Create and Manage Custom Dashboards

Custom dashboards let you build personalized views of your organisation’s expense data. You can add Analytics report widgets as well as the default Expense widgets to bring the reports and summaries you use most into a single view. You can create multiple dashboards to track different aspects of expense management, such as trip spending trends, reimbursement status, or policy compliance, and switch between them from the Home tab.

Notes:

  • This feature is currently in Early Access. Write to us at support@zohoexpense.com to enable it for your organisation.
  • You must be an Admin to create and manage custom dashboards.
  • The default dashboard cannot be edited or deleted. You can only create and manage custom dashboards.

Create a Custom Dashboard

To create a new custom dashboard:

  • Go to Home on the left sidebar.
  • Click New in the navigation bar.
  • Enter the Dashboard Name.
  • Enter a Description for the dashboard.
  • Click Save to create the dashboard.

Once the dashboard is created, the dashboard builder opens in full screen, where you can start adding the widgets you need.

Add Widgets to a Dashboard

After creating a custom dashboard, the dashboard builder opens automatically. Widgets are individual cards on the dashboard that display specific data such as charts, summaries, or tables. You can add widgets from the sidebar, which lists them under Default Expense Widgets and Analytics Widgets. Click a widget to add it to the dashboard.

Default Expense Widgets

Default Expense widgets are ready-to-use charts and summaries for common expense metrics. Click a widget from the sidebar to add it directly to the dashboard.

The following default Expense widgets are available:

Note: Default Expense widgets added to a custom dashboard cannot be resized or customised.

Analytics Widgets

Analytics widgets let you display data from Analytics reports as charts on your dashboard. The following Analytics widgets are available, organized by module:

When you click an Analytics widget from the sidebar, a dialog opens where you can configure it.

Widget Details

FieldDescription
ReportThe Analytics report that the widget is based on. This field is pre-filled and cannot be changed.
Time PeriodThe time range for the data displayed in the widget. Options include: Today, This Week, This Month, This Quarter, This Year, Previous Day, Previous Week, Previous Month, Previous Quarter, Previous Year, and Custom.
Widget NameThe display name for the widget on the dashboard.
DescriptionA description of the widget (optional).
Add Advanced FiltersAdd filters to narrow down the data displayed in the widget. This option is available only for certain reports.

After filling in the widget details, configure the chart preferences:

Preferences

FieldDescription
Chart TypeThe type of chart to display. Options vary by report (for example, Line Chart or Bar Chart).
X-Axis Data PointsThe data field displayed on the X-axis.
Y-Axis Data PointsThe data field displayed on the Y-axis.
Sort ByThe sort order for the data.

Note: The available chart types, axis options, and sort fields vary depending on the report you select.

  • Configure the widget details and preferences.
  • Click Save.

Manage Widgets

You can add more widgets to a custom dashboard, and resize, edit, and delete the widgets on a custom dashboard.

Note: Only Analytics widgets can be resized and edited. Default Expense widgets can only be added or removed.

Add More Widgets to a Custom Dashboard

You can add widgets to a custom dashboard at any time, not only during creation. Here’s how:

  • Go to Home on the left sidebar.
  • Click the custom dashboard you want to add widgets to.
  • Click Add Widgets.

Resize a Widget

Analytics widgets can be resized within the grid layout to help you organize the dashboard based on your requirements. To resize a widget:

  • Go to Home on the left sidebar.
  • Click the custom dashboard.
  • Drag the resize handle at the corner or edge of the Analytics widget to adjust its size.

Edit a Widget

You can update the details and preferences of an Analytics widget on a custom dashboard. Here’s how:

  • Go to Home on the left sidebar.
  • Click the custom dashboard.
  • Click the Gear icon on the widget you want to edit.
  • Select Edit.
  • Update the widget details or preferences.
  • Click Save.

Delete a Widget

You can remove a widget from a custom dashboard. Here’s how:

  • Go to Home on the left sidebar.
  • Click the custom dashboard.
  • Click the Gear icon on the widget you want to delete.
  • Select Delete.
  • Click Yes to confirm.

Edit a Custom Dashboard

You can update the name and description of a custom dashboard. Here’s how:

  • Go to Home on the left sidebar.
  • Click the custom dashboard.
  • Click the Gear icon next to the dashboard name.
  • Select Edit Dashboard.
  • Update the dashboard details as needed.
  • Click Save.

Delete a Custom Dashboard

You can delete a custom dashboard that is no longer needed.

Warning: Deleting a custom dashboard is permanent and cannot be undone. All widgets in the dashboard will be removed.

To delete a custom dashboard:

  • Go to Home on the left sidebar.
  • Click the custom dashboard.
  • Click the Gear icon next to the dashboard name.
  • Select Delete Dashboard
  • Click Yes to confirm.
