1. Can I receive notifications via text message?

No. As of now, notifications are sent only via Email

2. Is it possible receive reminder about the task similar to task notifications?

Ability to receive reminder for a particular task is not available. However, you can get to know the status of all the tasks, meetings and milestones assigned to you, with the help of Email My Activities option.

3. How do I set dependency between tasks?

  • Create tasks with start & end date
  • Go to Dependency View
  • Click the Predecessor column of the task, which is supposed to be the child task
  • Type-in the Sequence Number of the task – which must be the parent task –
    in the Predecessor column of the child task
  • Press Enter/Return key in the keyboard.

4. How can I edit the tasks in Dependency View?

To change the task's name in Dependency View, click the task name to update the task name and press Enter Key.

5. Can I receive notification when a task is completed?

Notification is sent to the task owners when the percentage completion is updated to 100% - provided Send Mail Notification option is enabled. Else, no notification is sent to the task owners.

6. Is there a way to collapse the task lists?

It is possible to collapse the task lists. For that, you can click on the Collapse symbol – displayed to the left of the task list name.

7. My tasks are not shown in Google Calendar? What am I doing wrong?

Tasks assigned to you will be displayed in your Google Calendar, only when the task is created with duration (Start & End date) and Add to Google Calendar option is enabled.

Note: Add to Google Calendar option will be available only for the Google Apps users.

8. When I print a Gantt chart, I get a blank page. How do I fix this?

When using the Print option – available at the top right side of the page – only empty page is displayed. This is because of the Flash based Gantt chart.

However, you can right click on the Gantt chart and click Print Chart option.

9. I can mark a task as completed which got completed long ago? Is it available for Milestones?

  • Go to Tasks & Milestones section of the project
  • Click Milestones link
  • Click the Milestone's completed date and update the completion date

10. How I can set off the non-working days in the system, like Weekends, National Holidays?

All the seven days of the week are taken into account. Option to avoid weekend, National Holidays is yet to be supported.

11. While creating templates I noticed that I am not able to add milestones without a date?

Milestones can be created only with start and end date. Option to create milestones for a project without duration is yet to be supported.

12. How do I give permission for some of my project members to see only certain tasks?

Project Members – irrespective of their role – can view all the tasks. Changing the access permissions of the project members is not possible.

13. What does the following "send an email" means? Is it possible to I turn it off?

Send an email infers to notifying the selected task owners, about the task via email. This will help the user(s) to know that a task has been assigned to them, even without logging into the projects account.

As of now, there's no centralized option to turn-off the notification option.

14. My client is unable to view the tasks though they get notice of the task?

By default, Client user will be able to access the tasks that are associated with the External Milestone/ Task List.

In your case, client user is unable view the tasks, as the milestone/ task list to which the task is associated might be Internal. You can edit the milestones/task list and change the flag to External.

15.How to upload a file directly for a task?

To add a file to a task :

  • Click task name of Tasks & Milestones module. A task details page is displayed
  • Here, click Associate first Document option from the right menu panel

16. I cannot see subtasks listed for my project?

Subtasks are available only for paid customers of Enterprise and Premium plans of Zoho Projects. If you are in Free Plan, then we request you to upgrade your account to see subtasks.

17. How do I view the Resource Availability across all projects.?

If you are the Portal Owner or Administrator and your projects portal is in the Enterprise plan, you will be able to see the Resource Availability / Utilization chart across all projects from the Reports Tab on the home page.

18. How do I view the Gantt Chart across all projects?

If you are the Portal Owner or Administrator and your projects portal is in the Enterprise plan, you will be able to see the Gantt Chart across all projects from the Reports Tab in the home page.

19. When a task is updated, the page moves to top and expands all tasks. Why this happens?

When a task is edited, the updated task shifts to the top of the page and gets highlighted in yellow color. This is done to highlight the updated task from the rest of the tasks listed in the page.

20. Subtasks cannot be reordered - why is this? This is a problem?

Currently the ability to reorder subtasks is not supported. However, we have plans of supporting this feature in our future updates.

21. I can't add a subtask to any tasks (the main task is still open) - why is this?

You will be able to add subtask to a task only if your projects portal/account is in the Premium or Enterprise plan.

22. How do I move tasks around, i.e. move a subtask from one parent task to another?

It is not possible to move a subtask from one parent task to another. However, you can follow the below workaround to move a subtask :

  • Make the subtask as a parent task. i.e mouseover the subtask
  • Click the left indent arrow displayed to the left of the subtask name
  • Mouseover the task and click the button displayed on its left side
  • Click Move Task option, select the tasklist to which the task must be moved
  • Now click Move Task button to move the task
  • Once moved, place the moved task below the task for which it must be subtask using Reorder option
  • After saving the order, click right indent arrow displayed to the left of the task name

23. Is drag & drop functionality supported, E.g create dependencies through mouse maneuvers?

Drag & Drop function is supported in the Gantt Chart. i.e The users can update the task's duration using this function. Creating dependency is not possible via drag and drop option.

24. I tried to make a Gantt, the max period shown is 12 months. How to see 36 months or longer.

As per the existing design the maximum period supported on the Gantt chart is 12 months. Viewing the report for more than 12 months on the Gantt chart is not possible.

25. Can I update multiple tasks at a time instead of one by one for dates, percentage, owners?

You can mark all the tasks within a task list as completed, change the priority, ownership and move them to a different task list. But it is not possible to update the percentage.

To make bulk changes, follow the steps below :

  • In the Tasks section, once you have clicked the checkbox displayed to the left of the task name
  • Here you can find a yellow bar titled Update, just above the first task in that task list
  • Click the checkbox displayed to the left of the title Update
  • Select all the tasks or tick the checkbox for the required tasks
  • Make use of the options available in the yellow bar

26. How do I mass delete predecessors in the Task Depend view instead of one by one?

It is not possible to delete tasks from the Task Dependency view. Tasks can be deleted only from the Tasks section.

27. Every time a project task is updated to me the project owner- I am cc'ed. How to stop it?

With the current design, a copy of the notification mail will be sent to you when you update the task. Option to stop receiving this notification mail is not supported yet.

28. How can I change the Priority Names (High, Medium, Low)?

It is not possible to change the priority names as it is predefined. Customization is not supported yet.

29. How to add New Priorities for tasks?

Currently it is not possible to add new priority because customization is yet to be supported for tasks.
