Tasklist, Tasks and Set task duration

A tasks list is a group of tasks.

A task is an activity that needs to be accomplished within a defined period of time. You need not juggle around with multiple tasks instead Zoho Projects will remember and manage all the tasks on your behalf.

Add a Task

  1. Click Add Task link in the bottom panel
  2. Type the task, select tasklist, assign owner, specify start and end date of your task
  3. Select a priority from the list box
  4. Choose percentage completed (if required)
  5. Click Add Task button

This creates a new task with a duration and percentage completed (if chosen)

Note: If you wish to add more tasks make use of Add Task link from the bottom panel or New Task from the right menu options

Edit a task

Task Menu

Click a task and it loads the task details page. Mouseover to edit the title and other details of the task. Make required changes and save it

The latest modified changes gets updated for the task.

Delete a task

Click a task and it loads the task details page. You can find the trash can icon next to the Task Properties section. Click to delete this task.

  1. An alert message Do you want to remove this task and its associated timesheet entries? gets displayed
  2. Click OK button

This deletes the tasks along with the associated timesheets entries and delinks the set dependencies (if any).

Set task duration for Tasks

Login to Zoho Projects, go to Settings click Edit Profile and here you can find the option to set duration in hours along with days.

This enables durations in hours for all your tasks, subtasks, dependency, gantt and resource utilization charts of a project.

Set task duration for Tasks

  1. Click Add Task link in the bottom panel
  2. Type the task, select tasklist, assign owner, specify start and end date of your task
  3. Click Enter duration now specify duration in hours
  4. Select a priority from the list box
  5. Choose percentage completed (if any)
  6. Click Add Task button

This creates a new task with the set durations in hours.

Note: You must be the portal owner to enable this option for your. portal. And this feature is available only for Premium and Enterprise paid customers of Zoho Projects.

We support the various format for time entry i,e you can enter hours as 2:30 or 2.5 which gets automatically interpreted has 2 hours and 30 minutes.

  1. Click Gantt View link in Tasks and Milestones tab
  2. Here you can find the duration listed in hours when you mouseover a task/subtask

Task duration in Resource Charts

Task duration is now included in resource utilization as well as gantt charts. Typically, durations can depend on the experience of the person who performs the task. For example, In a team, a highly skilled and experienced person can complete certain tasks much more quickly than a less experienced person. The ability to deploy employees effectively against projects enables project managers to better utilize and maximize employee productivity.

  1. Click Resource Utilization link in Tasks and Milestones tab
  2. Click on a grey area add task contextual popup-up opens
  3. Type the task, select tasklist, assign owner, specify start and end date of your task
  4. Click Enter duration now specify duration in hours
  5. Choose percentage completed (if any)
  6. Click Add Task icon

Type of tasks view

Zoho Projects supports 3 different type of tasks view a. classic view b. plain view c. kanban view

1. Classic View

The classic view is the default view for task lists and tasks. You can customize your columns in classic view.

2. Plain View

This is a simple view sorted based on due date. The plain view displays all tasks and its dependencies with a tree icon.

3. Kanban View

Kanban cards are an easy, dynamic way to create and visualize your workflows. Projects and tasks are visually arranged by status...such as To-Do, In Progress, Complete...so every team member knows what’s required to be done at any time.
