads with the previously applied search criteria, displaying only the records that match the same. To view all the records you must remove or clear the search criteria.

Search with operators

Search feature includes operators that enable you to provide conditions based on which the search must be executed. The operators are listed below:

(*) denotes string field is supported (#) denotes number field is supported ($) denotes date field is supported.

Contains (*)Records with values that contains the specified keyword.Displays all the values that contain the keyword. For example, it will return a value like Creator if the keyword is "Cre", "reat", or "tor". 
Not contains (*)Records with values that do not contain the specified keyword.Displays all the values that do not contain the keyword. For example, it will return values like Mail, CRM, or Writer if the keyword is "Cre" or "tor".
Less than (#)Records with values less than the specified keyword.Displays values with "1", "2", and "3" if the specified keyword is 4.
Greater than (#)Records with values greater than the specified keyword.Displays values with "5", "6", and "7" if the specified keyword is 4.
Less than or equal to (#)Records with less than or equal to the specified keyword.Displays values with "1", "2", and "3" if the specified keyword is 3.
