Define formatting rule for a field in a spreadsheet report

Formatting allows you to select and apply formats to records in order to highlight them in the report. This helps to draw to attention to certain reports or make the data stand out from the rest of the records.

There are two options for applying formatting:

  • All Records - This option applies the selected formatting to the field across all records, regardless of the data entered in the field.
  • Selected Records - This option ensures that the formatting of a field value is applied to the records that match your condition. To use this option, you need to set the criteria. You will be able to set more than one condition.

Define formatting rule for all records of a field

To define a formatting rule:

  1. Navigate to the Design page.
  2. Click the Configure Fields button. The Field Mapping window will appear.

  3. Click the formatting icon.

  4. Select the suitable template.

  5. Select All Records under the Apply this format for section.
  6. Enter the name of the rule in Name the format field.
  7. Click SAVE. The rule will be added under Formatting Rules.

  8. Click Close to exit.

On accessing the application, you will find that this rule is applied to the records.

Define formatting rule for selected records of a field

To define formatting rule:

  1. Navigate to the Design page.
  2. Click the Configure Fields button. The Field Mapping window will appear.

  3. Click the Formatting icon.

  4. Select Custom.

  5. Determine the font and color
  6. Select Selected Records under the Apply this format for section.
  7. Select the field on which your rule must be applied.
  8. Select the Operator for the condition.
  9. Enter the condition.
  10. Enter the name of the rule in Name the format field.

  11. Click SAVE. The rule will be added under Formatting Rules.

  12. Click Close to exit.

Upon accessing the application, this rule will be applied to the records that match the criteria that you have created.
