Mail Server Settings

The mail server in Zoho is pre-configured to use your Zoho signup e-mail address to fetch and send mails from Zoho Support. To view this pre-configured support e-mail ID, click Setup>Mail Settings> Mail Server Settings. You will find the default e-mail ID in the Default Mail Account section.

When you customers send an e-mail to this pre-configured e-mail ID, a new request is automatically created.

Adding Pop Accounts

You can also add your company's existing support e-mail ID as a POP account. This allows you to receive e-mails sent by customers to that e-mail ID as requests in Zoho Support.

To configure POP access to your company's support e-mail address, follow the steps given below:

  1. Click Setup
  2. In the Mail Settings section, click Mail Server Settings
  3. Click Add POP Account
  4. Select a department
  5. Enter a display name for the POP account
  6. Enter the e-mail ID you want to create the POP account for
  7. Provide the following information about your POP3 account:
    • Name of the incoming mail server
    • Select an incoming port number from the drop-down
    • Check the Use SSL checkbox to use a secure connection
    • User name of the e-mail ID
    • Password of the e-mail ID
  8. Under Delete Message Settings option, select between -
    • Delete messages from Server after every day(s), to delete the messages after a specified interval after the message is retrieved here.
    • Or 'Leave messages in the server' , If you do not want to delete the messages from the server after the message has been retrieved here in POP.
    • Or 'Delete messages from Server whenever I receive here' to delete the messages from the server after the message has been retrieved here in POP.
  9. Provide the following information about your Outgoing Mail Server:
    • Name of the SMTP server
    • Select an outgoing port number from the drop-down
    • If you want a secure connection, select between SSL or TSL
  10. Specify the authentication settings by selecting one of the following options:
    • If authentication is required, select Yesand provide the Username and Password.
    • Else, choose Use Incoming Server Credentials
  11. Click Save

You can edit or delete this account when required.

Note:

  • Zoho Support allows only the following Server Port Numbers:
  1. POP (Incoming) - 110 & 995
  2. SMTP (Outgoing) - 25, 465 & 587

Stopping the Mail-fetching Process

By default, the mail-fetching process is started for POP accounts that you add. You can stop the mail-fetching process from your POP account at anytime. To stop fetching e-mails, follow the steps given below:

  1. Click Setup
  2. In the Mail Settings section, click Mail Server Settings
  3. Click Stop fetch against the POP account that you want to stop the mail-fetching process for

You can start the mail-fetching process at anytime.

Editing POP Accounts

To edit POP accounts, follow the steps given below:

  1. Click Setup
  2. In the Mail Settings section, click Mail Server Settings
  3. Click Edit against the POP account that you want to edit
  4. Make the required changes
  5. Click Save

Deleting POP Accounts

To delete POP accounts, follow the steps given below:

  1. Click Setup
  2. In the Mail Settings section, click Mail Server Settings
  3. Click Delete against the POP account that you want to delete
  4. Click OK
