I have configured workflow rules to trigger email alerts at regular time intervals. Will the workflow rules stop if the status of a transaction changes?

Scenario: Patricia wants to send email reminders to customers every 7 days after raising a quote. To do this, she creates multiple workflow rules that will trigger an email alert every 7 days after the quote date, until the status of the quote changes. If the status of the quote changes, the consequent workflow rules will not be triggered.

To do this:

  • Go to Settings in the top right corner.
  • Click Workflow Rules under Automation.
  • Click + New Workflow Rule.
  • Enter the Workflow Rule Name.
  • Select Quote from the dropdown Module.
  • Click Next.
  • Select Date Based as the Workflow type.
  • Enter 7 next to the Date of Execution.
  • Select after from the first dropdown and Quote Date from the second dropdown.
  • Enter the required Execution Time.
  • Select Once from the drop-down Execution Cycle.
  • Click Next.
  • Select Status from the first dropdown, is from the second dropdown and Sent from the third dropdown.
  • Click Next.
  • Select an Email Alerts from the dropdown Type and select a Name under Actions.
  • Click Save.

Similarly, create multiple workflow rules with the Date of Execution set as 14 Days after Quote Date, 21 days after the Date and so on for the required duration. These workflow rules will trigger an email alert every 7 days after the quote date until the status of the quote changes. If the status of the quote changes, the second and the subsequent workflow rules will not be triggered as per the criteria.
