Just in: Custom Fields for Invoices and Estimates

“All good things come to he who wants and asks”.
Ask you did. That’s why Zoho Invoice and Zoho Books now support “Custom Fields” for invoices and estimates. Come along as we run you through this much requested for feature.

Before Custom Fields:

You
had to make do with the notes section to include any additional
information to your invoices & estimates. This means, you may need
to enter them manually invoice by invoice, there’s a good chance that
you may miss out adding that information.

Now that there are custom fields:

You
get to add custom fields to your invoices. The custom field could hold
any information like the name of the sales person associated with an
estimate; the delivery date for the items on an invoice; the discount
code used on the invoice; or even a personalized tag for that customer.

Setting up custom fields is as easy as a pie:

Head
to Settings and you’ll see the option to add “Custom Fields” for
invoices & estimates. You can set up three custom fields each for
invoices and estimates. In the example here, let’s set up a custom field called “Delivery Date”.

The new custom field “Delivery Date” will now appear on all new invoices that you create.

Enjoy using custom fields while we get our elbows greasy on another feature that’s been on our minds for the longest time.

  1. It would be useful for us as well to search and report with the custom fields. We would also like to see the different types of custom fields, (date, scroll down, etc ) to reduce human error.

  2. Now if the custom fields could be not shown to the customer and automatically added to as a vendor bill it would greatly benefit my type of business!Couriers get paid a percentage of the invoice.

  3. Hi
Great feature that I use regularly.
Always seems that I need one more field, so would be awesome if you could make the number of fields extendable.
Cheers . . . keep up the great work :)

  4. It would be very nice if you would add a data type handler to this field as well. Maybe one could select if it is Yes/No, Preconfigued dropdown choises, Checkbox, Date and some other types. :)

  5. @Dani, Integration with iDeal payment gateway is certainly on the cards. As for the enhancements to the UI, would be great if you could send us an email about the kind of enhancements that you'd like to see.@Cheif Operations Manager, Thanks!@Stephan, Sounds interesting. We'd be thankful if you can send us a detailed information of the ideal workflow that you are looking for.@converse pantoufle, We'll make sure to add that to our requests list.@taylorchooquan, glad this would be useful. More additions would be in soon.@TK, your comments have been passed on to the product team for consideration. Hope they would make it into the product in due course of time.

  6. Reporting based on custom fields should be there. Also more custom fields. We are using all three of them and we need two
more at least. For example one custom field is: Delivered by.This is part of the invoice numbering. Also it should be used for reporting in order to
    proceed to staff payments.BR

  7. Thanks to everyone for all the lovely comments. It makes us feel very good and we are all charged up to deliver more.@GATIM: The seamless migration option from Zoho Invoice to Zoho Books will be available in a few weeks from now.@ozzierod: Our product team has received your request. They'll analyze the prospects of including this into the product.@cbmusicstudios: At the moment, it is not possible to generate reports based on custom fields. We prioritize the implementation of new features/enhancement depending on the number of users who have requested for it. We have included your vote for this enhancement at the moment. As soon as this enhancement receives majority of customer votes, we shall take steps to include it.@ShackRock Rental: If your requirement is to make the custom fields available for all the customers you add later then, it can be achieved by selecting the option "Make these fields available for new customers" in the Edit Customer page. If you have any issues, feel free to drop a mail to support@zohoinvoice.com. We will be more than happy to assist you.

  8. those custom fields i think are only for static datas, but what i need is something different, i want to add a field similar as tax called research fee, which is 30% of the project fee(exculding tax), so that field may be placed above tax, and i need the research fee can be calculated automaticly, and more importantly, the grand total can inlcude the research fee, is there a way to work it out?

  9. so I am having an additonal tax called days with 0%, In the invoice I can then print the tax2-name.
But far nicer would be sales unit field in the article.

  10. Nice. However it would be great to have these persistent for a customer record as well. The current custom fields do not always persist across to new customers and must be added manually.

  11. Definitely a nice feature. Would be nice to have something similar for the article in which I can store information about the unit (hours, days, km etc.) Currently I am misusing the tax field for it, so I am having an additonal tax called days with 0%, In the invoice I can then print the tax2-name.
But far nicer would be sales unit field in the article.

  12. in the intro for custom fields you use the word "fat" see below, this should be "Good" i think for a better way of putting it!Before Custom Fields:You had to make do with the notes section to include any additional information to your invoices & estimates. This means, you may need to enter them manually invoice by invoice, there's a fat chance that you may miss out adding that information.

  13. Nice feature. Would be even nicer if the custom fields can have a type like: dropdown, date, radio, or checkbox. Options where applicable.

  14. Very nice and useful feature! However, those who are interested in switching from Invoice to Books are still waiting for the seamless integration/migration feature. It seems as if your missing out on (existing) clients.
