All Clear modernizes logistics management with Zoho Creator
"Creator gave us what Access couldn’t: flexibility, online access, and the ability to make changes without needing a programmer."

Use case : Logistics management
Industry : Logistics and freight-forwarding
Region : LATAM
The company
Founded in 1972, All Clear Co Ltd is a privately held logistics and freight-forwarding company operating across trucking, shipping, customs brokerage, and end-to-end coordination for regional and international clients. The company manages operations from its Caribbean headquarters with an administrative team of seven, supported by a wide network of subcontracted carriers, truckers, and brokers.
With customers across the Caribbean, Europe, and the United States, All Clear manages a high volume of shipments requiring precise documentation, visibility, and continuous communication. To remain competitive and prepare for a more digital future, the company needed technology that could support remote access, process consistency, and better data management.
The problem
For nearly 15 years, All Clear relied on a Microsoft Access database to track client information, shipment details, equipment, and rates. While the system worked in earlier years, it was increasingly difficult to maintain and no longer aligned with the company’s need for mobility and efficiency.
Access had multiple limitations: It lacked remote accessibility, required specialized skills to modify templates, and created frequent data constraints as the business evolved.
"Although Access worked, it didn’t give us the flexibility to access the database online or make changes internally as easily as we wanted to."”
— Gillian Hislop, Managing Director, All Clear
As the company prepared for a future where remote work and digital operations would become standard, they recognized the need for a modern, cloud-based system that could manage complex shipping operations while remaining easy for staff to learn and maintain.
The solution
All Clear adopted Zoho Creator after it was introduced by a subcontractor who believed the platform could simplify communication and field documentation. Once the team explored its capabilities, Creator quickly became the natural choice to rebuild and modernize the company’s entire shipping database.
Working closely with the Zoho team, All Clear built a custom shipping management application with multiple interconnected modules.
"It’s a very comprehensive application; everything is in one place now. Shipments, rates, equipment, ports—everything is finally connected. With Creator, we’re now able to store documents, track validity dates, upload rate sheets, and get system prompts. We never had any of that before."
— Gillian Hislop, Managing Director, All Clear
The key modules developed include:
Shipping line information
This module centralizes all shipping line details. Previously scattered across files and emails, this information is now cleanly consolidated. Staff can quickly identify which carrier is associated with each route and contract, improving decision-making and communication.
Country and port management
This module houses all the ports and countries All Clear ships to and from. One major improvement is intelligent autofill. As soon as staff begin typing a country, all related ports appear automatically, which eliminates manual typing, minimizes errors, and speeds up shipment creation.
Rate validity and breakdown
Because ocean freight rates frequently change, this module captures rate validity periods and provides a clear breakdown of associated costs like fuel, surcharges, and variable components. Team members can upload official rate sheets directly into the system and receive automated reminders before any rate expires.
Client and shipment information
This core operational module contains customer profiles, linked ports, products being shipped, the shipping line used, vessel and voyage details, and destination specifics. It serves as the single source of truth for each shipment.
Document upload
All shipment-related documentation, like bills of lading, rate confirmations, and equipment certificates, can be attached directly to a shipment record. This removes the dependency on local shared drives or email chains, ensuring documents are always accessible when needed.
Dashboard and reporting
Creator’s dashboard provides a real-time snapshot of the business, including booked shipments, pending shipments, departed vessels, and total movements within a selected period. The visual charts gave the team new insights into their workflow volume, trending routes, and operational bottlenecks.
One of the most impactful features, the alerting system automatically prompts the team when freight rates are nearing expiration or when clients must be reminded to return equipment before penalties apply. It also provides internal prompts tied to timelines, validity dates, and action items the team previously tracked manually.
Benefits and ROI
The adoption of Zoho Creator has transformed how All Clear manages its shipping operations, bringing new levels of speed, accuracy, and visibility to the team’s daily work. The centralized online system has streamlined tasks that were once manual and time-consuming, while empowering staff with real-time information and intuitive workflows.
"We’re all able to access the system at the same time, from anywhere—even our phones."
— Gillian Hislop, Managing Director, All Clear
Key results include:
- Faster, more accurate data entry: Intelligent port suggestions and automated validations dramatically reduce manual input time while preventing errors related to outdated rates, ports, or equipment details.
- Centralized and consistent documentation: With all shipment data and documents stored in one place, staff no longer chase files across emails or folders, creating a more organized and reliable workflow.
- Greater transparency and informed decision-making: Dashboard visualizations give the team clearer insight into volumes, trending routes, deadlines, and bottlenecks, helping them stay proactive.
Looking forward
With the application now fully deployed, All Clear is turning its attention to the next phase of its digital transformation. The company plans to adopt a more flexible remote-work model by 2026, leveraging Creator’s mobility and cloud capabilities. They're also exploring integrations with Zoho’s AI features to automate repetitive tasks, such as automatically emailing carriers when rates expire.
"As we get more familiar with the platform, we’re excited to see how much more we can improve our efficiency—especially with AI and future enhancements."
— Gillian Hislop, Managing Director, All Clear
Gillian believes that Creator has laid the groundwork for long-term modernization, giving the company the flexibility, scalability, and reliability needed to stay competitive in a fast-moving industry where speed and accuracy matter most.
