AEI Saudi - Zoho Analytics customer story

"Using Zoho Analytics, we are better placed to develop our business strategy, improve operational efficiency, and have tactical detail at our fingertips like never before."

- Mickey Stewart, Deputy Chief Executive Officer, AEI Saudi

The company

AEI Saudi (Arabian Enterprise Incubators Saudi) is a consultancy and support services business established in the Kingdom of Saudi Arabia in 2012. From its base in the KSA, the company has grown to employ almost 200 people and has supported close to 3,000 international clients to land and expand in the Saudi market. Its client relationships span international embassies, multinational corporations, and Saudi government departments, placing AEI Saudi at the intersection of international business development and local market expertise.

The Deputy Chief Executive Officer oversees all operations and is personally responsible for strategic client relationships as well as driving international business development and key local partnerships.

The challenge

Like many small and medium-sized enterprises experiencing rapid growth, AEI Saudi found that its operational infrastructure was struggling to keep pace with the business. The company had outgrown the organic, informal methods it had originally used to manage data and business information. As transaction volumes increased and the client base expanded, AEI Saudi's processes for collating, analyzing, reporting, and acting on data became progressively less efficient.

The consequence was an organization working harder than it should be, a situation its leadership recognized as unsustainable. Invoice tracking and payment allocation were under particular pressure: with more clients and more transactions to manage, the capability to control receivables data was being stretched to its limits. The challenges, as AEI Saudi's Deputy CEO acknowledged, were stubborn but not impossible to solve. What was needed was a digital transformation built around a business integration platform suited to the company's scale, culture, and ambitions.

The solution

AEI Saudi approached its digital transformation in deliberate stages, beginning with the finance department. The first priority was consolidating all financial data and its management into a single system, which led the company to adopt Zoho Books. The sales team followed with Zoho CRM, which represented an important step change in AEI Saudi's ability to track and manage client data. The most recent stage has been a broader migration to the wider suite of Zoho products, with all teams now using Zoho in some form: Analytics, Books, CRM, and operational modules.

Zoho Analytics sits at the center of AEI Saudi's business intelligence capability. The platform is fully integrated with Zoho Books, giving the company access to accurate, real-time financial data. Beyond financial reporting, AEI Saudi also uses Zoho Analytics for HR-related statistical reports and broader operational insights, allowing management to monitor workforce trends and performance indicators alongside commercial metrics.

Several factors informed AEI Saudi's decision to proceed with Zoho Analytics. Management visibility was central: the platform gives managers across all departments easy access to the reports relevant to their areas. Advanced filtering and flexibility were equally important, with reports filterable by cost center, client, employee, and department, making the data highly actionable. Dynamic dashboards and customization capabilities allow the team to present data in different formats, including charts, tables, and detailed comparisons, depending on what the business needs at any given moment.

"The ability to view by cost center, client, and employee makes Zoho Analytics a tool for the whole business."

- Mickey Stewart, Deputy Chief Executive Officer, AEI Saudi

AEI Saudi's data analysis encompasses real-time financial data as well as periodic reviews of business performance monthly, quarterly, and annually. Period-on-period comparisons are central to the company's management process and can be broken down into P&L, client activity, aging receivables, bank balances, and operational performance metrics. Zoho Analytics also supports what AEI Saudi describes as unlimited reporting possibilities: the ability to create detailed reports with multiple display options that can be tailored to any area of the business.

Benefits and ROI

The impact of Zoho Analytics on AEI Saudi's operations has been broad and tangible. Perhaps the most significant individual benefit has been improved invoice tracking and payment allocation. As the volume of transactions grew, the risk of losing visibility over aging receivables increased. The digital transformation with Zoho has enabled AEI Saudi to get ahead of aging positions, reducing financial risk and improving cash flow management.

At the operational level, business processes feel markedly more efficient, and teams are considerably more confident in their data reporting. AEI Saudi has been able to reduce the frequency of weekly meetings that previously served as the primary mechanism for assessing business areas and coordinating operations. Because stakeholders now have instant access to a common operational picture, the company can act on information immediately and where appropriate, without waiting for a scheduled review.

The collaborative benefits have been equally significant. There is now a commonality of language and data formats across business units that did not exist before, and data is easily shared. AEI Saudi's leadership reports that watching teams develop a genuine data culture within the business has been one of the more rewarding outcomes of the transformation, one that validates the contributions teams make and drives productivity.

Zoho Analytics has also improved transparency, reporting speed, and decision-making across the company more broadly. The ability to draw on live data, make period comparisons, and filter by any combination of cost center, client, or employee has given AEI Saudi's leadership a quality and depth of insight that was previously unavailable. The company now describes itself as having an analytics maturity that allows it to manage growth and make informed decisions in a timely fashion.

Looking forward

AEI Saudi's digital transformation is, by its own description, a journey that is still ongoing. The company continues to grow year on year and to serve hundreds of international clients from around the world. Its analytics capability is now integral to managing that growth: the ability to surface data, identify areas requiring attention, and develop plans based on evidence has become part of how AEI Saudi operates rather than a supplementary activity.

Looking ahead, AEI Saudi has plans to extend its use of the Zoho platform into HR management and workflow and to develop its Zoho CRM capability further. The ambition is for the whole business to continue maturing in its use of data, deepening integrations, expanding the range of reporting, and ensuring that the analytical tools available keep pace with a business that shows no sign of slowing its growth.

"It has been great to watch our teams develop a data culture within the business, all of which validates their important efforts, from which they feel fulfilled. And this, in turn, drives productivity."
