Getting Started

Zoho Calendar is a free calendar application that is available as a part of the Zoho Mail Suite platform. It is an efficient workplace tool that helps you stay on track with your schedule, meetings and holidays. It helps you create events/calendars, share your calendars, subscribe to external calendars and also synchronize with your device calendar. 

Manage Calendars/Events - Create and manage various calendars and events, send invites to the attendees and track RSVPs.

Subscribe - Add a friend's calendar, holiday calendar or a public calendar to your Zoho Calendar by subscribing to it. 

Share - Allows others to view your calendar by sharing it with the public or private audiences. 

Sync - Manage calendars from other accounts like Google Calendar or Microsoft Outlook on Zoho Calendar. Sync your Zoho Calendar with your mobile and access on-the-go. 

Set Time zone:

Time zone is set by default. The event notifications are received based on the Time zone set. If there is any event-time mismatch, you should check the Time zone specified in the calendar and make the necessary changes. You can also change the Time zone depending on the change in work location and create schedules accordingly.

To change the Time zone:

1. Login to Zoho Mail.

2. Navigate to Settings  > Calendar > Calendar Preferences.

3. Click on Time zone and choose the Time zone with respect to your nearest geographical location.

Note:

Changing the Time zone in Zoho Calendar will effect a Time zone change in all your Zoho accounts.  

Select Date/Time format:

Zoho Calendar offers standard versions of Date/Time format for the users to choose from. The Date formats listed include MM/dd/yyyy, dd/MM/yyyy, yyyy/MM/dd and yyyy-MM-dd. Both 12-hour and 24-hour time format is also supported. 

To choose your Date/Time format:

1. Login to Zoho Mail.

2. Go to Settings  > Calendar > Calendar Preferences.

3. Under Date format, choose the desired format.

4. Using Time format option, choose 12-hour or 24-hour format.

Choose Default view:

The default view option in Zoho Calendar helps you set the view of the calendar according to your requirement. Every time you login to Zoho Calendar, the default view shows up. You can choose from Day, Week, Work, Month and Agenda view. 

To choose your Default view:

1. Login to Zoho Mail.

2. Go to Settings  > Calendar > Calendar Preferences.

3. Select your Default view. Eg.: Month.

Select the First Day of the Week:

The First Day of the Week denotes the starting day of the Week/Month view in your calendar. As different regions follow different traditions, you can customize the view accordingly.

To set the first day of the week:

1. Login to Zoho Mail.

2. Go to Settings  > Calendar > Calendar Preferences.

3. Select your First Day of the Week. Eg.: Sunday.

Set Working Hours and Work Week:

Depending on the work-schedule in your organization and location, you can set your working hours and work week on your Zoho Calendar. For eg: If you work from Monday to Friday and your work timings are 9 am to 6 pm, you can configure it in your Zoho Calendar. This helps you customize your calendar view. 

To configure your Working Hours and Work Week:

1. Login to Zoho Mail.

2. Go to Settings  > Calendar > Calendar Preferences.

3. Enter the Start and End day in Work Week.

4. Enter the Start and End time in Working Hours.

Note:

If you switch on "Consider my time outside working hours as 'Busy'", your free/busy schedule in the calendar will be marked as busy for the rest of the time except for your working hours.

Add Calendar:

On logging into Zoho Calendar, a primary calendar is available to the user by default. In addition to this, calendars can be added by the user. 

To add a new calendar:

1. Login to Zoho Mail.

2. Click on the Add (+) icon next to My Calendars on the left side of the screen.

3. Enter the Calendar name, color, text color.

4. Use the add note option below the Calendar name to add a description to the calendar.

5. Click Save to create the calendar.

Default Reminder:

When you create a Zoho Calendar account, a primary calendar is added to your account as your default calendar. A default reminder of 15 minutes is set for this calendar and you will be notified 15 minutes prior to the start of the events that are added to this calendar. You can edit or delete the reminder based on your preference.

To change the language:

1. Login to Zoho Mail.

2. Go to Settings  > All > System.

3. Choose your Display Language. Eg.: English.
